Build Sheet Navigation Links in a Numbers Report
Create a local report index with sheet links, audit each destination, and test retargeting and removal without changing report data.
Documentation-qualified; independent editorial review and native verification pending · Editorial standards
Outcome and scope
Create a report index that takes a reader to the right sheet. A navigation link does not calculate a value or replace references to another table. This is also distinct from the cell-formula HYPERLINK guide: here you edit links on text objects and select a sheet destination.
The source is Apple’s Numbers 15.4 Mac link guide, checked 21 October 2026. This documentation-qualified exercise was not run in Numbers. No native screenshots, persistence results, iPad/iPhone or iCloud equivalence are asserted. Ordinary local editing is within Apple’s free core app boundary; no Creator Studio content, subscription, email or telephone action is needed.
Build a three-sheet test report
Create a Blank spreadsheet. Name the sheets Index, North and South. On North use a small table named NorthCount; on South use SouthCount. Enter this synthetic data in both tables:
| Cell | NorthCount | SouthCount |
|---|---|---|
| A1 | Item | Item |
| B1 | Units | Units |
| A2 | Folders | Folders |
| B2 | 7 | 4 |
| A3 | Labels | Labels |
| B3 | 5 | 6 |
| A4 | Total | Total |
| B4 | =SUM(B2:B3) | =SUM(B2:B3) |
North totals 12; South totals 10. Give each table one header row and no footer. On Index add two text boxes containing North detail and South detail. These labels are intentionally similar, so a wrong destination is detectable. Save Sheet-Index-Baseline.numbers, then a separate Sheet-Index-Working.numbers copy.
Add and verify the two links
Control-click the North text box, choose Add Link > Sheet, select North in the Sheet menu and set the display wording to North detail. Use Go to Sheet to check the destination. Repeat for South. Apple allows text and certain objects as link sources; this fixture uses text boxes only.
For each link, check the active sheet name and the actual table contents. North must show 7, 5 and total 12; South must show 4, 6 and total 10. A correct label alone is not a passing test. Return to Index using the sheet tab after each check.
The audit record for this fixture is:
| Label | Intended sheet | Distinguishing values | Expected total |
|---|---|---|---|
| North detail | North | Folders 7; Labels 5 | 12 |
| South detail | South | Folders 4; Labels 6 | 10 |
This record does not imply a cell-level link. The destination is a sheet, not a guaranteed particular selected cell, zoom level or scroll position.
Retarget deliberately, then restore
Click a link button to reopen its editor. Change the North link’s sheet destination to South, leaving the label unchanged for this controlled negative test. Use Go to Sheet. The expected observed destination is now South with total 10: the misleading North label must fail the audit.
Restore the destination to North, verify total 12, and close the editor by clicking the sheet. For a second test, change NorthCount.B2 to 9. North’s total should become 14; South remains 10. The same North navigation link should still lead to that sheet. Restore B2 to 7. This is a live table test, not a claim that the link itself recalculates anything.
Remove one link without removing its label
In a separate saved test copy, open the South link editor and choose Remove. Apple documents that the text stays but the link ceases to be active. Check South detail is still readable, no South navigation occurs through that removed link, and SouthCount still totals 10. Do not delete the sheet or its table as a substitute for removing the link.
Keep the working copy with both correct links as the final artifact. Save, close and reopen it; verify each destination again. If labels and destinations differ, repair the destination explicitly. Use the untouched baseline if the experiment becomes confusing; do not depend on Undo after reopening.
Limits and references
Do not infer a link survives Excel, CSV or PDF export unchanged. This lesson does not enable collaboration, send mail, initiate calls, alter automatic-link settings or require online data. For a real report, check destinations again after structural edits; this fixture does not establish rename/deletion behavior.
Apple’s sheet guide, add text guide, and save guide support preparation. Follow the existing objects lesson if you need practice placing text boxes.
