Comments, Sharing & Collaboration in Apple Numbers
Practice cell comments privately and understand Mac sharing permissions before deliberately inviting a reviewer.
Documentation reviewed; independent reviews and native verification pending · Editorial standards
Platform and verification boundary
This walkthrough targets Numbers 15.4 for Mac, as identified by Apple’s retrieved guide metadata, reviewed on 19 October 2026. The Mac sidebar/menu instructions do not establish the same controls on iPad, iPhone, or Numbers for iCloud. Older Mac editions can differ. Native Numbers was unavailable to the author: procedures were checked against Apple documentation and fixture expectations were independently calculated; no app execution or product screenshots are claimed.
Prepare a small review table, attach a question to the exact cell, and understand the access choices before inviting another person. The local comment exercise is complete on its own. The sharing section is a reader recipe: this tutorial has not created accounts, uploaded files, sent invitations or changed anyone’s access.
Create a private ReviewPlan fixture
Choose File > New and the Blank template. Double-click the sheet tab to give it the name below, and double-click the table title to rename it. If the title is hidden, Control-click row 1 and choose Show Table Title. Use Format > Table to set one header row, zero header columns and zero footer rows unless instructed otherwise. Enter each fixture at the stated cell address; extra empty rows may remain. All examples are invented practice data.
Name the sheet Review and table ReviewPlan. Enter:
| Row | A | B | C |
|---|---|---|---|
| 1 | Task |
Estimate |
Status |
| 2 | Prepare sample |
40 |
Needs review |
| 3 | Check packaging |
25 |
Ready |
| 4 | Total |
=SUM(B2:B3) |
empty |
Keep row 4 as an ordinary body row for this exercise. The total is 65. These names and values are invented and contain no recipient details.
Add a question to the value
- On
Review, select onlyReviewPlan::B2, which contains40. - Click Comment in the toolbar. Enter
Does this estimate include the extra sample?and click Done. - Click the triangle marker in B2 to reopen the comment. Check that the question is attached to the value rather than to the sheet background.
- Click Reply, enter
Practice check: the extra sample is not included., and click Done. The numeric value remains40; the total remains65. - Choose View > Comments > Hide Comments, then Show Comments. Hiding the display is not deletion or access control.
See Apple’s comment guide. A background sheet comment has different behavior, including no replies, so selecting B2 first matters. Treat comments as content in the file; do not put confidential information in an annotation merely because it is hidden.
Check a changed estimate and an added item
Change B2 to 45 and verify B4 becomes 70. The comment is a question, not a formula that updates the cell. Restore B2 to 40 before the next step.
Insert a body row above the Total row using its row-number menu. Enter A4 Label check, B4 10 and C4 Needs review. The total moves to row 5. Explicitly enter =SUM(B2:B4) in B5 and expect 75. Add a comment to B4 reading Confirm the label count before approval. There are now two questioned inputs; a reply is not proof that the underlying estimate was approved.
Save the completed private file
Choose File > Save and save Numbers-ReviewPlan-Final.numbers in your local Numbers Practice folder. Close and reopen it. Confirm three items, total 75, the B2 question with its reply, and the B4 question. This is the finished local deliverable; no collaborator is needed to complete it.
For a comment-cleanup experiment, first use File > Save As to create Numbers-ReviewPlan-Comment-Test.numbers. Open B2’s comment and inspect its Delete control. Deleting a comment with replies removes the conversation; do not try it in the final file. To edit an original comment that already has replies, open the menu beside its timestamp and choose Edit Comment. Restore the two questions and reply from the fixture explicitly before further tests.
Optional reader recipe: invite a real reviewer deliberately
Proceed only with a separate copy whose full contents you intend to disclose, and only after choosing and verifying the real recipient yourself. Review hidden sheets, comments, file title and all table content first. A shared-file link can include the spreadsheet title. The local exercise above never requires this step.
- Confirm your own Apple Account is signed in, Numbers is set up for iCloud Drive, and the intended copy is stored there. This is a prerequisite to perform yourself, not a claim that the local practice file was uploaded.
- In that copy, click Share in the toolbar, then choose Share a Link. Expand the disclosure arrow below it to inspect access settings.
- Choose Only invited people for a bounded review. Invitees must sign in with an Apple Account; an address or phone number unrelated to that account may need to be added by its owner before the invitation can be accepted.
- Choose View only for reading or Can make changes if edits are actually required. View only still permits printing and downloading; it is not a no-copy restriction. Apple also documents comment-action restrictions for view-only participants in the activity list, so do not promise a general commenter-only role.
- Deselect Allow others to invite if participants should not expand the audience. Review the exact recipient and access settings before sending through the chosen method. Stop before sending if the identity or scope is uncertain.
- After an intentional invitation, the owner can use File > Manage Shared Spreadsheet to inspect the shared document. Verify access from the collaborator’s actual experience; a sent message alone does not prove successful access.
Apple’s invitation guide is the source for these Mac controls. Anyone with the link is a broader choice and can allow opening without an Apple Account; it is not the default recommendation for this private practice scenario. Never send a document password in the same message as its link.
Troubleshooting and boundaries
Missing sharing options can mean the document is not stored in iCloud. A recipient unable to open it may be using a different account address; do not broaden access to Anyone with the link simply to make the error disappear. Permission to view does not promise permission to edit or participate in every comment workflow. A separately sent copy is not evidence that people are editing the same shared original. iPad, iPhone and iCloud have their own interfaces and requirements; this Mac recipe does not claim platform parity or a tested collaboration session.
Sources and practice-file setup
The source scope is Invite others to collaborate in Numbers on Mac. The cited Apple guide pages identify Numbers 15.4 in their metadata. Create a spreadsheet, name the sheet, name the table, set headers and table rows and save a named spreadsheet or separate copy support the common setup and save steps.
