Create a Chart in Apple Numbers
Build a Numbers column chart, label values, extend its source range, and verify the five-month result.
Documentation reviewed; independent reviews and native verification pending · Editorial standards
Platform and verification boundary
This walkthrough targets Numbers 15.4 for Mac, as identified by Apple’s retrieved guide metadata, reviewed on 19 October 2026. The Mac sidebar/menu instructions do not establish the same controls on iPad, iPhone, or Numbers for iCloud. Older Mac editions can differ. Native Numbers was unavailable to the author: procedures were checked against Apple documentation and fixture expectations were independently calculated; no app execution or product screenshots are claimed.
Create a column chart that compares monthly parcel counts, then maintain its source range when a fifth month arrives. The goal is a chart whose plotted values you can reconcile to the table, not merely a decorative graphic.
Create the Parcels fixture
Choose File > New and the Blank template. Double-click the sheet tab to give it the name below, and double-click the table title to rename it. If the title is hidden, Control-click row 1 and choose Show Table Title. Use Format > Table to set one header row, zero header columns and zero footer rows unless instructed otherwise. Enter each fixture at the stated cell address; extra empty rows may remain. All examples are invented practice data.
Name the sheet Dispatch and table Parcels; designate column A as one header column. Enter A1 Month, B1 Parcels, A2 January, B2 18, A3 February, B3 24, A4 March, B4 21, A5 April, B5 27. There are four categories and one numeric series. The total is 90; the mean is 22.5.
Create and label a 2D column chart
- With
Dispatchactive, click Chart in the toolbar, choose 2D, and select a plain column chart rather than a stacked chart. - Click the new chart, then Add Chart Data. Select the populated
Parcelscells A1:B5, including the labels. - In the bottom bar choose Plot Columns as Series. Click Done. Expect January through April as categories and a single Parcels series with values
18,24,21,27. - With the chart selected, open Format > Chart and enable Title. Double-click its placeholder and enter
Monthly parcels. - In Format > Series expand Value Labels and choose Number from Value Data Format; use zero decimals for these counts. Check the four displayed labels against the cells.
- In Format > Axis choose Value. Under Major Gridlines select a subtle solid line. A few readable reference lines help estimate heights; they are not additional data series.
See Apple’s chart creation, data-reference editing, title and value-label controls and axis markings. A column chart compares magnitudes; a line chart would emphasize the time trend. A pie chart instead communicates shares of a total and is a different presentation decision. Do not use a second value axis for this single count series.
Check an edit and extend the source
- Click
Parcels::B3and change February from24to30. The February column should rise to30; total96, mean24. This is an expected automatic update to existing source cells. - Restore B3 to
24, returning to the named four-month Parcels fixture before adding data. - Add a body row if needed. Enter A6
Mayand B630. There are now five rows of observations totaling120. - Select the chart, click Edit Data References, click the series’ column dot, and extend the selection corner to include row 6. Include the new category label from column A. Click Done. Inspect the resulting selection and chart rather than assuming any automatic range expansion occurred.
- Confirm exactly five categories in order and one series. May should be
30; the other bars should remain18,24,21,27. The five-month mean is24. - Update the chart title to
Parcels January–May. In Format > Axis > Value > Reference Lines choose Average, then show its name and value. For this plain 2D column chart the expected average line is24.
Save the finished chart
Choose File > Save. Save Numbers-Parcels-Chart-Final.numbers to your local Numbers Practice folder. Reopen it, select the chart and inspect Edit Data References again. Confirm that the five observations are included, the chart title names January–May, and the line shows 24. The table values are the primary audit trail if labels overlap.
Optional presentation experiment
First create Numbers-Parcels-Chart-Experiment.numbers with File > Save As. Keep the five-month fixture and one numeric series. Toggle Legend under Format > Chart to compare a labeled and unlabeled legend; with one series the title may already explain it. Recheck that this formatting change has not altered categories or source values. Close the experiment when finished and retain the final chart separately.
Troubleshooting and limits
If each month becomes a separate series, return to Edit Data References and choose Plot Columns as Series. If May is absent, inspect the highlighted range; changing a title does not extend data references. If the average is not 24, check for a total row accidentally plotted, a missing month, or the un-restored February value 30. Do not include the total as another month.
If labels disappear, enlarge the chart before shrinking text; Apple documents Auto-Fit behavior for supported chart labels. Hidden or filtered source data is excluded by default, unless Hidden Data is enabled in Chart options. Very large datasets can be downsampled for display; this five-point fixture does not require that workflow. Reference lines are unavailable for several chart types, including pie, donut and 3D charts, so this recipe stays with a plain 2D column chart.
