Create a workbook from a template and save a reusable template in Apple Numbers
Create a clean packing model, save a custom Numbers template, reuse it for an order, and verify a revised template without overwriting completed work.
Documentation reviewed; native application verification pending Β· Editorial standards
Quick answer: Create a Blank spreadsheet with clean model inputs, then choose File β Save as Template β Add to Template Chooser. Start each order from My Templates and save it as a separate .numbers document; save model revisions as a new template.
Scope: Apple Numbers 15.4 for Mac, English interface, using Apple’s version-pinned Mac guide reviewed on 19 October 2026. Native application execution and screenshots are unverified; iPad, iPhone, and Numbers for iCloud procedures are outside this tutorial.
Build a repeatable packing worksheet, then prove that a new document starts cleanly from your template. This exercise uses the built-in Blank template so no premium content or subscription is required.
Start with an identifiable practice document
Choose File β New, then the Blank template. Use one table with one header row, no footer rows and no header columns; set these in Format β Table β Headers & Footer. Before entering data, size the empty table to the dimensions below: drag its bottom-left row control to adjust rows and its top-right column control to adjust columns. Later, click the bottom-left control once to append one body row. Double-click the sheet tab to rename it. If the table title is hidden, Control-click the number for row 1 and choose Show Table Title. Double-click the table title to edit it. Cell addresses below belong to that named table, not to the whole sheet.
Create a local folder named Numbers Practice in Documents. Save the initial fixture there with File β Save under the input filename below. Use File β Save As to make a copy under the working filename before continuing. Whenever this guide says to duplicate a document, use this Save As command with the specified new filename; the copy is saved beside the original. Confirm the active document name before editing. Keep the input file unchanged. No external download or account is needed.
Name the sheet Packing and table Kit. Use four columns and four rows. Enter the following cells; the last column contains formulas.
| Row | A: Item | B: Quantity | C: Unit cost | D: Line cost |
|---|---|---|---|---|
| 1 | Item |
Quantity |
Unit cost |
Line cost |
| 2 | Notebook |

=B2*C2 |
| 3 | Pencil |
0 |
2 |
=B3*C3 |
| 4 | Folder |

Save kit-inputs.numbers, then work in kit-template-master.numbers. All three calculated costs must be zero. Quantity is intentionally zero: a reusable model should not carry a previous order’s quantities.
Save and reuse the template
- In the master document, choose File β Save as Template.
- Choose Add to Template Chooser, name it
Packing Kit v1, and finish with Choose as prompted. - Choose File β New. In My Templates, double-click
Packing Kit v1. - Save this new document as
kit-order-final.numbersin Documents/Numbers Practice. - In its
Packingsheet andKittable, enter quantities3,5, and2into B2:B4. D2:D4 should show12,10, and6. Their combined cost is28. - Save, close, and reopen that order document. Confirm the quantities and costs remain. This is the intended final order.
A document made from a template is a new spreadsheet. Reopen File β New β My Templates β Packing Kit v1 once more: the new unsaved document should still have zero quantities. Close that unused document without saving. Do not overwrite the master with order data.
Revise the model without carrying transactions forward
Make a separate duplicate of the saved master, named kit-template-v2-master.numbers, in the same folder. Confirm B2:B4 are all zero before changing anything. Change C3 to 3; the three outputs remain zero. Save this master, then use File β Save as Template to add Packing Kit v2 as a new template.
Create a fresh document from v2 and save it as kit-v2-check.numbers. Enter the same quantities 3, 5, 2; expected line costs are 12, 15, 6, totaling 33. Save this check separately. The five-unit price increase explains the difference from v1. Editing and saving an order does not replace its originating custom template; Apple documents saving edits as a new template version.
For a portable local template file instead, open the clean v2 master, choose File β Save as Template β Save, and save Packing Kit v2.nmbtemplate in the practice folder. This is an optional export; it does not authorize emailing or sharing the file.
Recovery and troubleshooting
- If an order opens with old quantities, you saved transaction data into the model. Rebuild from
kit-inputs.numbersin a new copy and save a distinctly named template. - If a template is missing, check My Templates. For your own locally saved template file, double-click the
.nmbtemplatefile and choose Add to Template Chooser. - Custom-template syncing requires the same Apple Account and iCloud Drive. Apple excludes Numbers for iCloud from this availability; this exercise uses local Mac files.
- Do not delete a synced custom template casually: removal can affect your other devices. Retain both versions for this exercise.
- To reset practice, duplicate the untouched input file. Leave the saved final order and both masters intact; no Undo history is required after reopening.
