Find, replace and correct text in Apple Numbers
Find and replace exact labels in Numbers for Mac, control whole-word and case matching, and correct text safely with a complete practice fixture.
Documentation reviewed; native application verification pending · Editorial standards
Quick answer: Press Command-F, choose Find & Replace, and enable Whole Words and Match Case before replacing exact labels. Inspect the match count first: replacement searches across the document, not just your intended table.
Scope: Apple Numbers 15.4 for Mac, English interface, using Apple’s version-pinned Mac guide reviewed on 19 October 2026. Native application execution and screenshots are unverified; iPad, iPhone, and Numbers for iCloud procedures are outside this tutorial.
Correct two deliberate labels while leaving a longer word and a different case untouched. Search is document-wide, so the fixture contains only one sheet and one table.
Start with an identifiable practice document
Choose File → New, then the Blank template. Use one table with one header row, no footer rows and no header columns; set these in Format → Table → Headers & Footer. Before entering data, size the empty table to the dimensions below: drag its bottom-left row control to adjust rows and its top-right column control to adjust columns. Later, click the bottom-left control once to append one body row. Double-click the sheet tab to rename it. If the table title is hidden, Control-click the number for row 1 and choose Show Table Title. Double-click the table title to edit it. Cell addresses below belong to that named table, not to the whole sheet.
Create a local folder named Numbers Practice in Documents. Save the initial fixture there with File → Save under the input filename below. Use File → Save As to make a copy under the working filename before continuing. Whenever this guide says to duplicate a document, use this Save As command with the specified new filename; the copy is saved beside the original. Confirm the active document name before editing. Keep the input file unchanged. No external download or account is needed.
Name the sheet Text Lab and table Labels. Use seven rows and two columns, with the following exact text. Select A2:A7 and use Format → Cell → Data Format → Text before entering labels.
| Row | A: Label | B: Record |
|---|---|---|
| 1 | Label |

| 2 | Draft |

Use text-inputs.numbers and text-working.numbers for the initial and working saves.
Find the intended labels before replacing
- Press Command-F. In the search-field pop-up menu choose Find & Replace.
- Explicitly enable Whole Words and Match Case. These settings matter even if a previous search left different defaults.
- Enter
Draftin the upper field andReadyin the replacement field. - Confirm two matches in this fixture. Use the navigation arrows to inspect both cells before proceeding.
- Click Replace All. A2 and A3 become
Ready; A4 remainsDraftingand A5 remainsdraft. - Clear the search field, then close the Find & Replace window. Inspect A2:A6 directly:
Ready, Ready, Drafting, draft, Ready.
This is a content correction, not a case-conversion task. If the match count is four, both restrictions are probably off. If it is three, check each restriction separately. Stop and inspect before applying Replace All; the same search can find text boxes, comments, and other sheets in a real document.
Correct one cell without changing app-wide behavior
Double-click A7, place the insertion point inside teh, and edit the cell to the kit. Press Return. This fixes the stored text without creating a persistent autocorrection rule. B7 must remain R06.
Save the working file, then duplicate and save it as text-final.numbers in Documents/Numbers Practice. Reopen it and verify the six labels are Ready, Ready, Drafting, draft, Ready, the kit. There should now be three exact-case whole-word matches for Ready. Close the search window again before leaving the final file.
Test broader matching in a fresh copy
Duplicate the untouched text-inputs.numbers as text-broad-search.numbers, so all original labels are restored. Do not continue in the already-corrected final document. Open Find & Replace and explicitly turn off both Whole Words and Match Case. Search for Draft: four label cells should match, including the longer word and lowercase label.
This time make no replacements. The purpose is to see the widened scope. Clear the search and close the window. Close this practice copy after saving only if you want to preserve the exercise; the final document remains unchanged.
For a growth check, duplicate text-final.numbers to text-growth.numbers. Add one body row with the table’s row control, enter Draft and R07 in A8:B8, and run the restricted search again with both options on. There is now one target. Replace it with Ready, close Find & Replace, and verify four Ready labels across the table.
Important limitations and recovery
- Search matches displayed values, not necessarily the underlying number. A fraction display can therefore produce different matches from its decimal value.
- Numbers searches calculated results but not the formula expression itself. Matching cells containing formulas cannot be changed with Replace; edit the formula deliberately instead.
- An empty replacement field removes matching text. Always inspect both fields before Replace All.
- On other labels, double-click to edit just the incorrect portion while preserving the rest. Clicking once and typing replaces the entire cell; here the intended complete result is
the kit. - If unexpected matches appear, check other sheets, comments, shapes, and text boxes. Selecting a small range is not a promise that a document-wide replacement is confined to it.
- Recover by making a new working copy of
text-inputs.numbers. Never rely on Undo surviving a save-and-reopen cycle.
Official references and verification
These are Apple’s Numbers 15.4 Mac instructions. The fixture values and expected calculations are original worked examples. Documentation and arithmetic review do not establish that the native interface was tested. No product screenshot is presented.
