Merge Numbers Report Headings Without Losing Record Structure
Keep merged presentation headings separate from records and verify what unmerge does and does not restore.
Documentation-qualified; independently calculated examples; exact-content independent review pending · Editorial standards
Outcome and evidence boundary
Create a wide heading in a separate presentation table without merging the records you need to calculate or sort. Then unmerge that heading and check the retained content. Merging is a layout operation, not a way to combine several records into one valid record.
This workflow follows Apple’s Numbers 15.4 for Mac documentation, retrieved on 21 October 2026. It uses ordinary cell controls, not Creator Studio assets or AI. No native Numbers execution, screenshots, mobile testing or save/reopen verification is claimed. The numeric checks below are independent arithmetic controls.
Separate the heading from the data
Use an invented, local Blank workbook. Create two tables on the same sheet:
Banner: two rows and three columns, no header rows, header columns or footer rows. EnterDispatch reviewin A1 only. Leave B1, C1 and row 2 empty.Records: five rows and two columns, one header row and no footer rows. PutRoutein A1 andParcelsin B1, then enter the records below.
| Row | Route | Parcels |
|---|---|---|
| 2 | North | 12 |
| 3 | South | 18 |
| 4 | East | 9 |
| 5 | West | 21 |
The records total is 60, with four routes. The heading is not a fifth record and must not be inside the quantity range. See tables, rows and columns for the table setup. Keep an untouched copy of any real workbook before experimenting; this exercise does not need production data.
Do not use a table linked to an iPhone or iPad form. Apple warns that forms are hidden on Mac and merging a linked table may clear its form. Starting with these new tables avoids mistaking a hidden form for no form.
Merge only the single-content heading
Apple’s merge and unmerge instructions require adjacent cells within the same table area. Select Banner A1:C1 as cells, not an entire row; Control-click and choose Merge Cells. Only A1 should contain content before this step.
Check that Dispatch review remains visible and that the Records table still has four separate numeric entries. Style the banner afterward using cell formatting. The second blank row makes it possible to select the heading cells without selecting the whole table.
Keep calculation and sorting checks on Records. Its expected total remains 60 before and after the banner change. If you change Records B4 from 9 to 15, the expected total is 66; restore 9 afterward. No heading-format operation should require changing those quantities.
Unmerge and inspect the result
Control-click the merged heading and choose Unmerge Cells. Apple documents that retained content goes to the first, top-left cell and the resulting cells share the merged formatting. For this fixture, expect Dispatch review in A1 and no text in B1 or C1. Unmerge does not distribute the words across three cells.
Do not use this as a repair method for an already merged dataset. Apple’s documentation says merging several populated cells retains their content but converts specifically formatted values such as numbers and dates to text. Unmerge keeps that content together in the top-left cell; it does not reconstruct the original records.
For example, two original parcel records of 12 and 18 represent two observations with total 30 and average 15. A later text cell containing those values is not automatically the same two numeric observations. Recover the original structure from an untouched copy or a verified earlier version, then compare record counts and totals. Do not guess a delimiter or claim that unmerge recovers the lost arrangement.
Check the boundary, not just the appearance
After unmerging the banner, check all of the following:
- Banner A1 contains the complete heading, while B1 and C1 are empty.
- Records still has four routes with quantities 12, 18, 9 and 21.
- The Records sum is 60. The 9-to-15 mutation changes that control to 66, not to a text concatenation.
- No Records cell is merged. Continue with sorting and filtering only on the structured table.
These are suggested application checks, not results from a native test run.
Troubleshooting
- Merge Cells is unavailable: check for whole-row selection, nonadjacent cells or a selection crossing header and body areas. Return to Banner A1:C1 only.
- Unmerge is unavailable: an ordinary single cell cannot be split with this command. Confirm it is the previously merged heading.
- The heading does not spread back across cells: that is expected. Recreate separate fields from original records, not from the visual width of the heading.
- A formula breaks after merging: do not merge the data to fix it. Restore the separate records first, then inspect the formula’s intended inputs. Keep presentation changes in Banner.
- A form disappears or an unexpected table is affected: stop editing and preserve the original. A Mac view alone does not establish the absence of a mobile form. See the separate mobile forms workflow, rather than assuming platform parity.
Save the invented workbook locally. Reopening and checking both tables is a recommended final reader check, not a verified execution claim here.
