Use audio, video and image galleries in a workbook in Apple Numbers
Add local audio, video, and a two-image gallery to a Numbers report, check descriptions and playback, and preserve a clear text summary.
Documentation reviewed; native application verification pending Β· Editorial standards
Quick answer: Drag a supported local audio or video file onto the sheet and use its Play control. For a browsable image collection, choose Insert Media β Add Image Gallery, drag images into it, and manage order and descriptions in Format β Gallery.
Prepare a report that remains understandable without playback
This guide uses Numbers 15.4 for Mac, not the mobile insertion controls. You need two local images, one short video, and one short audio file that you own and can already play. Choose harmless material, such as an empty box, a packed box, a packing demonstration, and a spoken packing reminder. The precise pixels and duration are not fixed by the exercise; no example assets or application screenshots are fabricated here.
Apple requires formats supported by QuickTime on your Mac. If a file cannot be inserted or played, its guidance suggests converting video to a supported .mov file or audio to .m4a using appropriate software. A filename extension alone is not proof that the contents are compatible. Keep the originals unchanged; conversion is outside this tutorial.
Create a Blank spreadsheet. In the first table enter one header row, Stage and Check, followed by:
| Stage | Check |
|---|---|
| Before | Box is empty |
| After | Supplies are packed |
Save packing-media-before.numbers locally in Numbers Practice, then use File β Save As for packing-media-work.numbers. Keep the table visible and leave canvas space to its right. The text provides an accessible summary independent of whether a reader plays media.
Add video and audio as separate objects
- Drag the local video from Finder onto empty sheet canvas, not into a selected table cell. Use its Play control and confirm it is the intended clip.
- Drag the local audio file onto another empty area. Play it and confirm its message. Stop one item before testing the other so their sounds do not mask each other.
- Select the video and open Format β Movie. In Description, enter an accurate summary of what this particular clip shows. Do not use the example description unless it matches your file.
- Select the audio and open Format β Audio. Add an accurate Description. Keep any essential instruction in ordinary sheet text too; a description is not a complete transcript of lengthy speech.
The target state is two media objects and the original table. Do not replace the only copy of the table with a video of its contents. By default the media plays once when you click Play; this exercise does not require autoplay or looping.
Build and inspect the image gallery
Click Insert Media in the toolbar, then Add Image Gallery. Position the gallery away from the table and drag your two images into it. In Format β Gallery, put the empty-box image first and the packed-box image second by dragging their thumbnails.
Select each thumbnail in the sidebar and fill its Image Description with a truthful description. Use the gallery’s Previous Item and Next Item controls to check both images. A gallery shows one image at a time, so verify both rather than judging the object from its currently visible frame. Gallery content belongs on the sheet, not inside a table cell.
If an image needs different framing, double-click it in the gallery, reposition it, and adjust its zoom slider. Check that the relevant box or supplies remain visible. Cropping to fill a frame is not evidence that the hidden portion was irrelevant.
Make one controlled revision
Reverse the two image thumbnails in Format β Gallery. Navigate through the gallery and confirm that the packed-box image now appears first. Restore the intended before-then-after order. This is a simple order test, not a reason to rewrite either description.
Next select the video, open Format β Movie β Edit Movie, and adjust the Poster Frame slider to a frame that identifies the action clearly. Play the clip again: the poster is its resting representation, not a different video file. If you experiment with Trim sliders, do so only in the working copy and check the new beginning and ending. Audio recorded in Numbers on iPhone or iPad cannot be trimmed using the documented Mac workflow.
Keep the final deliverable to one table, two media objects, and one two-image gallery. Extra accidental copies make it harder to tell which clip a reader should use.
Save, test, and handle limitations
Choose File β Save As and save packing-media-final.numbers. Close and reopen it. Read the two table rows, play both media objects separately, and navigate both gallery images. Inspect the descriptions and intended order. These are reader acceptance checks; native playback has not been executed for this article.
For recovery, start a new copy of the before file and reuse the preserved local media. If a gallery image was accidentally removed, add that original again and recheck its position and description. If media is silent, check the object’s Format β Movie or Audio volume and the device’s playback state before replacing files.
A PDF is not a substitute for testing interactive gallery navigation or media playback in Numbers. Keep a text summary for readers receiving static output, and check the actual exported result. See printing and PDF output. Web videos have separate region and internet requirements; this local-file exercise intentionally avoids them.
Documentation and verification
Appleβs version-pinned 15.4 guides below were retrieved on 20 October 2026, except the table-row guide reused from 19 October where cited. The worked scenario and arithmetic are independently checked, not native application tests. Save/reopen, synchronization, media playback, and device behavior must be verified on your own installation. No native screenshots are supplied.
