Highlight Over-Budget Values with Calligra Conditional Styles

Find and apply conditional cell formatting in Calligra Sheets to flag unusually large expenses without manually recolouring cells.

Conditional formatting changes a cell’s appearance when a rule is satisfied. In Calligra Sheets, the official handbook calls this feature Conditional Styles and describes changing text formatting when values meet configured conditions.

Example rule

In a column named Actual, enter four expense amounts:

750
1200
900
1400

Our goal is to visually flag amounts greater than 1,000. With a strict > 1000 rule, the expected flagged values are 1,200 and 1,400; 750 and 900 should remain unchanged.

Apply the rule

  1. Select only the numeric cells, not the column heading.
  2. Find the Conditional Styles dialog. In the handbook it appears under Format; recent Calligra versions may have reorganized controls.
  3. Choose a numerical comparison of greater than and enter the numeric threshold 1000.
  4. Set a legible visual style, such as bold or a contrasting font colour, then apply it.
  5. Change 900 to 1100; if the rule recalculates, the cell should become highlighted as well.

The official documentation also notes that later conditions may apply only when earlier conditions do not. Order matters when you define multiple rules.

Troubleshooting

  • Rule doesn’t apply: verify that imported values are numeric rather than strings.
  • Exactly 1000 is coloured: you may have used >= instead of >.
  • All rows seem coloured: check that the rule applies to the intended cell selection.
  • Rule persists after manual formatting: clear the conditional style rather than only changing a cell’s ordinary font colour.

KDE’s older handbook documents clearing rules from Edit → Clear → Conditional Styles; verify the corresponding command in the currently installed version.
