Make Long Labels Readable in Collabora Online Calc
Wrap long labels, fit row heights and check inserted records without merging data cells in Collabora Online Calc.
Source-qualified proposal; deployed Online interface and native acceptance checks remain blocked. ยท Editorial standards
Make a task table readable without merging record cells or changing their contents. Wrapping, width and row height need to work together; adding borders alone cannot reveal clipped labels.
Before you start: version and deployment gate
Collabora Online Calc in an English desktop browser using the compact menu interface; documentary baseline is co-25.04 branch snapshot 3847fbcfe35a234544cf163ed9e004a3d197337c. Actual deployed build, dialogs, save behavior and native screenshots remain unverified.
This is a documentation-supported practice and acceptance recipe, not a report of a successful native run. Record the server build from Help โ About, the storage host, browser and interface before proceeding. The pinned Online menu source and English command labels establish the compact-menu entry points below; they do not prove that every host exposes them or that the server implements every dialog field. Online’s compact menu is still a browser interface, not Collabora Office Classic. Do not substitute desktop instructions when a control is absent.
Use a new private, disposable ODS workbook that you are permitted to edit. Opening or creating it is a storage-host operation: this guide cannot name a universal Nextcloud, ownCloud or other host button. Do not practice in a shared production file. If you cannot identify the host file and edit permissions, stop. Finish each cell entry with Enter before invoking another operation.
Enter the task fixture
Enter the following in A1:D4. Each task description belongs entirely in one cell, without inserted manual line breaks.
| Row | A: ID | B: Task | C: Owner | D: Hours |
|---|---|---|---|---|
| 1 | ID | Task | Owner | Hours |
| 2 | T01 | Review the complete accessibility checklist | Alex | 2 |
| 3 | T02 | Reconcile quarterly purchase records | Bea | 3 |
| 4 | T03 | Prepare the final delivery notes for review | Cam | 4 |
Enter =SUM(D2:D4) in F2: expect 9. Record the three exact task strings; formatting should not edit them. Leave all cells unmerged.
Apply readable layout
- Select B1:B4. The pinned Online route Format โ Columns โ Width… exposes a column-width dialog. Choose a width that fits roughly 25 ordinary characters in your current font, then inspect the result. Units and font metrics differ; this is a readability target, not a promise of a fixed number of pixels.
- Select B2:B4 and choose Format โ Cells…. The Online source establishes that dialog entry, but its deployed Alignment and Borders controls have not been inspected here. Continue only when you can identify wrapping and vertical-alignment options. Set text wrapping on and vertical alignment to Top. If these fields are absent, stop at this unresolved step; traditional desktop Help alone does not establish their presence.
- Select rows 2โ4 and choose Format โ Rows โ Optimal Height…, a verified compact-menu entry. Accept suitable spacing in the actual dialog. Every task must display its last word and all owners/hours must remain in their own columns. If an automatic height is insufficient, use Format โ Rows โ Height… and increase it until all wrapped lines are visible.
- Select A1:D1 and use the visible Bold control. If Format Cells exposes background and borders, apply a restrained header fill and thin borders to A1:D4. Confirm dark text remains readable. Borders are optional presentation; the core outcome is readable, unchanged records.
- Widen C until all names are visible and keep D as numeric hours. Do not merge B with C to make room: that would destroy the one-field-per-column layout. F2 must still equal 9.
Change a label and insert a record
Replace B3 with Reconcile quarterly purchase records and confirm every exception. Set D3 to 5. Reapply optimal row height to row 3 and inspect the entire new label. F2 should now be 11; the unchanged cells remain T01/Alex/2 and T03/Cam/4.
Select row 4, then use the source-backed Sheet โ Insert Rows โ Rows Above. Enter T04, Check the supporting evidence before approval, Dev, 1 in A4:D4. T03 should now occupy row 5. Do not assume a new row inherited all formatting or that the original formula expanded as intended. Select B4, reapply wrapping and Top alignment through the verified dialog if necessary, then apply optimal row height to rows 2โ5. Reapply the same borders where supported.
Explicitly set F2 to =SUM(D2:D5). Expect 12. The final ID order is T01, T02, T04, T03 and Hours are 2, 5, 1, 4. Inspect all four full labels before saving. A tall row can conceal a missing wrap setting; narrow B slightly to confirm wrapping actually occurs, then restore your chosen width and refit heights.
Troubleshooting
If text seems to disappear only when the neighboring cell gains content, it was overflowing rather than wrapped. If only some lines appear, inspect row height and the last word of each task. A row can remain too short after importing fixed-height formatting. A tall blank-looking row can contain manual line breaks or excessive height; inspect content before changing it. If hours stop summing, check for text inputs rather than number formatting.
This exercise uses direct cell formatting. It does not establish support for the separately versioned Online table-style lifecycle, automatic style propagation or Excel structured references. There is no native screenshot or pixel-level verification; a rendering of this article would not demonstrate the worksheet layout.
Save the completed result and check it again
Before the final save, choose or confirm the workbook filename Readable-tasks-final.ods using a host-supported naming operation, or record the actual existing ODS filename if renaming is unavailable. Record that filename, its authorized host folder/location and stable file identity or URL locally; keep access tokens private. A filename alone does not identify a unique file. Commit the last cell edit. Use File โ Save if your host exposes it, then wait for the host/editor’s acknowledged save state. Save can be hidden by the integration; an icon changing or a completed download alone does not establish persistence. Close only after acknowledgement, reopen the exact recorded host object from that location. Verify its filename and stable identity, then compare the stated final ledger before creating any reset copy. Record the observed values and any warning. A failed reopen check is a failed acceptance test.
Keep this completed workbook unchanged. For optional resets or alternate cases, make a separately named copy using a host-supported copy operation, confirm its independent identity, and re-enter the exact starting fixture there. Do not rely on Undo after reopening. This walkthrough has not been executed in Online; expected results, source inspection and independent arithmetic do not certify UI behavior or file preservation. No native screenshot is included because none was captured for this fixture.
