Fix Missing New Rows in a Collabora Online Pivot Table
Distinguish refreshing changed values from expanding the pivot source range, using a checkable sales example.
Official documentation reviewed; independent synthetic checks; not tested in Collabora applications. · Editorial standards
A pivot refresh recalculates its source; it is not evidence that the source now includes newly appended rows. Check the source boundaries and then update the pivot. Also check filters and whether Amount is being summed rather than counted.
Product scope and practice file
Collabora’s Online pivot announcement documents creating and editing pivots from the Data tab, selecting a source, arranging fields and choosing a destination. The detailed source controls below follow Collabora Office 26.04 pivot layout help. Collabora Office Classic is the separate traditional desktop product. The Help label 26.04 identifies the documentation version, not a verified Classic runtime. New Collabora Office 26.04 uses an Online-style interface; traditional menu-bar routes below apply only where the installed interface actually exposes them. Hosted Online builds may expose these differently. If source editing is unavailable, rebuild the practice pivot from an explicit expanded selection rather than guessing an unsupported command.
Use the eight-record sales CSV, recovered with the original example. Open it as data, then save a spreadsheet copy. Its three columns are Region, Channel and Amount. Put it on a sheet named Sales so A1:C9 contains the header and all eight records.
| Region | Online | Retail | Total |
|---|---|---|---|
| North | 180 | 120 | 300 |
| South | 120 | 160 | 280 |
| Total | 300 | 280 | 580 |
Build the benchmark once
- Select Sales.A1:C9, including all three headers. On the Online Data tab, open Pivot Table and use the current selection.
- Drag Region to Row Fields, Channel to Column Fields and Amount to Data Fields. Set Amount’s aggregation to Sum; do not accept Count as an equivalent result.
- Choose a new sheet as the destination to avoid overwriting source data. Confirm and compare every number with the matrix above.
- If the totals differ now, resolve the baseline first. Blank headers, numbers imported as text, source filters or inconsistent labels can make later tests misleading.
Separate the two failure cases
Changed value inside the source: change the original North/Online amount in Sales.C2 from 120 to 125. Select a pivot cell and use the pivot refresh command available in your Data pivot controls. The documented traditional menu-bar command, only where the installed interface exposes it, is Data → Pivot Table → Refresh; see Updating Pivot Tables. After updating, North/Online should be 185 and the grand total 585. Restore C2 to 120 and update again to return to 580.
New row outside the source: enter North, Online and 25 in A10:C10. A pivot still bounded by A1:C9 excludes that row, even if those nine rows are refreshed successfully. The intended expanded result is North/Online 205, North total 325, Online total 325 and grand total 605; South remains 280.
- Select a cell inside the pivot and open its layout using the Online Data-tab Pivot Table button.
- Expand the source/destination options and inspect the actual source. If it ends at row 9, change it to
$Sales.$A$1:$C$10where your dialog allows a source selection. If it uses a named range, inspect and extend that name instead. - Apply the layout and refresh if needed. If the installed dialog cannot edit this source, create a second pivot from the explicit A1:C10 selection on a new result sheet and compare before replacing anything.
- Verify 605, then save, reopen and check again. A correct total is necessary, but also check the North/Online cell so offsetting errors cannot hide a missing row.
Keep the source maintainable
Do not infer automatic growth from a successful value refresh. After adding rows, columns or renamed headers, inspect boundaries and field mappings. Keep output separate so it cannot accidentally become part of the next source selection. Remove a restrictive pivot filter only if it is unintended; duplicate categories can indicate trailing spaces rather than missing data.
A direct SUM of the Amount column, or category-specific SUMIFS, provides a useful independent control. CSV stores source values, not the pivot configuration.
Testing disclosure: All benchmark and changed-source totals were calculated independently. No pivot was created or refreshed in Collabora Online for this article. Source-editor controls and save/reopen behavior require a check on your actual server build and file format.
