Filter a PivotTable report with slicers and timelines

Filter a PivotTable report with slicers and timelines in Excel with a complete practice example, expected results and recovery checks.

Official documentation reviewed; example logic independently checked; native Excel execution not performed · Editorial standards

Quick answer: Add a Region slicer and a Date timeline to a standard PivotTable, then verify the combined filter against the source records. Clearing one control does not clear the other, so an unexpectedly small total may be the intersection of two active filters.

Version and platform: Microsoft 365 Excel for Windows desktop; Mac, Excel for the web and Excel 2013 interfaces not covered. Use a disposable workbook for the exercise.

Prepare a checkable PivotTable

In a new sheet named Sales enter Date, Region and Amount in A1:C1. Use these date formulas and values in rows 2–5:

Date formula Region Amount
=DATE(2026,1,5) North 100
=DATE(2026,1,20) South 200
=DATE(2026,2,10) North 300
=DATE(2026,2,15) South 400

Format the first column as dates. The unfiltered total is 1000; North is 400, South 600, January 300 and February 700. Create a standard worksheet-based PivotTable from A1:C5, with Region in Rows and Amount in Values summarized by Sum. Do not use the Data Model or a Power BI connection for this exercise.

The existing PivotTable basics and source guide covers the foundational setup and refresh problem, with its older Windows interface scope clearly marked. This walkthrough starts with that simple report and focuses on Microsoft 365 Windows filter controls; it does not promise timeline creation in Excel for the web.

Insert and use a slicer

Click inside the PivotTable and choose Insert → Slicer. Check Region and confirm with OK. Place the slicer beside the report so it does not cover the result cells. Select North in the slicer.

The report should show North totaling 400, not 1000. Use the slicer’s Clear Filter control to restore both regions, then select South and expect 600. The slicer is a visible filter interface, not a separate copy of the source or a destructive removal of other rows.

Add a date timeline

With the PivotTable selected, choose PivotTable Analyze → Insert Timeline (the Microsoft source also labels the contextual tab Analyze). Check Date and confirm. If Date is not available, inspect whether the source column contains real dates rather than text and whether you selected the correct PivotTable.

Use the timeline’s time-level selector to choose Months, navigate to January 2026 and select January. With South still selected in the slicer, the expected result is 200. Switch the slicer to North while keeping January on the timeline; expect 100. Select February on the timeline with North still selected; expect 300.

These three checks show that the slicer and timeline work together. Clearing only the Region slicer while February remains selected should show both regions for February, totaling 700. Clear the timeline too to restore the full 1000.

Change one record and refresh

Change Sales!C4, the February North amount, from 300 to 350. Refresh the PivotTable. The unfiltered total becomes 1050, North becomes 450, and February becomes 750. Apply North plus February again and expect 350.

If the control buttons change but the number does not, confirm that you are reading the linked PivotTable, not an ordinary cell or an older report elsewhere. If you reuse a slicer or timeline across multiple PivotTables, Microsoft requires the same data source. Select the control and use its Report Connections to inspect the intended reports; do not assume all nearby PivotTables respond automatically.

Save a clearly filtered result

Before saving, decide whether readers should see the full report or a filtered subset. For this exercise clear both controls, save as XLSX and reopen. Verify the final total 1050, then select North/February and check 350 again. Keep the controls visible when presenting a filtered result so the selection is not hidden context. Excel for the web has narrower slicer-creation support, and the timeline source does not establish browser creation; use the declared Windows desktop environment for these steps.
