Insert Local Pictures in Excel for the Web: In Cells or Over Cells

Choose the placement mode before selecting the local image. Microsoft’s dedicated Excel-for-the-web picture instructions document both Place in cells and Place over cells. The former is the appropriate starting point for a picture column; the latter is for a floating illustration rather than a record field.

This exercise uses free Excel for the web in a desktop browser and an already editable practice workbook. No desktop installation, paid trial or subscription is part of the workflow.

Prepare two unmistakable practice records

Use two harmless pictures you made yourself and are allowed to include in the workbook. For example, photograph a square paper card marked A and a round paper card marked B. Crop out private surroundings before insertion. Save them locally with recognizable names such as card-a.jpg and card-b.jpg. Open each local file first and verify its contents; a filename is not proof of what it contains.

Enter these values in A1:C3. In D1 enter Picture and leave D2:D3 empty. The Image file column is a written checklist, not a link or an import formula.

Record ID Item Image file
P02 Round card B card-b.jpg
P01 Square card A card-a.jpg

The reversed record order is deliberate: it makes an accidental alphabetical filename-to-row assignment easier to detect. The required pairs are P02 → card B and P01 → card A, not “first file → first row.” Use a blank practice sheet, not a live inventory or a workbook containing personal photographs.

Insert one picture at a time

  1. Select the empty D2 cell.
  2. Choose Insert > Pictures > Place in cells > This Device.
  3. Select card-b.jpg, then Open.
  4. Repeat in D3 with card-a.jpg.

The web documentation also notes Edit Workbook > Edit in Browser if the workbook needs to enter editing view. This does not grant edit permission to a read-only file.

Check both pictures against the text records immediately. D2 must show the round B card and D3 the square A card. A successful insertion is not enough if the picture belongs to the wrong item.

For a separate floating illustration, choose a clear area away from A1:D3 and use Insert > Pictures > Place over cells > This Device. Do not treat a picture’s visual proximity to a row as proof that it is that row’s image field. These insertion paths come from the web-specific instructions, not a desktop ribbon example.

Make the picture understandable without seeing it

Microsoft’s accessibility guide, in its Excel-for-the-web section, documents right-clicking a visual and choosing Alt Text, entering its Description, and confirming with OK. It recommends leaving the Title field blank. Use the available web control; if your picture’s menu does not expose this path, do not substitute an unverified desktop command.

Describe the distinguishing information that the photograph adds. For these practice images, suitable descriptions are “Round paper card with the letter B at its center” and “Square paper card with the letter A at its center”, provided those statements match your actual photographs. A filename such as card-b.jpg is not a useful description.

Reopen the description and check that it belongs to the selected picture. Keep important record identifiers and item names in ordinary cells too. A visible caption and an image’s alternative text serve different purposes; one should not be mistaken for the other. Do not mark an informative item photograph as decorative just to remove an accessibility warning.

Check record identity, not just picture count

The expected result is two records, two pictures and two correct record-picture pairs. Two pictures alone cannot detect a swap. As a negative check, imagine P02 showing A and P01 showing B: the count remains two, but both records are wrong.

Before using the register for real work:

  • Reconcile each picture with its Record ID, item name and source filename.
  • Keep the picture column inside the same complete record range as the other fields when reorganizing data. Sorting only one column can break the relationship between fields.
  • After any sort, filter, row insertion or copy, recheck the visible record-picture pairs. Do not infer these behaviors merely from successful insertion.
  • If you later arrange the records in ascending ID order, the acceptance target is P01 / square A, then P02 / round B. That is an independently checked identity rule, not a claim that a sort was tested in Excel.

This is an image register, not a general file-attachment system. It does not attach a PDF, extract searchable values from a photograph or establish the original file’s provenance. Retain the authorized source files separately if you need an audit trail.

Troubleshoot the failed check

Problem Next check
Place in cells is missing Confirm you are in editable Excel for the web. If the documented choice is still absent, stop this branch rather than assuming a paid desktop upgrade is required.
Picture is beside the right row but not a cell picture Check which placement mode you chose. Appearance alone is not evidence of a record field. Retry only on a clean practice target rather than overwriting live content.
Both pictures appear but one item is wrong Compare image contents with the ID and filename checklist; do not count pictures as a correctness test.
Important text is hidden Keep the floating illustration away from the record grid and inspect all labels before using the sheet.
Alt Text is unavailable or the description is wrong Check the selected visual and the web accessibility instructions. Keep the accessibility check unresolved until the correct picture has an accurate description.
A file will not insert Confirm that the chosen file is the intended readable image, not a shortcut or another document type. Do not disable security controls to force it through.

Microsoft’s separate Place in Cell article lists Excel for Microsoft 365 and Excel 2024. Its bulk-insertion, clipboard and conversion procedures are not used here as evidence of browser parity. This guide does not promise multi-image ordering, desktop placement properties, particular clipboard defaults or cross-version export fidelity.

Use the IMAGE function reference for a formula-driven HTTPS image workflow, subject to that guide’s platform and source restrictions. Use importing a table from a picture when the task is OCR into editable values; that separate guide is desktop-scoped, not an additional free-web step.

Documentation checked 23 October 2026. The record-matching expectations were checked independently outside Excel. No account session, native insertion, sorting behavior, screen-reader output or application screenshot was tested or generated for this article.
