Quick answer

Share a private native spreadsheet with specific verified people and the least role they need. Attach review comments to the relevant cells, and assign an action only when an actual person should receive the notification and responsibility.

Prepare a bounded review

Use the desktop web app and a file you own in My Drive. Work/school policies can restrict outside sharing, and shared-drive or inherited folder permissions can change what you can control. A basic Viewer/Commenter/Editor exercise does not require a premium feature, but assigning action items requires a work or school account; check availability in that account.

Create a private practice sheet with A1:C3:

Item Quantity Review question
Sample pens 12 Confirm the count
Sample paper 8 Confirm the label

Keep it outside shared folders. The scenario has three roles: a reader who needs only the result, a reviewer who should discuss it without changing cells, and an operator who should correct quantities. Plan Viewer, Commenter and Editor respectively. These are roles, not permission to use any real person’s address. Use only consenting test collaborators or stop at a written role plan.

Share the exact file, not a broader folder

  1. Click Share and review existing access, including any inherited permissions.
  2. Enter one verified test collaborator’s email address. Check the full address, not just a suggested display name.
  3. Choose the intended role: Viewer, Commenter, or Editor. Repeat separately for each participant if they need different roles.
  4. Review whether a notification will be sent. Only click Send or Share when the named participants and this practice content are approved for sharing.
  5. Reopen Share and confirm the final role list. Keep general access restricted rather than turning link possession into broad access.

A Viewer cannot edit or comment; a Commenter can comment but not change cells; an Editor can change cells and may be able to share or change permissions unless the owner restricts that ability. Downloading and copying can remain possible. Do not describe read-only sharing as protection against extracting information.

Discuss the specific cells

Select B2 and use Add comment. Write Please verify that the sample count is 12. and click Comment. For a real handoff, add the intended person’s verified address using a mention and, where available, select Assign to before Assign. Mentions and assignments can email the person; do not use fabricated addresses or surprise a colleague as a test.

Have the reviewer reply with the agreed correction, such as The sample count should be 14. The operator, not the commenter, changes B2 to 14. The record now contains quantities 14 and 8, totaling 22 rather than the starting 20. Resolve the comment once the correction is accepted. Open Show all comments and filter resolved items to verify that resolving the discussion is different from deleting it.

Verify the roles and retain a clean copy

Ask consenting participants to check their own access: the reader can open the file, the reviewer can comment but not edit B2, and the operator can make the approved edit. Do not claim these checks happened merely because Share displays the intended roles. Reopen the file after saving and confirm B2 = 14 and the resolved discussion remains discoverable.

Troubleshooting and recovery

If someone has more access than intended, inspect parent-folder inheritance; a lower file role cannot override a higher inherited role. If outside sharing is blocked, respect the organization policy rather than moving data to a personal account. If Assign is absent, use an ordinary comment and an agreed review process; do not promise task assignment on every account.

Rehearse role changes only with the consenting practice participants. Keep an intact private copy before cleanup, and review inherited access when removing a direct grant. Comments are not edit restrictions: use sheet and cell protection for that separate workflow. A downloaded file is not a backup of all live sharing permissions or discussion history.
