Quick answer

Create a spreadsheet from the Sheets home screen, name it clearly, and use File > Make a copy for each reusable instance. Organize the files in a private Drive folder and verify that editing an instance does not alter the master.

Define the reusable outcome

This desktop-web exercise uses ordinary native Google Sheets files in your own My Drive. It does not depend on an organization template gallery or a paid template feature. You need permission to create files and move them into the chosen folder. Mobile and Drive for desktop controls are outside this walkthrough.

The goal is a simple order checklist with an untouched master and one completed weekly instance. A workbook filename is different from a sheet-tab name: changing a tab name does not make the file easy to find in Drive.

On the Sheets home screen, click the Create plus control. Click the untitled filename at the top, enter Order checklist - MASTER, and press Enter. In its first tab, enter:

Cell Entry
A1 Item
B1 Requested
C1 Packed
A2 Sample pens
A3 Sample paper
A4 Sample folders
A6 Instructions
B6 Fill quantities in a copy, not in the master.

Leave B2:C4 empty. This is the reusable structure, not a completed order. Exit the last cell and allow online saving before closing or copying the file.

Put the master in a deliberate location

  1. In Google Drive, choose New > Folder and name it Private checklist practice.
  2. Keep this folder private. Do not move the master into a team folder merely for convenience: destination permissions may expose its contents.
  3. Find the master in Drive, right-click it and choose Organize > Move.
  4. Select the new folder and click Move.
  5. Open the destination and verify the actual file is there, not merely a shortcut. Google’s documented behavior can create a shortcut when you lack permission to move the underlying file.

For faster retrieval, right-click the master and use Organize > Add to starred. A star helps you find a file; it does not duplicate the file, protect it from edits or grant access.

Make an instance and prove its independence

Open the master and select File > Make a copy. Name the copy Order checklist - 2026-10-26 practice, choose the private practice folder, and click OK. If copy options offer comments or sharing choices, leave unnecessary options off and inspect the new file’s access before adding real information.

In the instance, enter requested quantities 12, 8 and 5 in B2:B4. Enter packed quantities 12, 6 and 5 in C2:C4. The requested total is 25; packed is 23, leaving a shortage of 2 in the paper row. Record Paper: 2 still to pack in A8. The copied instructions and item labels should remain intact.

Reopen the master separately. B2:C4 must still be empty and A8 must not contain the instance’s shortage note. Then change C3 in the instance from 6 to 8. All 25 requested items are now packed; update A8 to All practice items packed. Check the master again before considering the reusable setup complete.

Reuse without carrying last week’s mistakes

For the next period, copy the clean master, not the completed instance. Otherwise old quantities and completion notes can look like current work. If you improve the layout in an instance, decide deliberately whether to make that change in the master; there is no automatic template synchronization implied here.

Use clear names for master, working instance and any archive. Do not rely on folder color alone to distinguish them. Keep the intact master while rehearsing cleanup in another copy rather than deleting the only reusable version.

Troubleshooting and recovery

If an edit appears in both browser tabs, compare file URLs and names: you may have opened the same file twice rather than a copy. If the destination contains only a shortcut, check move permissions instead of repeating the move. If edits were made in the master, stop copying it and reconstruct its blank inputs from the fixture above in a separate file before replacing anything.

For restricting formula edits in a more advanced master, see protect formula cells while leaving inputs editable. A filename containing MASTER is a convention, not an edit restriction.
