Create a Drop-Down with Data Validation in Google Sheets
Create dropdown validation and control invalid entries in Google Sheets with a reproducible practice example and outcome checks.
Documentation-reviewed candidate; native application verification not performed. · Editorial standards
Quick answer
Select the input cells, use Insert > Dropdown, and enter the allowed choices. Keep rejection enabled for a controlled list; Show a warning is a deliberate exception that permits invalid entries.
Prepare a small status list
Work in an editable native Google Sheets file in a desktop browser. Android can create validation through its own menus. iPhone/iPad can select existing dropdown choices but cannot create or edit the list. Mobile cannot choose multiple dropdown options even when multiple selection is enabled.
Enter this fixture at A1 in a private practice spreadsheet:
| Task | Status |
|---|---|
| Check stock | |
| Review quote | |
| File receipt |
The accepted statuses will be Not started, In progress, and Done. Keep one status per task. Multiple selection would make the meaning of a completion status ambiguous, so leave it disabled.
Build and verify the rule
- Select B2:B4, excluding the Status heading.
- Choose Insert > Dropdown. Alternatively, Data > Data validation > Add rule opens the rules panel.
- Use the Dropdown criterion, enter
Not started, and use Add another item forIn progressandDone. - Assign distinguishable colors if useful, but retain the text labels. Check the range is B2:B4.
- Leave the invalid-data behavior set to rejection and click Done.
- Select
Not startedin B2,In progressin B3, andDonein B4.
The finished sheet should have exactly three allowed choices in each of those cells. Selecting B1 should not expose a status dropdown. Test an ordinary direct entry of Donne in B3: it should be rejected, not silently become a fourth choice. Cancel the invalid edit and confirm B3 still has In progress.
Compare warning behavior on a separate tab
Duplicate the finished tab for this experiment; do not weaken the final rule. Select B2:B4 on the duplicate and open Data > Data validation. Edit the rule, expand Advanced options, and change invalid-data handling to Show a warning. Click Done, then enter Donne in B3.
This time the value is allowed but flagged. That distinction matters: a warning is a quality signal, not an enforcement boundary. Correct B3 to Done; the warning should no longer apply. Keep the original tab as the controlled version and label the duplicate as a warning demonstration.
Maintain the choices
To add Blocked later, edit the original rule’s criteria and add that item, then click Done. Select it in B2 and verify the other rows still expose the same list. Restore B2 to Not started and remove the temporary choice if the intended final list remains three states. After online saving, reopen and inspect the choices rather than trusting the chip color alone.
For frequently changing lists, Sheets also offers Dropdown from a range. That is a different maintenance model: changing the source range changes the choices. Do not convert this small fixed example without deciding who should maintain the source list.
Troubleshooting
- Only one cell has choices: check the rule’s application range rather than copying appearances.
- Misspellings are accepted: inspect invalid-data behavior; warning mode intentionally accepts them.
- Unexpected choices appear: review existing values and rules before creating a dropdown over populated cells.
- Removing a list erased useful inputs: perform recovery only on the duplicate, returning to the intact final tab if necessary. Removing a rule is not a substitute for correcting bad data.
Validation guides input; it does not replace cell protection or a permission review.
