Quick answer
Use File > Save as Google Sheets when you need a native Sheets copy of an Excel workbook. Merely opening an Excel file in Sheets can keep edits in the original Excel format. Downloading a native sheet as Excel creates another file, not a live synchronization between the two.
Start with a small compatibility contract
Use the desktop web app and a private practice spreadsheet you own. This exercise covers native Sheets conversion and Excel download, not mobile controls, VBA migration or a promise that every Excel feature survives. If you use an existing workbook, preserve its untouched original first. Avoid testing on a shared operational file.
Create a native practice spreadsheet named Compatibility source. Enter these cells:
| Cell | Entry |
|---|---|
| A1 | Item |
| B1 | Quantity |
| C1 | Unit price |
| D1 | Total |
| A2 | Sample pens |
| B2 | 2 |
| C2 | 5 |
| D2 | =B2*C2 |
| A3 | Sample paper |
| B3 | 3 |
| C3 | 4 |
| D3 | =B3*C3 |
| C5 | Grand total |
| D5 | =D2+D3 |
The expected results are D2 = 10, D3 = 12 and D5 = 22. Bold the headings so there is a visible formatting check as well as a calculation check. These simple cells define what this exercise must preserve; success does not establish compatibility for features that are absent from the fixture.
Produce the Excel copy without losing the source
- Leave the edited cell so its value is committed and wait for online saving.
- Choose File > Download and select Microsoft Excel (.xlsx).
- Retain that download under a distinct name such as
Compatibility export.xlsx. Do not replace an important existing file. - Reopen the native source and confirm its formulas and total are still present. A download does not turn the source into an Excel file.
If Excel is available, open the download there and verify both formulas and displayed values. If Excel is unavailable, record that limitation: importing it back into Sheets checks a round trip through Sheets, not actual behavior in Excel.
Import into isolation, then identify the file type
In a new practice spreadsheet, choose File > Import, select the Excel download, choose Create new spreadsheet, and click Import data. Open the imported result if prompted. Do not choose Replace spreadsheet for this test. Compare A1:D3 and D5 with the original, including the formula text in D2, D3 and D5 rather than values alone.
For an Excel workbook already in Drive, the alternative conversion route is to open it and choose File > Save as Google Sheets. Conversion leaves the Excel original and creates a native Sheets file. Give the native result a distinctive name. If you only open and edit the Office file without converting, changes can instead be saved back to that Office file.
Verify independent edits and finish the handoff
In the imported native result only, change B2 from 2 to 4. D2 must become 20 and D5 must become 32. The original native source and the already-downloaded Excel copy should remain at 22. Reopen each relevant file and confirm its identity before comparing; duplicate names are an easy way to inspect the wrong one.
Keep a short handoff note: source filename, export filename, checked cells, expected total, and whether Excel itself was used. A cloud sharing role, discussion history, script or external connection should not be presumed portable because ordinary arithmetic survived. Review such features individually before handing over a real workbook.
Troubleshooting and recovery
If totals differ, inspect formulas, numeric versus text inputs and missing sheets before applying cosmetic fixes. If formatting differs, decide whether it is essential to the deliverable rather than treating visual similarity as proof of calculation correctness. Recover by returning to the untouched source and producing a new export, not by repeatedly overwriting the only copy.
For CSV identifiers, use the separate product-ID preservation workflow. CSV is not a substitute for a multi-sheet formula workbook.
