Find and replace data safely in Google Sheets
Find and replace data safely in Google Sheets with a worked fixture, expected results and safe recovery.

Quick answer
Open Edit > Find and replace, use exact-cell and case controls deliberately, and inspect each match before replacing. Work in a separate copy first. Replacing a substring everywhere can alter longer labels and formula text that was never meant to change.
Define exactly what should change
Use native Google Sheets in a desktop browser with edit access. The following controls are the computer workflow; mobile has its own Find and replace interface. This exercise uses a new private file with only one tab so the search cannot reach unrelated tabs. In a real workbook, inspect the search scope shown in the dialog instead of assuming the current selection bounds the operation.
Create this fixture at A1:
| Status | Note |
|---|---|
| Pending | Replace this exact status |
| pending | Keep lowercase for this pass |
| Pending review | Keep the longer label |
| Pending | Replace this exact status |
| Approved | Leave unchanged |
In D1 enter Formula control; in D2 enter ="Pending". It displays Pending but is calculated text. The intended edit is only A2 and A5, from Pending to Ready. A3, A4, A6 and the D2 formula must remain unchanged. Keep an untouched copy using File > Make a copy before opening the replacement dialog.
Find first and replace one cell at a time
- Choose Edit > Find and replace.
- Put
Pendingin Find andReadyin Replace with. - Enable Match case and Match entire cell contents.
- Leave Search using regular expressions off. This is a literal label, not a pattern.
- Leave Also search within formulas off. We are not editing formula text.
- Click Find and inspect the highlighted cell address and content. Click Replace only for A2 or A5; use Find again to move past anything outside the intended pair.
- Continue until both intended cells are Ready, then close the dialog and compare every control cell.
Find advances through matches; it is not a count of safe replacements. The displayed formula result is an additional reason to verify the address instead of trusting search options alone. Do not replace D2 even if it appears during inspection.
The final A2:A6 sequence must be Ready, pending, Pending review, Ready, Approved. D2 must still contain ="Pending", not a manually typed result. There are exactly two changed status cells.
Test the boundary before using Replace all
In a separate fresh copy of the original fixture, repeat the search with Match entire cell contents disabled, without replacing anything. Pending review is now an eligible substring match as well. Turn Match case off and the lowercase pending becomes eligible too. This comparison explains why broadly replacing a word can damage a mixed-status list.
If a real cleanup calls for all such variants, define that expanded rule explicitly and validate it on the copy. Do not infer permission to change every matching formula, note or tab from a request to update two status values. Replace all is appropriate only after you have verified the scope and match behavior for that dataset.
Diagnose missed or unexpected results
A cell that looks identical may contain a trailing space, a different character or a formula. Inspect its actual contents. If you enabled regular expressions accidentally, punctuation can acquire special meaning; return to literal search for this task. Formula search is useful when deliberately refactoring formulas, but that is a separate operation with different risks.
After online saving, reopen the edited copy and check all five statuses and D2. If more than two status cells changed, keep that failed copy for diagnosis and restart from the untouched one rather than running the reverse replacement globally: changing Ready back to Pending could corrupt legitimate Ready values.
For prevention rather than cleanup, controlled inputs and protected formula cells can reduce accidental edits. Protection is not a substitute for checking the replacement scope.
