Set ordinary edit and comment notifications in Google Sheets

Configure self-only edit and comment notifications for one file and distinguish a valid collaborator test from your own edits.

Documentation-reviewed author candidate; no native application execution. · Editorial standards

Quick answer

For ordinary Sheets edits, choose Tools > Notification settings > Edit notifications, select the event and email frequency, then save. Configure comment notifications separately. These settings apply to you and the current file; your own edits are not a valid email-delivery test.

Choose a practice file and purpose

Use desktop Google Sheets signed into the account where you want notifications. Start with a private synthetic workbook, or an existing test workbook shared with one already-authorized collaborator. Do not add people solely to complete this exercise without approval.

Create a small tab called Status with A1 Task, B1 State, A2 Test item, and B2 Open. The intended event is a collaborator changing B2 to Done. Write down your original notification settings before changing anything so that you can restore them afterward.

This guide covers ordinary file notifications, not a rule for a particular cell value. If you need conditional alerts, see the distinct conditional-notification limitations guide. A normal file notification does not establish that a formula refresh is a supported conditional event.

Set the ordinary edit alert

  1. Open the practice spreadsheet.
  2. Choose Tools > Notification settings > Edit notifications.
  3. For when to notify you, choose Any changes are made.
  4. For frequency, choose Email - right away for this short test, or Email - daily digest if you only want a summary.
  5. Click Save, then reopen the settings to check what was stored.

The other event choice, A user submits a form, is appropriate for a linked form’s submissions, not as a substitute for ordinary collaborator editing. Do not select it for the Status fixture.

These notifications are self-only. Configuring them does not subscribe every collaborator. Viewers can set notifications, but the documentation distinguishes their attribution visibility from editors, who can see the usernames of people making changes.

Set the comment scope separately

Open Tools > Notification settings, or use Open comment history > Notification settings. Under Comments, choose Comments for you to focus on mentions and participating threads. Choose All comments only when you really want every new comment; None suppresses comment email for that file.

Do not use the Google Docs-specific Added or removed content option as though it were the Sheets edit-notification control. The shared help article describes different controls for the two applications.

Run a valid, bounded test

First change B2 yourself from Open to Done. The cell change should save, but you should not expect an ordinary edit email from your own edit. Restore Open.

If you have an authorized collaborator and their agreement, ask them to change that one cell to Done. Record the time, actor and file. Check that the saved cell changed, then check your email, including spam or organizational filtering. No collaborator available? Finish by verifying the stored settings and mark email delivery untested; do not manufacture a second-account result.

A comment test is separate: use an agreed mention or participating thread and review its expected audience before posting. Do not send an unnecessary real comment just to prove a checkbox.

Troubleshoot and reset

If no immediate email arrives, check the selected frequency, event, signed-in account and whether the edit was yours. A daily digest should not be judged against an immediate-delivery expectation. Notification delivery is not a complete audit log; inspect the workbook to establish its current state.

Restore B2 to Open and restore your original notification choices through the same settings. Reopen the settings to confirm. This guide documents controls and a test plan; no email, mention, external message or live notification test was sent.
