Print a Spreadsheet and Prepare PDF Output in Google Sheets
Print a readable sheet or export a PDF in Google Sheets with a reproducible practice example and outcome checks.
Documentation-reviewed candidate; native application verification not performed. · Editorial standards
Quick answer
Select the intended output, choose File > Print, and check the page preview before producing a PDF or paper copy. Configure repeated frozen headers separately from the on-screen freeze, and inspect the resulting PDF rather than assuming the preview guarantees a readable export.
Prepare a report with a known scope
Use an editable native Google Sheets file in a desktop browser. Google’s documented final print flow differs: Chrome opens a print window; Firefox and Safari download a PDF after Next. These instructions are not a mobile printing walkthrough.
Create a private tab named Dispatch with this table at A1:
| Order | Customer | Item | Quantity | Unit price | Total | Status | Note |
|---|---|---|---|---|---|---|---|
| 101 | Sample A | Pens | 2 | 5 | 10 | Ready | Deliver to the practice desk |
| 102 | Sample B | Paper | 3 | 4 | 12 | Ready | Keep the sample box upright |
| 103 | Sample C | Clips | 5 | 2 | 10 | Hold | Wait for the sample approval |
| 104 | Sample D | Folders | 4 | 3 | 12 | Ready | Include the practice checklist |
The four totals sum to 44. Add PRIVATE PRACTICE NOTE — EXCLUDE in J1. It is not sensitive data; it is a visible control for checking output scope. Widen or wrap the notes until each is readable. Freeze row 1 with View > Freeze > 1 row if the report will span pages.
Build the output deliberately
- Select A1:H5, then choose File > Print.
- Change the output choice from Current sheet to Selected cells. Do not choose Workbook for this single report.
- Choose the actual paper size and Landscape orientation for the eight-column layout.
- Review margins. Use the documented Margins choices or Custom numbers if a specific physical margin is required.
- Open Headers & footers and choose Repeat frozen rows. Add page information only if it helps identify the output.
- Inspect the preview: all eight headings must be included, the long notes must be readable, and J1 must be excluded.
For a repeat-header test, use Set custom page breaks to place a break between the second and third data records. Drag the boundary, then Confirm breaks. Each outlined rectangle is a page. Check that the heading repeats on the later page and no record is cut away. Page count depends on layout and browser rendering; this guide does not claim a measured count.
Produce and inspect the PDF
Click Next. In Firefox or Safari, open the downloaded PDF. In Chrome, use the print window’s PDF destination if offered, or cancel if you only intended a preview; never send it to a physical printer accidentally.
Open the resulting file and check each order 101–104 exactly once, the four totals 10, 12, 10, 12, all status labels, and the absence of J1. Confirm the smallest text remains readable at normal viewing size. A PDF is a fixed output, not the editable source workbook.
Change Dispatch!F5 from 12 to 15 as a controlled edit. A newly generated output should contain 15 and now total 47, while the old PDF remains unchanged. Restore 12 and generate the final PDF with a distinct final filename. Retain the editable source.
Troubleshooting and recovery
If extra pages appear, check the selected scope and custom breaks before shrinking everything. If later pages lack headings, check both the frozen row and the repeat setting. If notes are cut off, return to the sheet to improve wrapping or width, then regenerate. Reopen the final PDF after saving; do not rename an earlier faulty file as the final result.
Rehearse bad page-break recovery only in a duplicate: point to a custom break and use its Remove control. Preserve the final PDF separately. For data preparation before output, see sort and filter data.
