Link spreadsheet results into other office documents
Link spreadsheet results into other office documents. A controlled example with expected outcomes, changed-input checks and recovery.
Documentary author review; no native application testing claimed · Editorial standards
Use a linked OLE spreadsheet when another LibreOffice document must display Calc results while retaining a connection to the original file. An embedded spreadsheet is a separate copy, and a pasted image is only a snapshot.
Choose what should stay linked
This documentary exercise uses LibreOffice 26.2 Calc and Impress desktop with English standard menus on Windows or Linux. It follows the Calc Guide’s OLE procedure, not a native-tested application session. No third-party object handler or Windows-only “Further objects” feature is required.
Create Summary.ods with one small sheet. In A1:B4 enter the labels and values: Units, 5; Price, 12; Revenue, =B1*B2; and Report label, Practice only. Save it. B3 should be 60. Create a blank practice Impress presentation and save it separately as Briefing.odp in the same folder.
Use only a workbook whose entire contents are appropriate for the destination. An OLE object is not a redaction boundary: cropping its visible area does not remove other cells or sheets from the source. A single-sheet synthetic workbook makes that distinction easy to inspect.
Insert the existing file as a link
- In Impress, select the slide where the result belongs.
- Choose Insert > OLE Object > OLE Object.
- Select Create from file rather than Create new.
- Use Search to select Summary.ods.
- Select Link to file. Leave Display as icon off because this exercise should show the spreadsheet contents.
- Confirm and click outside the object to return to slide editing.
The key decision is Link to file. Without it, the destination contains an embedded copy, which can be edited but does not automatically track later source-file changes. A hyperlink merely opens a location and does not itself display a live spreadsheet result.
Size the object so the labels and the value 60 can be read. Double-clicking an OLE object enters its editing context; clicking outside returns to the host document. Avoid interpreting the changed menus as a second unrelated spreadsheet. In a linked object, edits can affect the original source, so start with a disposable file.
Prove the connection
Save and close the Impress presentation before opening Summary.ods for editing in Calc. Only one copy can be edited at a time; if the source opens read-only, close the document holding the linked object and reopen the original source rather than saving a new copy over it. Change Units from 5 to 7, save and close the source, then reopen Briefing.odp. The calculated Revenue is now 84; check whether the linked object reflects 84. If an external-link update prompt appears on reopening the presentation, permit it only for the practice source you recognize. Save the presentation and reopen it with the source accessible, then verify the label and result again.
An object that still shows 60 may be an embedded copy, an unrefreshed link or a link to another path. Inspect the link choice and source before changing formulas. A stale visual is not evidence that Calc failed to calculate.
For a stronger check, save and close Impress again, open the editable original source, change Price to 15, then save and close Calc before reopening the presentation. The source and updated linked display should both show Revenue 105. Inspect the actual source workbook too, especially after editing through the object, so you know which document owns the data.
Recover and distribute safely
If the source moves, restore its original location for a quick recovery or repair/recreate the link to its known new location. Preserve a copy of the presentation before replacing an object. Do not overwrite the source with a cached or embedded version just to make the slide look correct.
For a static handout, an image or exported PDF may be more appropriate than a live object. Label it with the reporting date and confirm the displayed totals before export. For editable delivery, retain both the destination and its source, and verify paths on the receiving system. The related external-workbook workflow explains why saved cached values do not establish freshness.
