Arrange pictures, shapes, text boxes and symbols in a report in ONLYOFFICE

Arrange pictures, shapes, text boxes and symbols in a report.

Documentation reviewed; native checks remain manual · Editorial standards

Quick answer

Use Insert to add report objects, then Ctrl+click their borders and use Layout > Align or Group to organize them. Select a text box’s border to move the object; select its text to edit the wording. Keep drawing annotations separate from the cells that perform calculations.

Prepare a report canvas

Use the English Windows/Linux desktop interface documented for ONLYOFFICE Desktop Editors 10.0.0. Make an XLSX practice workbook with Quarter, Revenue and Cost in A1:C1. In row 2 enter Q1, 1200 and 900. Enter Profit in D1 and =B2-C2 in D2; the expected result is 300.

Leave an empty area beneath the table for three annotations: “Revenue checked,” “Costs checked” and “Review complete.” Have a small image you own available locally, such as your own original logo. No downloaded logo or generated imitation of the application is needed. If you have no suitable image, practice the other objects first rather than borrowing an unlicensed one.

Insert and label the objects

  1. Choose Insert > Image and its Image from File option. Select the local image and open it. Image from Storage is a portal-specific option, not the default local-file route.
  2. Drag a corner handle while holding Shift to preserve proportions. Place the image away from the numeric table so it cannot cover important cells.
  3. Use Insert > Shape and choose a simple rectangle from Basic Shapes. Drag to draw a background area for the annotations.
  4. Use Insert > Text Box, drag a text box, and type “Revenue checked.” Repeat for the other two labels. Click outside each object after editing.
  5. Place a text insertion point where a status character is appropriate and choose Insert > Symbol > More symbols. Select a character actually available in the chosen font. Keep a written status label beside it so meaning does not depend on the symbol alone.

The labels are part of drawing objects. They do not change D2 and are not a substitute for worksheet values that need sorting, filtering or calculation. A copied annotation saying “300” would also be a static label, not a live formula result.

Align, layer and group

Select the three text-box borders with Ctrl+click. Choose Layout > Align > Align Top to put them on a shared horizontal edge. With three selected objects, Distribute Horizontally can make the gaps consistent between the two outermost objects. The alignment commands need at least two objects; distribution needs at least three.

If the rectangle covers the labels, select the rectangle and use Layout > Send Backward, choosing the appropriate background option. Layer order changes which object is visible in front; it does not change worksheet cell order. Recheck the label text after every layering change.

Select the annotation objects together and use the Group menu on Layout to group them. Move the group a short distance and verify that the labels and background travel together. Use Ungroup when you need to adjust components independently again. Do not include an unrelated chart simply because its border is close to the group.

Verify the report still works

Change Cost in C2 from 900 to 950. D2 should become 250; the annotations should remain visually separate and should not claim a newly checked result unless you actually reviewed it. Restore 900 when finished. This separates a functioning worksheet from an attractive but stale picture of one.

If dragging edits text instead of moving a box, click its border first. If Group is disabled, check that at least two drawing objects, not cells or text fragments, are selected. Save and reopen the workbook and inspect overlaps at the intended zoom. Review any printed or PDF version independently for clipped objects. For a diagram whose connections carry meaning, see SmartArt and drawing tools.

Sources and verification

Official documentation snapshots retrieved on 20 October 2026 support the procedures above. The worked checks are independently reasoned expectations, not a report of native application testing. Save/reopen, rendering and platform behavior remain checks for the stated installation.
