Format a Readable ONLYOFFICE Report
Make a report readable with wrapping, alignment and borders while preserving unmerged, sortable records.
Documentation-qualified; native execution and save/reopen checks pending · Editorial standards
Quick answer
Keep records unmerged, give the header a restrained style, and wrap long Notes cells. Adjust column widths and row heights until every note ending is readable. Formatting should leave each field value unchanged.
Direct formatting should clarify a register without changing its values or preventing later sorting. You will make long notes readable, establish a restrained header style and avoid the data-loss trap of merging populated cells.
Version and practice file
These instructions target ONLYOFFICE Desktop Editors 10.0.0 on Linux with an English interface and a local XLSX workbook. The desktop changelog records that release on 13 October 2026. The release announcement identifies Linux support but says updated Snap, Flatpak and AppImage packages would follow later; check your installed version rather than assuming every distribution package has updated.
The menu names below were checked against current first-party help on 19 October 2026. This example has not been executed in the native application, and there are no application screenshots or verified save/reopen results. Expected results are independent checks for you to perform. Hosted collaboration, mobile interfaces and other desktop builds are outside this guide’s tested scope.
Enter a small review register
Create Review in readable-report.xlsx. Put Monthly checks in A1, leaving B1:D1 empty. Leave row 2 blank. Enter the following block at A3:D6:
| Item | Owner | Status | Notes |
|---|---|---|---|
Budget review |
Alex |
Open |
Confirm the final figures before the monthly meeting |
Inventory check |
Sam |
Done |
Recount the items with quantity differences |
Access review |
Lee |
Open |
Check the shared folder list and record each decision |
The title is outside the record range. The sortable register is A3:D6, with one header row, three records and no merged cells. Save before formatting. Formatting is successful only if all twelve body-cell values remain intact.
Establish a readable hierarchy
Select A3:D6 and use Home’s font controls to choose an available plain font at 11 points. Select A3:D3, make the headings bold, and use a light background with dark text. Keep the body plain. Select A1 and increase its font size modestly, for example to 14 points, with bold text. This distinguishes the title, field names and data without assigning a different color to every column.
Use Home → Background color for the header fill and the Borders dropdown for a thin outside border around A3:D6 plus a bottom border under A3:D3. Avoid drawing multiple heavy lines around every body cell. The background and borders help explains the relevant controls. Inspect shared cell edges after changing borders: a line can belong to an adjacent cell’s edge, so clearing one selection may not remove every visible edge.
Wrap notes instead of hiding them
Make columns A–C wide enough for the longest Item, Owner and Status. Keep D moderately narrow so the Notes deliberately require multiple lines. Select D4:D6 and choose Home → Wrap Text. The wrapping help describes adjustment to column width and the possible need to adjust row height.
Use Home alignment controls to left-align the text and top-align A4:D6. Top alignment makes the short fields start beside the first line of the long note, rather than floating midway down a tall row. See alignment controls.
Check that D4 visibly ends with monthly meeting, D5 with quantity differences, and D6 with each decision. These endings are intentional clipping probes. Narrow D again, inspect the new line breaks, and increase the row heights if any last line disappears. Then settle on a comfortable final width. A smaller font is not the first remedy for an unreadable note.
Preserve the records while using styles
Do not merge A3:D3 to make a decorative heading: those are four different field labels. Do not merge body cells to provide extra room for Notes. ONLYOFFICE’s merge documentation says only the upper-left value is retained and other selected values are deleted.
The finished register should remain unmerged. First save readable-report.xlsx with the formatting just applied. Close it and reopen that exact main file on Review; verify the header styling, borders and all three complete Notes entries before continuing. This checkpoint preserves the formatted main workbook before any optional Save As operation.
If you want to explore merging, use File → Save as to create readable-report-merge-practice.xlsx from that saved main file. Confirm the active file name is the practice copy. In that copy, confirm B1:D1 are empty, then merge only A1:D1 for the standalone title. Keep A3:D6 untouched. Save and close the practice copy, then reopen readable-report.xlsx on Review. Check that the main file still has its formatting and an unmerged A1:D1 before proceeding. If you skip this optional exercise, keep the reopened main file active. Unmerging later does not recreate discarded values, so a backup is the recovery route when populated cells were combined.
Do not use Format as table merely as a paintbrush during this exercise: creating a structured table has its own lifecycle and filtering behavior. A small consistent set of direct formats is sufficient here. Conditional highlighting based on Status is also a separate rule-driven task; the words Open and Done remain readable without color.
Add a record and check consistency
Back in the main readable-report.xlsx, enter row 7: Archive check, Alex, Open, Confirm the completed reports are stored in the correct folder. Apply the same plain 11-point font, left/top alignment and wrapped Notes to A7:D7. Extend the outside border to A3:D7, checking the old bottom edge does not create an unwanted heavy divider.
Inspect D7 for the ending correct folder. The register now has four records and sixteen populated body cells. Check the original three rows against the input table; styling should not change their values or add spaces to the text.
Save and reopen
Save and close the main workbook, then reopen readable-report.xlsx on Review. Check the four records, separate field headers, complete note endings, and restrained borders. Verify no body cells are merged. Inspect again with a narrower window: horizontal scrolling is acceptable, but each note must remain readable within its own cell once reached.
For screen-independent output, preview the report separately before printing. A good on-screen width is not proof of a good page layout, and CSV cannot preserve this formatting. Keep XLSX as the editable finished artifact.
