Connect Desktop Editors to a supported cloud and check feature availability in ONLYOFFICE

Connect Desktop Editors to a supported cloud and check feature availability.

Documentation reviewed; native checks remain manual · Editorial standards

Quick answer

Connect an existing DocSpace account from the desktop application’s Clouds section, then inspect the actual file mode, permissions and hosted editor version. Opening cloud documents inside Desktop Editors does not make them local files or guarantee that every desktop feature is available offline.

Prerequisites and scope

This guide uses the official existing-DocSpace connection route and the English ONLYOFFICE Desktop Editors 10.0.0 interface. The start window changed in 10.0, so identify the labeled Clouds controls rather than matching the position of a button in an older screenshot. Other providers have their own integration guides; this is not a universal login recipe for every cloud service.

You need an existing authorized DocSpace account, its correct portal address, internet access, and permission to open a non-sensitive practice workbook. Use a workbook you are allowed to edit, or stop at inspection if your role is view-only. This tutorial does not require creating an account, changing room permissions, inviting users or buying a plan.

Before connecting, note the desktop application version from its About information. Later, record the hosted editor version separately where the deployment exposes it, or ask the administrator if it is not shown. A current desktop version does not establish the version of the server editor.

Connect the existing account

  1. In the desktop application’s main window, open the Cloud/Clouds section. The 10.0 release shows providers as a list with a Connect button; choose Connect for ONLYOFFICE. The older connection-guide layout instead uses Plus beside Clouds, followed by the ONLYOFFICE service.
  2. Continue to the ONLYOFFICE connection dialog. The provider-specific guide calls this Connect to cloud office with ONLYOFFICE selected.
  3. Enter your actual portal address in Cloud office URL and click Connect now. Use the address supplied by your organization; the example portalname.onlyoffice.com is a pattern, not a destination to use literally.
  4. On the portal sign-in page that opens in the application, sign in yourself with the existing account. Complete your normal two-factor authentication if requested. Check the portal identity before entering credentials.
  5. Open the permitted practice workbook from the appropriate DocSpace location. Verify that the file is the intended copy and whether it opens for viewing or editing.

The official connection guide describes document editing here as ONLYOFFICE Online Editors. The desktop application is providing access to the service; it is not evidence that the file has been synchronized for unrestricted offline use.

Run a small availability check

In an editable practice workbook, put Connection check in A1 and 10 in B1, then explicitly save using the editor’s available save control. Close and reopen the same server file and inspect B1. Change it to 15 and repeat. Record the observed result, the room or file location, and whether the editor showed editing permission.

For a view-only file, do not change permissions to force this test. Record that editing is unavailable for this account and ask the owner or administrator about the intended access level. A successful sign-in only proves access to the account, not the right to edit every file in it.

Inspect the features you actually need. Collaboration depends on the room and provider setup. External workbook links in the online editor require integration support and are limited to the current portal; they are not guaranteed merely because a local desktop workbook supports local links. Record a missing control as an availability finding, not immediately as a broken installation.

Diagnose and disconnect deliberately

If sign-in fails, recheck the official portal address and account before trying a different provider. If the workbook opens read-only, investigate file or room rights. If a feature differs from a local workbook, compare server editor version and integration policy as well as the desktop version. Do not assume upgrading the local application alone changes the server.

The connection guide documents account-menu options under the three dots beside a connected cloud: Logout ends the account session, while Remove from list disconnects that account entry. Use the one matching your intention; neither is a command to delete the cloud workbook.

Keep an explicit local-file workflow separate from this cloud test. For saving boundaries, see desktop recovery and hosted autosave; for data connections, see external workbook links.

Sources and verification

Official documentation snapshots retrieved on 20 October 2026 support the procedures above. The worked checks are independently reasoned expectations, not a report of native application testing. Save/reopen, rendering and platform behavior remain checks for the stated installation.
