Insert hyperlinks for workbook navigation and source references in ONLYOFFICE

Insert hyperlinks for workbook navigation and source references.

Documentation reviewed; native checks remain manual · Editorial standards

Quick answer

Build an index with Insert > Link, choosing Internal Data Range for a destination in the same workbook and External Link for a web source. Give each link a descriptive Display label and a useful ScreenTip. A link is navigation, not a connection that imports or refreshes worksheet values.

Set up a small index

This walkthrough uses the English desktop interface documented for ONLYOFFICE Desktop Editors 10.0.0. Start with an editable XLSX practice workbook containing sheets named Index and Summary. Put “Quarterly review” in Summary!A1 and a small numeric report below it. On Index, put Destination in A1 and Purpose in B1. Reserve A2 for a summary link and A3 for a source-documentation link.

Keep the destination cells stable while testing. An internal link is useful because it lets a reader reach the intended section without scrolling through every worksheet. It does not make that section private, protect its values, or change who can open a shared workbook.

Add the internal destination

  1. Select Index!A2 and open Insert > Link. Ctrl+K is the documented keyboard alternative in the Windows/Linux workflow.
  2. In Link settings, choose Internal Data Range.
  3. Select Summary as the worksheet and A1 as the cell range. The dialog also supports an existing named range, but this fixture deliberately uses a visible address.
  4. Set Display to “Open quarterly summary.” Set ScreenTip Text to “Go to the report heading on Summary.” Confirm with OK.
  5. Hover over the link and inspect its ScreenTip. Click the link and verify that the destination is Summary!A1, not simply the right sheet at an unrelated scroll position.

Return to Index using its sheet tab. To select the linked cell without following it, click and hold the mouse button. This distinction matters when you want to inspect, copy or revise the index rather than navigate away each time.

Add a source reference

Select Index!A3 and reopen Insert > Link. Choose External Link and enter the official source URL https://helpcenter.onlyoffice.com/docs/userguides/spreadsheet_editor/AddHyperlinks.aspx in Link to. Use “ONLYOFFICE link instructions” for Display and “Official instructions for internal and external links” for the ScreenTip.

Click it and check the destination before relying on it. A clear label should describe what opens, while the actual URL should be checked separately. If the browser cannot reach the page, that is a navigation or network problem; it does not mean the numbers in Summary disappeared or failed to refresh.

Local-file links have different portability limits. ONLYOFFICE documents file:// paths for Windows and file:/// paths for macOS/Linux, and opening these links is desktop-only. A web-editor user can add such a link but cannot open it there. For a workbook intended for several people, a private disk path is therefore usually a poor substitute for an accessible shared source.

Change the heading in Summary!A1 to “Updated quarterly review,” then follow the index link again. The link should still take you to the same address; its Display label will not become a live copy of the heading merely because the destination text changed. Revise labels intentionally when their meaning changes.

Save the intact index first. For an optional removal exercise, make a separate workbook copy; keep the main workbook with both working links. In the test copy, to remove a link using the documented Delete or Clear All route, first record the label if you want to keep it. Those commands also clear the cell content; they are not a preserve-text unlink procedure. Re-enter a plain label if that is the intended outcome, and verify it no longer opens a destination.

Return to the intact main workbook, save and reopen it, then test both links again. CSV does not preserve an interactive multi-sheet index. If you need values rather than navigation, see cell links across workbooks.

Sources and verification

Official documentation snapshots retrieved on 20 October 2026 support the procedures above. The worked checks are independently reasoned expectations, not a report of native application testing. Save/reopen, rendering and platform behavior remain checks for the stated installation.
