Print and Check a Multi-Page ONLYOFFICE Report
Set print area, scaling, repeated headings and page context, then verify a multi-page PDF against its source records.
Documentation-qualified; native execution and save/reopen checks pending ยท Editorial standards
Quick answer
Set an explicit print area, inspect scaling and repeat the field-header row before exporting. Use the desktop Print to PDF control only where available, then open the PDF and reconcile every record and page boundary with preview.
A printable report needs a controlled page range, readable scaling and repeated context. Here you will prepare a 60-record report and inspect every output page instead of assuming that a successful export means a usable document.
Version and practice file
These instructions target ONLYOFFICE Desktop Editors 10.0.0 on Linux with an English interface and a local XLSX workbook. The desktop changelog records that release on 13 October 2026. The release announcement identifies Linux support but says updated Snap, Flatpak and AppImage packages would follow later; check your installed version rather than assuming every distribution package has updated.
The menu names below were checked against current first-party help on 19 October 2026. This example has not been executed in the native application, and there are no application screenshots or verified save/reopen results. Expected results are independent checks for you to perform. Hosted collaboration, mobile interfaces and other desktop builds are outside this guide’s tested scope.
Construct an auditable report
Create Report in print-report.xlsx. In A1:F1 enter ID, Customer, Item, Quantity, Unit Price, Total. Fill rows 2โ61 as follows: ID runs from 1 to 60; Customer is Sample customer; Item is Cable; Quantity is 2; Unit Price is 15. Enter =D2*E2 in F2 and copy down to F61. Each line total is 30 and =SUM(F2:F61) would produce 1800. Keep that check outside the print area, for example in H2.
Make Customer wide enough to read, use a consistent 11-point font, and give body rows enough height to avoid clipping. No rows should be filtered or manually hidden. Save before page setup. Exact pagination depends on fonts, row heights, margins and the print engine, so this guide does not invent a verified page count.
Set the print range and scaling
Select A1:F61 on Report and use Layout โ Print Area โ Set Print Area. Open File โ Print. Choose Active sheets, A4, Portrait and Normal margins. Keep Ignore print area off. Begin with Actual Size scaling, then inspect whether all six columns fit. The print settings help documents range, margins, scale and preview controls.
If Total spills onto a separate horizontal page, first reduce excessive column widths. Use Fit All Columns on One Page only if the result remains comfortably readable. Do not use Fit Sheet on One Page for this 60-line report merely to lower the page count: the aim is readable vertical pages, not tiny text. Record the preview count after choosing the final layout.
Set Print titles โ Repeat rows at top to $1:$1 or the First row option. Row 1 must repeat on each vertical page. Keep spreadsheet row/column headings off unless the recipients need cell addresses. Screen Freeze Panes alone is not this print-title configuration.
Add page context
Open Layout โ Edit Header/Footer. Apply settings to all pages, leaving different-first-page and odd/even variants off for this exercise. Put Service orders in the left header. In the right footer, insert the Page number variable, a literal / separator, then the Page count variable. Use the insertion controls rather than typing a fixed number. Confirm the dialog. See headers and footers.
The preview should show the title and a changing page number. An ordinary worksheet cell containing that title would appear only where the cell prints; a page header is separate. Check the footer stays inside the printable margins and does not collide with the final row.
Control and inspect a page boundary
Save the chosen print settings before leaving preview. Select A32 on Report and use Layout โ Breaks โ Insert page break to request a boundary before record 31. Return to preview. The page-break help warns that breaks depend on page setup; scaling or margins may change the outcome.
Verify where record 31 actually starts. The intended boundary is after ID 30; if automatic pagination already divides the first 30 records, there may be additional pages. Never label a particular page count as guaranteed from record count alone. If the intended break is not honored, review scaling and the selected cell before proceeding. Record the observed page count and first/last ID on every page as your output checklist.
Save settings, export and verify
In Print preview choose Save to retain its settings. Save the editable workbook as XLSX, close it, and reopen print-report.xlsx. Recheck print area, repeated row, header/footer and the boundary in preview. Do this before creating the distribution copy.
For PDF, return to File โ Print and use the documented desktop Print to PDF button, saving the output as print-report.pdf. Retain the XLSX master. Inspect any system dialog’s range and paper settings separately. Hosted Download as is a different interface. If your installed build does not expose the documented button, stop and check its version and platform help rather than substituting a hosted workflow. This guide does not claim the native PDF controls or a PDF export were tested.
Open the resulting print-report.pdf in a viewer. Compare its page count and record boundaries with your recorded preview. Check all IDs 1โ60 occur once, Total is visible, row 1 repeats, page numbers progress, and no blank trailing page appears. At normal viewing size inspect the longest Customer entry and the final ID 60. A PDF is complete only after this visual and content check, not when a save dialog closes.
Troubleshoot without damaging the master
An extra empty page often warrants checking the print area and stray formatted cells. Missing records warrant checking filters and hidden rows before changing margins. Repeating field labels do not fix clipped body text.
For a reset experiment, create print-report-reset.xlsx first. Reset all page breaks is documented with Normal margins, A4 and Portrait defaults; recheck all layout settings afterward. Do not run a reset on the finished master or expect Undo to recover its old setup after reopening.
