INDEX in Zoho Sheet: Return values by row and column

Spreadsheet Intermediate Zoho Sheet

Use Zoho Sheet INDEX for position-based retrieval and build an INDEX/XMATCH lookup without hardcoded columns.

Verification status: Official documentation referenced; example outcomes independently reasoned or arithmetically checked where stated. Not executed in Zoho Sheet. How formula examples are checked

Quick answer: When you already know a position, INDEX gives you the field at that position. It is especially handy as a second step after XMATCH determines which row corresponds to an ID.

This is a Zoho Sheet-specific tutorial, written against Zoho’s official online function reference checked on October 10, 2026. The vendor help does not identify a minimum Zoho application release for this function; a historical introduction date has not been verified. No example in this guide was run in a signed-in Zoho Sheet account. Expected outputs are independently checked against the supplied sample data.

Syntax and parameters

=INDEX(data_table; row; column; [area_number])
Parameter Meaning
data_table One range or multiple range areas with the values to retrieve.
row One-based row position inside the selected range.
column One-based column position inside that range.
area_number Used when data_table identifies multiple areas; omitted in ordinary single-area examples.

Reproduce the example with real data

Download the eight-row CSV dataset and import it into a blank Zoho Sheet starting at cell A1; this creates a header on row 1 and data in rows 2–9. Leave the output area outside A1:F9. If IDs or numbers were changed during import, correct their data types before continuing.

These are representative records from the downloadable dataset (the formula ranges reference all eight records):

Row A: Order ID B: Region C: Status D: Amount E: Agent F: Units
2 O-101 East Paid 120 Ana 12
5 O-104 North Paid 90 Cy 0
6 O-105 West Paid 150 Bo 3
8 O-107 West Paid 125 Ana 12

Enter the formula in a vacant cell, for example H2:

=INDEX(A2:F9;4;4)

Expected result: 90.

Walkthrough: The fourth row of A2:F9 is worksheet row 5 (O-104). The fourth column is D, so the result is 90.

A second example

=INDEX(E2:E9;5;1)

Expected result: Bo. E2:E9 contains a single column. Its fifth row is E6, where the agent is Bo.

More advanced use

=INDEX(D2:D9;XMATCH("O-107";A2:A9;0;1);1)

Expected result: 125. XMATCH calculates the seventh relative position; INDEX returns the seventh amount without requiring the amount column to sit to the right of the lookup key.

INDEX/XMATCH can retrieve a value to the left of the key column because it searches one range and retrieves from another. That avoids the first-column restriction of VLOOKUP and reduces fragility when columns are inserted.

Common errors and troubleshooting

  • Both row and column positions are relative to the selected range, not the whole sheet.
  • If a row/column index points beyond the supplied range, Zoho documents an error. Recheck array width/height before blaming the data.
  • A hardcoded row number can become stale as order records move. Pair INDEX with XMATCH for a key-based lookup.
  • When copying formulas, use absolute references for the source table if it should remain fixed.

Compatibility and version notes

INDEX is widespread, but Zoho documentation includes an area_number concept for multiple ranges and shows a tilde-separated multiple-area example. This guide uses the simpler single-range form, which is easier to transfer to other spreadsheet programs.

The examples deliberately follow Zoho’s semicolon-separated syntax. Spreadsheet software may use different argument separators based on product and locale. This guide covers the current documented Zoho function, not an unverified assertion about support in older releases.
