Quick answer

Use Insert → Hyperlink for navigation and Insert → Note for cell-specific explanations, then test both the destination and the documented assumption.

Before you start

Zoho Sheet web editor in an English desktop browser; rolling service, official documentation reviewed 20 October 2026. Not desktop-app or mobile instructions. Use an editable practice file containing only synthetic data. Keep the original unchanged and record the file name and storage location so that you reopen the same copy. These are documentation-based instructions and independently checked examples, not a claim of native application testing.

Plan a small workbook index

Create an Index worksheet and a Data worksheet. In Data, enter Item, Quantity, and Unit price in A1:C1, then Sample pack, 4, and 7.50 in A2:C2. Put =B2*C2 in D2; the expected amount is 30. On Index, enter Open sample data in A2 and Zoho Sheet help in A3.

A useful link tells the reader where it goes. A useful note explains something the value cannot explain alone. Avoid link labels such as Click here and notes that merely repeat 7.50. Neither gives enough context when the workbook grows.

  1. Select Index!A2 and choose Insert → Hyperlink.
  2. Choose the destination type for a place within the document. Point it to the Data worksheet’s A1 cell using the dialog’s destination controls. Confirm the link, then follow it and verify you arrive at the header row, not an unrelated sheet.
  3. Return to Index and select A3. Open Insert → Hyperlink again, choose the webpage destination and enter https://help.zoho.com/portal/en/kb/sheet.
  4. Test the external link and confirm the destination is Zoho’s Sheet help, not another Zoho product. Close or leave that browser tab and return to the same practice workbook.

The web guide documents webpage, within-document, telephone and email destinations. This exercise deliberately avoids the last two because following those links may invoke another application. A link does not grant access to its destination: a private workbook or document still needs its own sharing permissions.

Attach the assumption to the price

Select Data!C2 and choose Insert → Note. Enter: Synthetic unit price for training only. No tax or delivery is included. Move away from the cell, then hover over it to read the note. Zoho’s web editing help describes notes as hidden until hover by default; do not rely on them as the only visible warning in a report intended for print.

Put a short visible caption beside the table as well: Training example; amounts exclude tax and delivery. The note carries local detail, while the caption survives ordinary reading without requiring a hover action. Notes and collaborative comments have different purposes; use a comment workflow when you need a discussion rather than a lasting definition.

Change the workbook and retest

Update C2 to 8. D2 should become 32, while the note should still explain the price’s basis. If the note mentions an old numeric amount in your own file, edit it too. Link and note text can become stale even when formulas recalculate correctly.

Rename or move a destination only in a disposable copy, then retest the internal link. Do not assume a link survives every structural edit. If it lands incorrectly, reopen the hyperlink dialog and choose the intended location again.

Finish with a reader check

Reopen Index and follow A2 from the saved workbook. Hover over C2, inspect its note, and verify D2 is 32. If exporting, check the exported artifact independently: a printed page cannot provide hover interaction, and clickable links depend on the chosen output format. Keep important explanations visible in cells instead of hiding all documentation in notes.

Continue with cell history restore values.
