Add images in cells or over cells and arrange report objects
Insert record pictures in cells and report illustrations over cells; use alignment guides to arrange floating objects without covering the data.
Quick answer
Insert record pictures in cells and report illustrations over cells; use alignment guides to arrange floating objects without covering the data.
Before you start
Zoho Sheet web editor in an English desktop browser; rolling service, official documentation reviewed 20 October 2026. Not desktop-app or mobile instructions. Use an editable practice file containing only synthetic data. Keep the original unchanged and record the file name and storage location so that you reopen the same copy. These are documentation-based instructions and independently checked examples, not a claim of native application testing.
Prepare a two-record catalogue
Use two small images that you own and may upload, such as a self-created blue square and green circle. Name them blue-square.png and green-circle.png. Do not use customer photos, a remote image requiring a login, or a picture copied from an unknown source. Uploading an image places that file into the workbook service.
In A1:C3 enter headers Code, Description, Picture; then P01, Blue square, and a blank C2; then P02, Green circle, and a blank C3. Leave E2:M12 clear for a report illustration. Put a visible caption in E14: Synthetic product illustrations.
A picture in a cell belongs to a record. A picture over cells is a floating presentation object. Choosing the correct placement is more important than getting the image onto the sheet quickly.
Insert the record images
- Select C2. Open Insert, find the Image options, and choose the option for an image in cell.
- In the image selector, upload the blue-square file from your device and insert it.
- Repeat for C3 with the green-circle file. Verify that the colors and shapes agree with the labels in column B.
- Use the in-cell image’s right-click options to inspect its preview and display fit. Prefer a fit that preserves the complete square or circle rather than stretching the illustration into a misleading shape.
The official image-in-cell announcement describes images moving with their cells when cells shift. Check that claim on a copy by inserting a row above the two records and confirming each picture remains with its own code and description. Do not infer that a floating image has the same record association.
Return to the original practice workbook with its unchanged row layout before continuing; the following addresses refer to that original.
Add and arrange a floating illustration
Choose Insert → Image and the option for an image over cells. Use the same authorized blue-square file so no new asset is needed. Place it in the empty report area, not over A:C. Add a second floating illustration using the green-circle file.
Drag one object towards alignment with the other. Zoho documents red horizontal or vertical guides and spacing indicators; use them to align the tops and leave a visible gap. Resize using the object handles while keeping the underlying table readable. The relevant result is two distinct objects with aligned edges, not a particular pixel coordinate.
Keep captions in worksheet cells so that the meaning is available even if an image does not load. The color must not be the sole identifier: the description includes the shape and the code supplies a stable record key.
Check edits, layout and output
Change B2 to Blue square, revised label. The text change should not replace the picture. Inspect the picture separately if the product itself changes; an illustration is not generated automatically from the description.
If a row becomes too small to recognize the image, adjust the row dimensions or use Preview. If a floating picture covers data, move it into the reserved area rather than hiding the source cells. When selection is ambiguous, confirm an object’s handles are visible before deleting; a cell selection and an image selection are different targets.
Reopen the saved workbook and inspect both in-cell pictures and both floating objects. Check a PDF or workbook export in its actual destination application before distributing it: positioning and image preservation can differ. Keep the original asset files and the editable cloud workbook rather than treating an exported picture as the only copy.
