Quick answer

Create a narrowly scoped connection to an authorized Zoho application, import a filtered test dataset, and distinguish the connection from its spreadsheet data link.

Before you start

Zoho Sheet web editor in an English desktop browser; rolling service, official documentation reviewed 20 October 2026. Not desktop-app or mobile instructions. Use an editable practice file containing only synthetic data. Keep the original unchanged and record the file name and storage location so that you reopen the same copy. These are documentation-based instructions and independently checked examples, not a claim of native application testing.

Set the access boundary first

Use an existing account in a supported Zoho application and a synthetic test dataset that you are authorized to bring into Zoho Sheet. Do not connect a production CRM merely to follow an example. A connection authorizes access to an application; a data link places a selected dataset into a particular spreadsheet. Removing one link is not necessarily revoking the underlying authorization.

For a concrete test, prepare or identify two existing sandbox records that can be filtered by a common test label. The expected fields are a stable record ID, a descriptive name and a numeric quantity. Record the two IDs and quantities 12 and 8 in a local checklist. Adapt the field names to the chosen service rather than inventing a universal schema.

Authorize and select the records

  1. Choose Data โ†’ Data Connection โ†’ Connect Zoho Apps.
  2. Select the service you actually use from the available list and choose Authenticate.
  3. Read the Zoho Flow access request. Proceed only if you have authority to grant the requested access and the scopes fit the task. Do not accept a broad or unexpected grant just to reach the next screen.
  4. Choose the dataset or module containing the two sandbox records. Use Filter to define the relevant field, condition and value, then inspect the selection before Next.
  5. Choose a destination in an empty worksheet, starting at A1, with room for all imported fields and future rows.
  6. For this first test, choose Only Once and now rather than periodic importing. Import and compare the two stable IDs and numeric values with your checklist.

Field names and authentication screens vary by application. The connection guide supports this general workflow, not a promise that every service offers identical filters or record layouts.

Validate the data before scheduling

Identify the imported quantity column from its header. Add a total outside the imported footprint; for values 12 and 8 it must be 20. Check whether dates, identifiers and empty fields retain their intended meaning. A formatted number that loses leading zeros may be an identifier rather than a quantity.

After a permitted test edit in the source changes 12 to 15, refresh the relevant data link through Data โ†’ Data Connection โ†’ Manage Connections โ†’ Data Links. Expect the same two IDs and a total of 23. A third unexpected record indicates a filter problem; a missing record requires investigation before reporting a complete total.

Only after this test should you choose a periodic schedule that meets the business need and the current account’s available plan. The documentation describes plan-dependent intervals and caps; check the actual account rather than hardcoding a promised frequency.

Manage the two layers

Under Manage Connections โ†’ Data Links, you can inspect, edit, refresh or delete spreadsheet links. Under Manage Connections โ†’ My Connections, inspect the connection status and its associated links, and use the available reconnect or revoke controls when appropriate.

The documentation says collaborators cannot manage an owner’s connections and links merely because they can edit the spreadsheet. Record who owns the connection and who will maintain it. Plan for ownership changes instead of leaving a critical report dependent on an unknown account.

If access is no longer needed, review dependent links before revoking authorization. Revocation can interrupt other imports using the same connection. Preserve only the approved snapshot you still need, label it static, and confirm that no unwanted schedule continues to import data.
