Quick answer

Use Insert โ†’ Shape to build a three-stage process diagram, then keep its text synchronized with the worksheet instructions.

Before you start

Zoho Sheet web editor in an English desktop browser; rolling service, official documentation reviewed 20 October 2026. Not desktop-app or mobile instructions. Use an editable practice file containing only synthetic data. Keep the original unchanged and record the file name and storage location so that you reopen the same copy. These are documentation-based instructions and independently checked examples, not a claim of native application testing.

Define the process before drawing

Use a worksheet called Process. In A1:C4 enter a small control table:

Step Action Completion check
1 Receive Record ID exists
2 Check Required fields complete
3 Archive Approved copy stored

Reserve E2:N12 for the diagram. The goal is a readable visual explanation of this sequence, not an automated approval workflow. A shape saying Archive does not move files or enforce a policy.

Decide on one reading direction, left to right, and use explicit numbered labels. Do not use color as the only way to distinguish stages. The adjacent text table remains the accessible, editable description if the diagram is small or absent in an export.

Build and edit the diagram

  1. Choose Insert โ†’ Shape to open Zoho Sheet’s shape editor.
  2. From its Insert panel, open Diagrams and choose the Process category. Set three levels for the three steps.
  3. Replace the diagram’s text with 1 Receive, 2 Check, and 3 Archive, in that order. Resize the diagram by dragging its corners, keeping the labels legible.
  4. Add explanatory text using Text in the Insert panel: Only archive a checked record. Keep the instruction near the sequence without obscuring any stage.
  5. Select a shape to use the editor’s right-hand formatting pane. Choose high-contrast text and a restrained fill. Avoid shadows or gradients that reduce text clarity at a smaller size.
  6. Place the finished object in the reserved worksheet area. To revise it later, double-click the shape to reopen the editing pop-up.

For a less structured drawing, the same editor offers Shape tools and continuous-draw mode. Those are useful for repeating a shape, but this fixture uses a Process diagram to make the three-stage relationship clear. A cycle would imply returning to the first step; a pyramid would imply hierarchy. Neither communicates this simple sequence as directly.

Verify meaning as well as appearance

Read the diagram and control table together. There must be three stages, with the same order and wording, and no detached text suggesting a fourth action. Resize the object smaller and check that 2 Check is still distinguishable from 3 Archive without relying on their colors.

Change the table’s third action to Store approved copy. Edit the diagram to match. This deliberate test establishes that diagram text is maintained separately: do not expect cell edits to update arbitrary shape text automatically. Restore the original wording only if that is the approved process.

Avoid common object-editing mistakes

If typing changes a worksheet cell instead of a label, stop and undo; you were not editing the shape text. Double-click the object and select the relevant label. If dragging moves only one element, check whether you selected the intended object or group inside the editor. Zoho documents grouping and ungrouping selected shapes, text and diagrams; use it deliberately rather than assuming every visible element is grouped.

A duplicate created with the shape’s Clone command is a separate object. Remove obsolete copies so the report cannot show two contradictory processes. When using Save as an image, treat the image as a snapshot rather than an editable replacement for the original. Finally, reopen the workbook and compare both the diagram and its neighboring text table before distributing the report.
