Make a Drop-Down List from a Cell Range in Zoho Sheet

Build a status drop-down from a maintained source range, check invalid entries, and extend the rule without confusing source and destination cells.

Documentation checked 2026-10-16; sample counts independently calculated; not tested in Zoho Sheet · Editorial standards

Quick answer: Select the cells people will fill in, open Data → Data Validation, and choose Cell range as the criterion. Point it at a separate list of allowed values. For this example, C2:C7 receives the choices and H2:H5 supplies them. Zoho documents both range-based and directly typed lists in its validation guide.

Before you start

Use the English-language web application and a practice spreadsheet you can edit. This guide follows Zoho’s rolling web documentation checked on October 16, 2026; it does not identify a numbered release. If the destination or source cells are locked for your account, ask the owner to review access before changing the rule.

Work in a disposable sheet named Tasks. The values below are synthetic. No download or template is required, and no import is assumed to carry validation settings.

1. Separate the source list from the input cells

Enter these headers and task names in A1:C7. Leave C2:C7 empty for now; “leave blank” is an instruction, not cell text.

Row A: Task ID B: Task C: Status
2 T-001 Check stock leave blank
3 T-002 Prepare labels leave blank
4 T-003 Review artwork leave blank
5 T-004 Pack samples leave blank
6 T-005 Confirm quantities leave blank
7 T-006 File receipt leave blank

Separately, enter the following in H1:H5:

Cell Value
H1 Allowed status
H2 New
H3 In progress
H4 Blocked
H5 Done

H1 is a heading, so it must stay outside the source range. Keep the four choices in consecutive, nonempty cells without duplicate labels or trailing spaces. That makes a short drop-down easier to inspect and maintain. Do not use C2:C7 as its own source.

2. Create the range-based rule

  1. Select C2:C7 and open Data → Data Validation.
  2. Check the rule’s destination range. It should cover the six status cells, not the header or the entire task table.
  3. Choose Cell range and select H2:H5 as the allowed-values source. Use the dialog’s range selection control if you are unsure of reference syntax; confirm the highlighted cells before accepting it.
  4. Add a short entry hint such as “Choose the current task status.” Configure the invalid-entry alert to reject an unlisted value if strict entry is your goal, then confirm the rule.

Zoho’s validation announcement explains that the alert can reject invalid input, accept it with information, or accept it silently. A visible drop-down alone therefore does not establish strict rejection. Exact alert wording should be checked in your current interface.

3. Fill the sample and check the result

Open each status cell’s drop-down and choose these values:

Cell Choose
C2 New
C3 In progress
C4 Blocked
C5 Done
C6 New
C7 Done

You should have two New tasks, one In progress, one Blocked, and two Done. In unused cells J1:K5, create a small count check:

Cell Enter
J1 Status
K1 Count
J2:J5 New, In progress, Blocked, Done, one value per row
K2 =COUNTIF($C$2:$C$7;J2)

Fill K2 down through K5. The independently calculated expectations are 2, 1, 1, 2, summing to six. The COUNTIF guide explains the formula; its argument separator follows Zoho’s English reference.

Now try typing Waiting into C4. Under the intended rejection configuration, it should not replace Blocked. Record the actual response before relying on the rule. If Waiting is accepted, inspect the error-alert setting rather than assuming the drop-down is broken. Restore C4 to Blocked after the test.

Also inspect C1 and H2. Neither should have acquired this destination rule. This catches a common selection error that a successful test in C2 would miss.

4. Maintain the list deliberately

Suppose the team needs a fifth status:

  1. Put Waiting in H6.
  2. Open Data Validation → Manage Validation, find the C2:C7 rule, and use its settings to edit the source to H2:H6.
  3. Reopen C4’s drop-down, choose Waiting, and verify the selection. Restore Blocked when finished.

The web help documents editing, copying, and clearing rules through Manage Validation. This workflow explicitly extends a fixed source range; it does not depend on undocumented automatic expansion.

Adding a task row is a different change. To add T-007 in row 8, extend the destination to C2:C8 and test C8. Enlarging the source list does not establish that a new input row has validation. Review the two ranges separately.

For a renamed status, first inspect existing records. As a practice test, replace H4’s Blocked with On hold, then audit the six stored statuses using D1 = Source matches and D2 = =COUNTIF($H$2:$H$6;C2), filled to D7. An unchanged Blocked in C4 has an expected match count of 0; a listed status has 1. Review and intentionally update old records, then restore H4 and C4 to Blocked for the original sample. This is a reconciliation exercise, not a claim that Zoho automatically rewrites existing cell values.

COUNTIF is case-insensitive according to its official reference. This audit finds missing labels and duplicates in the source; it is not an exact-capitalization validator. With a unique source list, a count above one is a reason to inspect duplicate choices.

Troubleshooting and safe limits

Symptom Check and recovery
The heading appears as a choice Inspect the source; start at H2, not H1.
The choices are task statuses already entered elsewhere Check that the rule points to H2:H5 or H2:H6, not C2:C7.
A new status is missing Confirm that the source actually includes its cell. Close and reopen the drop-down after editing the rule.
One task row behaves differently Inspect destination boundaries and overlapping rules in Manage Validation.
Invalid text is accepted Revisit alert behavior and test a typed entry. Do not infer paste/import behavior from that one test.
The list looks duplicated or contains near-matches Inspect the source cells for duplicates and spaces. Clean the source before changing existing task records.
Existing entries do not match the revised list Audit and reconcile them explicitly. Rule creation is not evidence that old data was cleaned.

Before bulk pasting, importing, or replacing a validated range, test that operation in the practice sheet and inspect the resulting rule and values. The reviewed sources do not establish every paste, blank-cell, or cross-format edge case. To remove a rule, select only its destination and use the documented Clear → Clear Data Validation command; avoid a broader clear operation that might remove the task data.

Data Validation versus Picklist, and platform differences

Zoho also has Insert → Picklist. Its current Picklist help documents single/multiple selection, chip display, and a distinct management interface. This tutorial uses Data Validation, so do not mix the two sets of menu instructions or assume their existing-value update behavior is identical.

The Windows offline validation guide uses Create Validation and lists Formula among its criteria. The checked web guide lists Date & Time and does not list that Formula option. Those are documentation differences, not proof that a particular current web account lacks a feature. Mobile and desktop execution are outside this walkthrough.

Verification: Documentation checked on October 16, 2026; sample counts calculated independently. Not tested in Zoho Sheet, including source-list updates and paste behavior.
