Import and Export a Zoho Sheet Workbook Safely

Preserve a cloud master and test a synthetic XLSX export, receiving-app calculation and separate re-import.

Source-reviewed proposal; native UI, save/reopen and publication verification pending · Editorial standards

Quick answer

Keep the Zoho cloud master, use File > Download As > MS Excel Workbook (.xlsx), and reopen the download in the receiving application. Accept it only after formulas recalculate, both tabs survive and the separately re-imported copy passes the same checks.

Scope and evidence

Zoho Sheet web editor in a desktop browser with an English interface and edit access to a private synthetic workbook. Cached first-party documentation retrieved on 19 October 2026 and reviewed on 20 October 2026; the continuously updated service has no fixed version asserted here. Record your browser, account role and visible interface before testing. Windows/macOS desktop applications and mobile apps are outside scope.

No authenticated native editor was available for this review. Expected values below are independently calculated synthetic checks, not observed application results. No native screenshot or successful save/reopen is claimed. Use only a private practice file in an existing authorized account; stop on unavailable or policy-blocked controls.

Build a small cloud master, export a transport copy and accept it only after the receiving application passes concrete checks. The following round-trip is an unexecuted acceptance recipe, not a preservation guarantee.

Create and save a cloud master

Create a private workbook named Zoho Transfer Master; rename its first tab Orders. Enter:

Cell Input
A1 Order
B1 Units
C1 Unit price
D1 Amount
A2 O-101
B2 3
C2 12.5
D2 =B2*C2
A3 O-102
B3 4
C3 7.25
D3 =B3*C3
A4 Total
D4 =SUM(D2:D3)

D2 = 37.5, D3 = 29, D4 = 66.5. Apply Currency to C2:D4 through Format > Format Cells, choosing a symbol and two-decimal example. Add a second worksheet using Shift+F11, rename it Notes, and put Transfer acceptance required in A1. Record both tab names. Wait for saving to finish and record the cloud master’s URL and location in your account listing before downloading anything.

Choose the correct transport

Use File > Download As and select MS Excel Workbook (.xlsx) for this exercise. Save as Zoho Transfer Trial.xlsx in a local folder named Zoho Transfer Practice. Keep the master open and unchanged.

XLSX and ODS are workbook transports; CSV/TSV are flat text-data transports, not full workbook backups. A CSV does not carry a second tab, live formulas, formatting or chart objects. PDF is a page-layout output for reading, not an editable formula workbook. Inspect print settings before making a PDF. Do not select a format merely because its filename opens elsewhere.

Zoho’s unsupported-export list names comments/group chat, named filters, lock settings, picklists, checkboxes and buttons, among other limitations. It also lists function and chart limitations. Macros have a documented ODS-only export qualification; that is not proof a macro will execute correctly in a receiving application. Do not include macros or external connections in this practice file. The export help also warns that files with locked-and-hidden cells cannot be downloaded. Do not bypass a restriction to complete an export.

Acceptance in the receiving application

Open the local XLSX in an application you already have permission to use. Record its name/version and any conversion warnings. Decline macros or external-data activation if prompted; neither belongs to the fixture.

  1. Confirm Orders and Notes both exist. Inspect Notes A1.
  2. On Orders, confirm the two order IDs and the four inputs in B2:C3 and two results in D2:D3. Check D4 = 66.5 and the chosen currency presentation.
  3. Inspect D2, D3 and D4 in the formula bar. A displayed total alone does not prove formulas survived.
  4. Change B2 to 5. Require D2 = 62.5 and D4 = 91.5. If either fails, reject the copy for editable-workbook use and retain the cloud master.
  5. Save this changed receiving-app copy as Zoho Transfer Returned.xlsx in Zoho Transfer Practice. Do not overwrite the trial or master.

Re-import as a separate test

In Zoho Sheet use File > Import > Browse or Drop Your Files to choose the returned file. This step uploads the selected file to Zoho: use only this synthetic fixture and your authorized account. If an import prompt proposes replacing an existing workbook, cancel and start a separate import from the file listing instead. Name the imported workbook Zoho Transfer Return Check and record its new URL.

Check both tabs, the three formulas and total 91.5 again. On Orders add A5 O-103, B5 2, C5 5, D5 =B5*C5. Change D4 to =D2+D3+D5, so the total is 101.5. Apply the desired number format to the new row explicitly. This growth check tests a recalculating workbook rather than cached display values.

Final checkpoint and safe reset

Wait for saving, reopen Zoho Transfer Return Check, and require both tabs, three order IDs, D5 = 10 and D4 = 101.5. Keep the cloud master at 66.5 and preserve the two local trial files. Record pass/fail separately for formulas, types, layout and sheets. A partial pass is not a faithful round-trip.

If a warning or missing feature appears, preserve the rejected file as evidence and return to the cloud master. For a repeat, export a fresh trial from that master, not from the previously converted return. No Undo after reopening is needed. Optional CSV/PDF comparisons must be saved under distinct filenames and checked as text/page outputs; do not use them to overwrite the master.
