Filter Zoho Sheet Pivots with Slicers and Connected Timelines

Combine category and date controls, connect a timeline to two pivots, and reconcile filter intersections without mistaking hidden records for deleted data.

Documentation-qualified; independent subset calculations; no live slicer or timeline execution · Editorial standards

Quick answer

Use a pivot slicer for categories and a timeline for dates. A timeline can control multiple pivots only after they are connected to it. Clear each active control separately: clearing the date selection does not establish that the category selection was also cleared.

Scope and availability

These are documented web-editor controls. Zoho’s release history records pivot slicers in June 2024 and timelines in December 2024. The service changes continuously; there is no numbered web build pinned here.

Zoho’s individual free offering does not establish that every account exposes every control. Feature-level free-account entitlement was not verified. Start only in an existing authorized account with a private practice workbook. If a menu or connection option is missing, stop that branch and check the current web help and account entitlement. Do not substitute desktop instructions or start a paid trial. No sign-in, upgrade, native run or account change was performed for this guide.

This workflow goes beyond ordinary sort/filter operations and pivot creation: the central check is whether two reports actually respond to the intended date controller.

Create six dated records

In a workbook named Pivot-Filter-Practice, name the source sheet Sales. Record the workbook’s URL. Enter headers Date, Region, Status, Amount in A1:D1 and these six records in rows 2:7:

Date Region Status Amount
2026-01-05 East Open 100
2026-01-20 West Closed 80
2026-02-05 East Closed 60
2026-02-20 West Open 40
2026-03-05 East Open 30
2026-03-20 West Closed 90

Use actual date values, not text that merely looks like a date. One reproducible entry method is to enter =DATE(2026;1;5) in A2, then corresponding DATE formulas for the other five dates. Use the argument separator accepted by your locale. The DATE reference explains the function. Display dates in a recognizable date format and verify their year, month and day.

An independent total outside the source is =SUM(D2:D7) = 400. Region totals are East 190 and West 210; status totals are Open 170 and Closed 230. Keep these checks outside A1:D7.

Build two reports from the same source

Following the web pivot workflow, create two pivots from exactly Sales!A1:D7 on separate destination sheets:

  • ByRegion: Region and then Date in rows; Amount summarized by Sum.
  • ByStatus: Status and then Date in rows; Amount summarized by Sum.

Use Data → Pivot Table and the builder to place the fields, then Generate. Leave room around each pivot for controls and expansion. Both reports must initially total 400. Their differing row layouts are intentional; identical source data does not imply identical grouping.

Add a Region slicer to the first pivot

Select ByRegion’s pivot and choose Data → Pivot Table → Add Slicer, or its right-click Add Slicer command. Choose Region and confirm. These controls are documented in pivot slicer help.

Select East. ByRegion should show the East records totaling 190. The source records must remain intact. Do not infer that ByStatus is connected simply because it comes from the same source; observe and record its behavior.

Use the slicer’s General settings or multi-selection control if you want to select both regions. Selecting both should restore 400 in the controlled report, provided no other filters apply. Use the slicer’s clear control to remove its restriction before the next stage.

Add and explicitly connect a timeline

The timeline guide requires a pivot with a date range.

  1. Right-click ByRegion’s pivot and choose Add Timeline, or use Data → Pivot Table → Add Timeline.
  2. Select the Date field and confirm. Choose months in the timeline’s date-level selector.
  3. In the timeline’s side pane, select both intended pivot tables as its connections. Identify them by their actual names and destinations; do not assume a connection from proximity on a sheet.
  4. If the second pivot is not offered, stop the multi-pivot branch. Check that both use the same intended source and date field. The documentation does not establish every compatibility rule for connecting unrelated sources.
  5. With category filters cleared, use the slider to select January and February 2026. Inspect both reports.

The expected total is 280 in each: January 180 plus February 100. ByRegion should split this as East 160, West 120. ByStatus should split it as Open 140, Closed 140. The original source total remains 400 because filtering the reports is not deleting records.

A second report still showing 400 has not passed the connection test. Inspect the side-pane connection selections before altering any source data.

Test the intersection and clearing behavior

Restrict the timeline to February. Both connected reports should total 100, with East/Closed 60 and West/Open 40 represented in their respective layouts.

Now select East in the Region slicer. ByRegion should be restricted to the intersection: East and February, totaling 60. Check ByStatus separately; do not claim the Region slicer controls it unless you explicitly established and tested that association. The timeline connection alone is not a Region-slicer connection.

While the East slicer remains selected, clear only the timeline using its Clear Filter control. ByRegion should return to all East dates, totaling 190, not necessarily the full 400. Clear the Region slicer next. Both fully unfiltered reports should return to 400 if no other pivot filters remain.

For a date-boundary check, switch the timeline to days and select 2026-02-20 only with category filters cleared. The expected included record is West/Open/40. A value of 100 would suggest that the whole month is still selected rather than that one day.

Do not confuse table slicers with pivot slicers

Zoho also documents table slicers, created through Format → Table → Add Slicer. That is a different target and route. This exercise uses pivot controls; a slicer on the original table is not evidence that both summary pivots are connected to it.

These controls are filters, not security boundaries. Someone with access to the workbook may be able to clear them and see other records. Do not use a selected date window as a way of restricting disclosure.

Preserve and reopen

Finish with all filters cleared, both pivots totaling 400, and the timeline connected to the two intended reports. Wait for saving to finish, close, and reopen the same workbook URL. Inspect the connections and repeat the January–February 280 check in both reports. Restore all dates afterward.

A report should not be presented as synchronized until both initial and reopened checks succeed in the actual account. This article supplies acceptance criteria, not a claim that those actions were run.

Verification: Official web pages were read on 21 October 2026. All subset totals and date boundaries were independently checked. Native UI, account entitlement, control persistence, combined slicer associations and export compatibility were not tested; no screenshot is claimed.
