Find and Replace the Intended Data in Zoho Sheet

Limit status replacements to intended cells, preserve outside sentinels and test partial matching safely.

Source-reviewed proposal; native UI, save/reopen and publication verification pending · Editorial standards

Quick answer

Open Search > More options, choose a specific range and leave Include formulas off. Preview the intended matches; when exact-case and whole-cell controls cannot be verified, replace each known target in its own single-cell range.

Scope and evidence

Zoho Sheet web editor in a desktop browser with an English interface and edit access to a private synthetic workbook. Cached first-party documentation retrieved on 19 October 2026 and reviewed on 20 October 2026; the continuously updated service has no fixed version asserted here. Record your browser, account role and visible interface before testing. Windows/macOS desktop applications and mobile apps are outside scope.

No authenticated native editor was available for this review. Expected values below are independently calculated synthetic checks, not observed application results. No native screenshot or successful save/reopen is claimed. Use only a private practice file in an existing authorized account; stop on unavailable or policy-blocked controls.

Replace two status cells without damaging a longer phrase, a lower-case variant or matching text on another sheet. Use a bounded search and inspect each intended match; never infer the search scope from the current selection alone.

Build target and sentinels

Create Zoho Replace Final. Rename the first sheet Tasks and enter:

Cell Input
A1 ID
B1 Status
A2 T01
B2 Pending
A3 T02
B3 Pending review
A4 T03
B4 Done
A5 T04
B5 Pending
A6 T05
B6 pending
D2 Pending
E2 ="Pending"

Add a second sheet with Shift+F11, rename it Archive, and enter A1 Pending. Return to Tasks. There are exactly two intended changes: B2 and B5. B3, B6, D2, E2 and Archive A1 are sentinels.

Use the top-right Search bar, open its dropdown and choose More options. The web help documents this route and scopes for row, column, range, sheet and spreadsheet. Enter Pending as the search text and Ready as the replacement. Leave Include formulas off. Choose the range scope and specify Tasks B2:B6; verify the sheet and coordinates in the dialog.

The text of the web help does not enumerate exact case/whole-cell checkbox labels. Inspect your live dialog rather than importing labels from the iPad app. If whole-cell and case-sensitive options are available, enable both and use Find to require exactly B2 and B5 before bulk replacement. If you cannot verify those options, use the safe single-cell path below. Do not run a broad Replace All based on unverified matching defaults.

Safe single-cell replacement path

  1. Keep Tasks active. Set the dialog’s range to B2:B2. Find Pending, inspect the complete cell value, and replace it with Ready. Require one changed cell.
  2. Set the range to B5:B5, repeat Find and replace, and require one more changed cell. Recheck the range after every Find operation if the selection changes.
  3. Close the dialog. Read B2:B6 in order: Ready, Pending review, Done, Ready, pending.
  4. Confirm Tasks D2 is Pending, E2 still has formula ="Pending", and Archive A1 is Pending. Count two replacements by comparing the cells, even if the dialog does not provide a count.

If using verified whole-cell/case controls instead, perform the single bounded replacement on B2:B6 only after previewing its two exact hits, then run the same sentinel checks. Both paths have the same result; do not run both consecutively on the same state.

Change and growth test

Add Tasks A7 T06 and B7 Pending. Open More options again and explicitly set the range to B7:B7. Replace that one exact value with Ready. Existing range B2:B6 does not automatically authorize a larger search. Final expected statuses are three Ready cells, one Pending review, one Done and one lower-case pending in B2:B7. The outside sentinels remain unchanged.

Save the final result

Commit the edit and wait for the cloud save status. Record the URL and account-listing location for Zoho Replace Final, close and reopen it. Inspect Tasks B2:B7, D2, E2’s formula and Archive A1. This saved result is the deliverable; later experiments belong in another copy.

Compare partial matching and recover

Create a separate practice copy and restore B2/B5 to Pending; clear A7:B7. This precisely recreates the original data. Within that copy, use a range limited to B3:B3 and inspect the result of finding Pending. If a partial-text replacement is supported and selected, replacing that portion with Ready would produce Ready review; an exact whole-cell match should produce no change. Treat this as a live matching-behavior check, not an assumed default.

If you perform the partial replacement, immediately undo it once in the same session and require B3 restored to Pending review. Otherwise cancel without changing anything. Never Undo after reopening or after unrelated edits. If sentinels change, stop, retain the final original, and rebuild the practice copy rather than attempting a reverse global replacement that might damage legitimate Ready values.
