Lock Zoho Sheet Cells for Selected Editors

Protect formula cells for one collaborator while another editor can maintain them, and verify that ordinary input cells remain editable.

Documentation checked 2026-10-16; example arithmetic independently calculated; not tested in Zoho Sheet · Editorial standards

Quick answer: As the spreadsheet’s owner or co-owner, select the formula range, choose Data → Lock → Lock Cells, and lock it for the specific collaborator who should not edit it. Keep that collaborator’s input cells outside the locked range. Zoho documents collaborator-specific locks in its web locking guide.

The important question is “who can edit these cells?” A lock is an editing control. Do not treat it as a way to conceal the cell contents or as file encryption.

Requirements: start with the right roles

Use Zoho Sheet in a web browser, following the English documentation checked on October 16, 2026. No numbered web release is asserted. Use a disposable practice file and already authorized collaborators; you do not need to change file visibility or publish it for this exercise.

You need three distinct roles:

Practice role Purpose
Owner Creates and reviews the lock rules
Input editor Changes quantities but should not overwrite formulas
Model editor Has editing access and is intentionally allowed to maintain those formulas

Use separate accounts or ask the actual participants to test in their own sessions. Two windows under the owner’s login cannot establish the input editor’s restrictions. Use synthetic data and identify each person by their actual account before changing permissions; the role names above are labels for this exercise, not accounts to invite.

The lock help excludes ordinary read/write, read-only, and commenting users from managing locks. The current sharing help instead labels permissions View, View and Comment, Edit, and Share. Because these pages use different terminology, verify the effective owner/co-owner role rather than assuming any Edit account can administer locks. Do not elevate someone just to diagnose a missing menu.

1. Build the two-item practice sheet

In a new sheet named Supplies, enter this table in A1:C3. Type the formulas into column C; the leading equals sign matters.

Cell/row A: Item B: Quantity input C: Calculated total
2 Notebook 2 =B2*4.50
3 Pen 3 =B3*1.25

Enter Total in B5 and =SUM(C2:C3) in C5. The initial results should be:

  • C2: 9.00, because 2 × 4.50 = 9
  • C3: 3.75, because 3 × 1.25 = 3.75
  • C5: 12.75, because 9 + 3.75 = 12.75

Two decimal places are a useful display choice; 9 and 9.00 represent the same value. The SUM guide explains the total formula, supported by Zoho’s SUM reference.

Before adding locks, have both editors check they can edit B2 in the practice file and restore it to 2. If a participant cannot edit an ordinary input cell now, fix the underlying permission or workbook state first. A later failed formula edit would otherwise be an ambiguous test.

2. Lock only the formula range for the input editor

As the owner:

  1. Select C2:C3. Check that B2:B3 is outside the selection.
  2. Open Data → Lock → Lock Cells.
  3. Find the input editor and switch that account’s control from Unlock to Lock. Zoho describes a green lock indicator for a locked collaborator.
  4. Keep the model editor unlocked for this range. Review the intended identities and range before leaving the dialog.

The locking guide also provides Manage Lock Settings under Data → Lock. Use it to review C2:C3 against the intended accounts. For this exercise, do not use Lock Sheet, because the input editor must still change B2:B3.

C5 is a separate formula cell. If the input editor must not overwrite the grand total either, repeat the cell-lock procedure for C5, with the same two-editor policy. Locking C2:C3 alone does not meet that larger requirement.

3. Run both a blocked and an allowed edit test

Keep the original formulas above handy so every temporary change can be reversed. Coordinate the tests one person at a time.

Who Test Expected outcome under the intended rules
Input editor Change B2 from 2 to 4 Allowed; C2 becomes 18 and C5 becomes 21.75
Input editor Try replacing C2 with 999 Blocked; C2’s original formula remains
Input editor Try replacing C5 with 0, after locking C5 Blocked; the SUM formula remains
Input editor Restore B2 to 2 Allowed; the original results return
Model editor Temporarily change C2 to =B2*5 Allowed; C2 becomes 10 and C5 becomes 13.75
Model editor Restore C2 to =B2*4.50 Allowed; C2 returns to 9 and C5 to 12.75

These are expected results, independently calculated from the sample, not a record of completed account tests. After a blocked attempt, have the owner inspect the formula bar rather than trusting an error message alone. If an attempted replacement unexpectedly succeeds, restore the original formula immediately in the practice file and investigate the active identity, range, and other rules.

The allowed model-editor test is essential. A read-only spreadsheet could block everyone and still appear to pass the negative test. Conversely, a successful owner edit does not establish that the model editor is allowed to edit.

Close and reopen the practice file under each participant’s own account, then repeat the relevant cell check before relying on the setup for ongoing work. Record any change in behavior rather than describing persistence as already tested.

4. Review, adjust, or remove a lock

Open Data → Lock → Manage Lock Settings and inspect the relevant range and collaborator. Zoho documents clicking the green lock to unlock that range for that person. Its cell-lock announcement also explains managing different ranges for different collaborators. Prefer a narrow change over removing unrelated protections.

For example, to let the input editor temporarily maintain C2:C3, unlock that specific range for that account, test access, make the intended maintenance change, and restore the original rule when the temporary work is finished. Recheck C5 separately. An exception for one formula range should not accidentally become permission to edit every formula.

Zoho says newly added collaborators inherit existing range and sheet locks by default. When membership changes, review the new participant’s intended exceptions; do not assume that the original model editor’s access automatically applies to the new person. Zoho lock behavior.

Troubleshooting the permission model

Problem What to inspect
Lock Cells is missing or unavailable Confirm effective owner/co-owner privileges. Being able to edit data is insufficient.
The input editor can overwrite C2 Check the signed-in account, selected range, and collaborator-specific state in Manage Lock Settings.
The model editor is also blocked Inspect both range locks and any sheet-wide lock, then confirm their underlying file permission.
B2 cannot be changed Check for an overbroad selection, a sheet lock, or a whole-file read-only state.
The numbers change despite locked formulas Inspect allowed inputs. Formula protection does not freeze calculated results.
A new collaborator is unexpectedly restricted Review inherited locks and add only the exception their role requires.
An exported copy behaves differently Test that format and destination app separately. This guide verifies no cross-format preservation of Zoho user-specific rules.

Highlight Locks is a visual aid, but the help describes highlighting cells locked for all collaborators. Do not treat an absence of highlight as proof that no individual restriction exists. Inspect the specific account in Manage Lock Settings.

If the entire workbook becomes read-only, consider broader controls before altering cell rules. Zoho’s spreadsheet control overview distinguishes cell locks from Check Out, which restricts other users while someone works, and Mark as Final, which makes the file read-only until editing is re-enabled. Changing an owner’s intentional file state requires coordination.

What this protects, and a useful extension

The aim is to keep the input editor from replacing formulas accidentally while preserving a working input area. It does not prove that the editor cannot read, copy, or export information. Nor does a cell lock make an inappropriate quantity valid: B2 could still need its own entry rules. Keep sensitive information out of files shared with people who should not receive it.

For a larger stock list, store unit prices and quantities in aligned columns and consider SUMPRODUCT for a cross-check of the overall total. Zoho’s SUMPRODUCT reference requires equally sized arrays. Decide separately which people may edit the price cells, the quantity cells, and the formula; protecting the output alone leaves its assumptions editable.

Platform differences and verification

The Windows online help puts lock commands under Review, unlike the web guide’s Data → Lock path. Use the instructions for your actual application. This is a documented menu difference, not a desktop execution result.

Verification: Documentation checked on October 16, 2026; sample arithmetic calculated independently. Not tested in Zoho Sheet, including owner/co-owner permissions, editor-specific locks, and reopening behavior. Desktop/mobile behavior, external-link identities, and exported-file protection are outside the verified scope.
