Create Tables and Named Ranges in Zoho Sheet

Create/grow a table, distinguish its name from an ordinary defined range, and use explicit reference types in a small calculated example. Named Filters in the existing sort/filter guide save views rather than formula references.

Scope and starting state

Zoho Sheet web editor in an English desktop browser, rolling service; official documentation checked 19 October 2026. No numbered release, desktop-app or mobile parity is asserted. Live account controls, saving, printing and native screenshots have not been tested.

Use an existing account with permission to create and edit a private synthetic workbook. Record your browser/version, account role and actual storage location before starting. Do not use a production or shared file. The menu paths below come from the linked web documentation; if your interface differs, stop and consult its web help instead of substituting Windows, macOS or mobile instructions.

Start a blank workbook named Zoho-Tables-Practice in your own Zoho Sheet file list, and record its private editor URL locally so you can reopen this exact workbook. Use its first worksheet, Sheet1; if the initial tab has a different name, record that name and use it consistently in all references. All ranges below belong to that worksheet. Finish entries with Enter. Start with no open dialog, no active cell edit, and no previously generated table, chart or conditional rules. The fixture is entirely inline; no download, upload or third-party connection is needed.

Create a named table, compare its data-column total with an ordinary fixed named range, and see why copying a relative rate reference gives a different answer from copying a fixed one.

Enter the complete fixture

Enter A1:C4 as follows, keeping D empty and the check area outside the future table.

Row A: Item B: Units C: Price
1 Item Units Price
2 Clips 2 4
3 Pads 3 5
4 Pens 4 6

Enter F1 Rate, F2 10, F3 20, F4 30; H1 Relative, I1 Fixed, K1 Table total, K3 Named total. The extra rate values intentionally reveal reference movement.

Create the table and its total

Select A1:C4. Choose Format → Table, choose a style, set Create Table to A1:C4, and click OK. Verify row 1 is treated as the header and no rate/check cells joined the table. Read the actual table name from the table/defined-names interface and write it down. The creation guide says the table name appears in defined names and cannot be edited in the Define Name dialog; do not try to rename it there.

In K2 enter =SUM(Table1[[#Data];[Units]]) if the actual table name is Table1. Otherwise replace only Table1 with that exact observed name before entering the formula. This is Zoho’s documented structured-reference form, including the semicolon separating item and column specifiers. Expect 9. #Data restricts the sum to records; it is different from #All, #Headers, and #Totals. This exercise uses an external total, so no undocumented Total Row control is required.

Define a fixed range and compare copied formulas

  1. Select B2:B4. Open named ranges with Ctrl+F3 on Windows or Cmd+F3 on macOS in the browser. The official web shortcut list documents this entry; the web naming tip also locates defined names under Insert.
  2. In the Define Name interface create PracticeUnits referring to the absolute cells B2:B4 on this worksheet. Use its range selector to select these cells and inspect the resulting sheet-qualified reference before committing. The definition must be a fixed range, not a relative named expression. The name must be unused. If the actual dialog does not let you establish that definition unambiguously, stop this branch rather than guess a scope option.
  3. In K4 enter =SUM(PracticeUnits): expect 9. Reopen the definition and record its exact sheet/range. This exercise establishes the named range on the recorded sheet; it makes no assertion about Excel-style workbook-versus-sheet scope controls or export behavior.
  4. In H2 enter =B2*F2 and copy H2 to H3:H4 using ordinary cell copy/paste. Inspect formulas: H3 must be =B3*F3, H4 =B4*F4. Expected values are 20, 60 and 120.
  5. In I2 enter =B2*$F$2 and copy I2 to I3:I4. Expected formulas are =B3*$F$2 and =B4*$F$2; values are 20, 30 and 40. The dollar signs fix both the rate column and row; B remains relative.

Change a value, then grow only the table

Change B3 to 5. Both totals become 11. H3 becomes 100 and I3 becomes 50. Enter A5:C5 as Tabs, 6, 7. Select the existing table and use Edit beside Source in its side pane. Select A1:C5 and confirm with the range-selection confirmation icon. The web help depicts that icon without a text label; identify it from the live tooltip/help before proceeding. Keep the header at row 1 and overlap the old table, as the source editor requires.

The structured total in K2 should now be 17. The fixed range PracticeUnits still covers B2:B4, so K4 should remain 11. If it expanded automatically in your interface, inspect the actual definition and record that difference; do not call 11 verified without observing the range. Edit PracticeUnits explicitly to absolute B2:B5 and expect K4 to become 17. Copy I4 to I5: the result must be 60 from =B5*$F$2. Leave H5 blank so it cannot accidentally imply a rate in empty F5.

Preserve the completed result and reopen it

Leave the completed exercise in Zoho-Tables-Practice in your own Zoho Sheet file list, at the private editor URL you recorded. Close any formatting pane or print dialog after applying the intended changes; leave cell edit mode. Zoho documents automatic saving and a last-modified time at the top right. Wait for the completed changes to be saved and check that time; an offline or error state is not a successful save.

Close the workbook tab, reopen the same workbook from your recorded URL or your file list, and select Sheet1 (or your recorded tab name). Inspect the table source A1:C5, the observed table name, the fixed PracticeUnits definition B2:B5, totals K2/K4 of 17, and I2:I5 values 20, 50, 40, 60. This is a required reader acceptance check, not a claim that the author performed it. If a check fails, stop, confirm the correct workbook and connection, and repeat the relevant setup explicitly. Do not rely on Undo after reopening.

Optional reset in a separate practice workbook

Keep the verified final workbook intact. For a reset experiment, start a second blank workbook named Zoho-Tables-Reset and recreate the fixture and the feature there. Do not clear the completed original. Close any open dialogs and leave cell edit mode before resetting. For a minimal reset, recreate only the original A1:C4 fixture and check area in the reset workbook, with a new table and a fresh PracticeUnits definition. Re-enter the formulas with that workbook’s actual table name. Both totals must return to 9. A fresh workbook avoids dangling references from deleting a table or name in the completed file.

Troubleshooting

A #NAME! result calls for checking the table/name spelling and the exact Units header; do not replace the formula with a typed answer. A total of 11 after appending Tabs means the source or fixed name still stops at row 4. A fixed-rate result of 100 on the Pads row means a relative rate was copied instead. If commas are demanded by your locale, consult the locale-specific formula help and record the accepted formula; the documented structured-reference syntax shown here uses semicolons.

Official sources and testing status

The controls above were checked against these first-party web references on 19 October 2026. Fixture arithmetic and manuscript state transitions were checked separately. No account was opened, no workbook was uploaded, no native UI run or native screenshot was produced, and save/reopen or PDF acceptance remains a reader test. Site-render screenshots, if later produced, prove only article rendering.
