Separate Report Sections with Manual Page Breaks in Calligra Sheets

Place and remove a break before a chosen row or column, then inspect report boundaries without assuming a fixed page count.

Pinned menu, action, command and pagination source reviewed; native verification pending ยท Editorial standards

A manual page break is useful when a new report section should start on a separate printed page even though it could fit below the previous section. It is not a blank worksheet row and does not split or move the stored records.

Scope and a safe starting point

English menu labels and boundary behavior here come from KDE Calligra commit 72123cc643f6625351139e7df294544255a1056f. Its menu, action, command and pagination implementations were reviewed together. The linked printing handbook is revision 2.7, March 11, 2013, despite its stable_kf6 address. No native execution, screenshot, printed PDF or save/reopen result is claimed for this workflow. Stop if your installed build lacks the listed actions.

Work on a disposable copy. This is a separate multipage exercise, not an extension of the native-tested one-page result in Fit a Wide Worksheet on One PDF Page. Do not transfer that guide’s screenshot or PDF evidence to these new steps.

Make two identifiable sections

Enter this small table in A1:C7:

Row A B C
1 Section Item Units
2 North Pens 12
3 North Folders 8
4 North Labels 10
5 South Pens 15
6 South Folders 5
7 South Labels 20

The North records total 30, the South records 40, and all records 70. The intended break is before row 5, not before row 4: South’s first record must not remain at the bottom of the preceding page.

Put South on a new page

  1. Open Format โ†’ Page Layout. Choose suitable paper and readable column widths. Use Fixed zoom rather than a one-total-page limit for this exercise. Accept the dialog before setting the print range. Exact page count still depends on paper, margins, scaling and widths.
  2. Select A1:C7 and choose Format โ†’ Print Range โ†’ Define Print Range. This order follows the caution in the existing printing guide: layout acceptance can replace earlier print-range settings in the previously tested build.
  3. Select A5 only. Choose Format โ†’ Manual Page Breaks โ†’ Break Before Row to enable that break. The command works at the selected area’s top row; a single-cell selection avoids accidentally choosing the wrong boundary or several regions.
  4. Enable View โ†’ Page Borders, then open File โ†’ Print Preview. Inspect the actual boundary: the row-4 North/Labels record must precede the break, and the row-5 South/Pens record must begin the following vertical page section. All six records must remain present and readable.
  5. Check the final row, all three columns and the intended 30/40 grouping. Do not accept an exact two-page count as proof by itself. Extra horizontal pages or automatic breaks may still occur. This guide does not promise two pages on every setup.

A row break does not automatically repeat row 1. Repeated headings are a separate Page Layout option and remain an untested branch here. If you configure them, inspect the heading and data on every preview page.

Remove a break, or test a column boundary

To remove the row break, select A5 again and toggle Break Before Row off. Inspect preview again. Automatic breaks may remain even when the manual flag is cleared; removing a manual break does not force the whole report onto one page.

For a separate horizontal-boundary test on the same copy, first remove the row break. Select C1 only, then enable Format โ†’ Manual Page Breaks โ†’ Break Before Column. This deliberately separates the Units column from Section and Item, so it is a diagnostic exercise rather than a recommended final report layout. Inspect that the boundary lies before C, then select C1 and toggle it off to restore the intended report. Do not leave this diagnostic split in a report sent to someone else.

The pinned commands use the selected area’s leftmost column or topmost row. A break before column A or row 1 is not supported by these actions. A multi-cell selection does not mean โ€œadd a break at every selected cell.โ€

Troubleshooting and output acceptance

  • Wrong section starts a page: select the first cell of the intended new section. Remove the misplaced break before adding the correct one.
  • Too many pages: distinguish manual boundaries from automatic overflow; check widths, paper, print range and scale. A row break does not prevent horizontal overflow.
  • Preview looks right but output differs: inspect the final PDF or printed output separately. No output has been produced by this guide, and printer settings can differ from sheet settings.
  • Reopened document differs: saving is not evidence that the application reloads each setting correctly. Recheck break toggles, range, layout and preview after reopening before producing another output.
