Create pivot charts linked to pivot summaries
A worked Calc example to create pivot charts linked to pivot summaries, with source checks, changed inputs and recovery.
Documentation-qualified for Calc 26.2; native workflow and persistence checks pending · Editorial standards
Create the chart while a cell inside the pivot is selected. Calc then makes a pivot chart whose series follow the pivot structure, instead of an ordinary chart tied to a fragile rectangle of summary cells.
Prepare an existing summary
This example follows Calc Guide 26.2, with English standard desktop menus on Windows/Linux. Native GUI execution, images and save/reopen behavior have not been verified. Use a disposable local ODS workbook.
On Sales, enter A1:D7:
| Product | Region | Quarter | Amount |
|---|---|---|---|
| Alpha | North | Q1 | 100 |
| Alpha | South | Q1 | 50 |
| Beta | North | Q1 | 80 |
| Beta | South | Q1 | 70 |
| Alpha | North | Q2 | 120 |
| Beta | South | Q2 | 90 |
Use a pivot with Product in Row Fields, Region in Column Fields, Quarter in Filters and Sum of Amount in Data Fields. If you need to create it, select A1:D7, choose Insert > Pivot Table, use Current selection and that layout on a new sheet. For detailed source/setup work, use the existing pivot tutorial.
Before adding the chart, check the all-quarter summary: Alpha North 220 and South 50, total 270; Beta North 80 and South 160, total 240. North totals 300, South 210 and the grand total is 510. A chart cannot repair an incorrect pivot aggregation.
Insert a genuinely linked pivot chart
- Click any cell inside the pivot results, not a separate copied summary.
- Choose Insert > Chart. Calc should detect the pivot source.
- Choose a normal, unstacked Column chart. In this pivot-chart wizard the Data Range and Data Series steps are disabled because the pivot supplies them. If those steps remain freely editable, cancel and check the selection/source rather than accepting an ordinary chart.
- Enter “Sales by product and region” as the title and Amount as the Y-axis title. Keep the legend so North and South are identifiable, then choose Finish.
- Inspect the pivot field buttons: filter fields at the top, row fields at the bottom and column fields on the right. Their presence is another useful check that this is a pivot chart.
Expect Alpha and Beta categories, with North/South series matching the four detail aggregates above. Compare each bar with its labeled pivot cell. Do not mistake an aggregated total for an additional source transaction.
Filter through the chart and check both views
Double-click the chart to enter edit mode. Open its top Quarter button, select Q1 only and confirm. The linked pivot and chart should now show Alpha 100/50 and Beta 80/70, totaling 300. The filter status should identify Q1, and the arrow indicates filtering. This is not a chart-only crop: the pivot represents the same filtered data.
Restore all quarters with the same button and verify 510 returns in the pivot. Row/column field buttons also expose sorting and filtering, so inspect them if a product or region still appears missing. The chart’s title will not automatically explain a business interpretation; make sure the displayed filter status is visible when presenting the result.
Update a record and a layout
Change Sales.D2 from 100 to 130, staying inside the existing source boundary. Refresh the pivot with Data > Pivot Table > Refresh. The linked chart should update too: Alpha North becomes 250, Alpha total 300 and grand total 540. Merely editing the source does not automatically refresh the pivot cache. Restore 100 and refresh again.
For a structural check in the practice copy, reopen the pivot’s Properties and exchange Product and Region between Row Fields and Column Fields. Confirm that the chart reorganizes to North/South categories and Alpha/Beta series while the grand total remains 510. Restore the original layout afterward. This adaptation is the point of using a pivot chart rather than manually binding summary-cell coordinates.
Save and recover safely
Save, close and reopen the ODS. Check the pivot layout, chart field buttons, filter status and all-quarter totals; repeat a Q1 filter to verify the intended link. Cross-format transfer needs a separate receiving-application test.
To remove only the chart, select its object and press Delete outside chart edit mode. The pivot remains. Deleting the underlying pivot is different: Calc also deletes its associated pivot chart and asks for confirmation. Keep a workbook copy before experimenting with layout deletion. If a copied chart no longer follows the summary, rebuild it from inside the correct pivot instead of patching individual bar values.
