Edit Matching Cells Across Grouped Sheets in LibreOffice Calc
Apply a shared label and rate to selected worksheets, protect an excluded sheet, then ungroup and prove subsequent edits remain local.
Calc Guide 26.2-backed workflow; independent state checks; native verification pending · Editorial standards
When two sheets share the same layout, you can enter a common value once into the same address on both. This is simultaneous editing of selected sheets, not a formula link and not collaboration with another person.
Save a backup first. Grouped entry can overwrite existing cells on every selected sheet without warning. Do not try it on a workbook whose layouts you have not inspected. The most important step is ending the multiple-sheet selection before entering sheet-specific information.
Scope: free desktop LibreOffice Calc 26.2, Windows/Linux English menu conventions, following Calc Guide 26.2. No native interaction or screenshots were available; the small expected worksheet states below were independently checked. Other interfaces and releases can differ.
Prepare three separate sheets
Create sheets named North, South and Archive, in that order. While entering each table, ensure only its tab is selected. Use worksheet organization if you need help creating or renaming tabs.
On each sheet put Units in A2, Rate in A3 and Amount in A4. Then enter:
| Sheet | A1 | B2 | B3 | B4 |
|---|---|---|---|---|
| North | Draft | 8 | 4 | =B2*B3 |
| South | Draft | 5 | 4 | =B2*B3 |
| Archive | Archived | 3 | 9 | =B2*B3 |
Initial amounts must be North 32, South 20, Archive 27. Archive deliberately has a different label and rate. It is an exclusion control, not a third target. Save as grouped-entry-start.ods, then make a working copy so the initial state remains recoverable.
Select exactly the two target sheets
- Activate North. Open Edit → Select → Select Sheets.
- In the dialog select North and South only; leave Archive unselected. Confirm with OK and inspect the tab highlights.
- Stop if you cannot tell which tabs are selected. Reopen the dialog and establish the exact selection before editing.
- On the displayed target sheet enter November plan into A1 and 4.5 into B3. Do not change B2 or B4.
The Calc Guide entry chapter describes this command and its overwrite warning. The operation writes the shared entries into A1 and B3 on both selected sheets. It does not copy the entire displayed sheet or replace the two different unit counts.
End the group before inspecting and continuing
Open Edit → Select → Select Sheets again and select North only. Confirm that only one tab remains highlighted. This explicit single-sheet selection avoids relying on whether a click on an already-selected tab dissolves a group in your build.
Visit South and Archive individually, with no Ctrl or Shift held, and confirm only one tab is highlighted at a time. The selection instructions describe single-, contiguous- and noncontiguous-sheet selection; multiple highlighted tabs mean edits may still have multiple targets.
Check the entire resulting state:
| Sheet | A1 | B2 | B3 | Expected B4 |
|---|---|---|---|---|
| North | November plan | 8 | 4.5 | 36 |
| South | November plan | 5 | 4.5 | 22.5 |
| Archive | Archived | 3 | 9 | 27 |
North plus South is 58.5, but that total alone is insufficient: confirm Archive’s label, inputs and 27 result were not touched. Also inspect B4 on each sheet to ensure its formula remains present.
Prove the sheets are no longer grouped
Select South only and change B3 to 5. South’s amount becomes 25; North stays 36 with rate 4.5; Archive stays 27 with rate 9. North plus South is now 61.
This is a deliberate separation test. If North also changes, stop editing and inspect the sheet selection. Do not compensate by typing another rate while the group is still active. Return to the saved start copy if you cannot reconstruct which cells changed.
Restore South!B3 to 4.5, still with South alone selected, and verify 22.5 and combined 58.5. Identical rates now exist as separate stored inputs; changing one later does not automatically update the other. Use an explicit cross-sheet reference when you need a persistent shared input rather than a one-time repeated edit.
Troubleshooting and safe reuse
- Only one sheet changed: inspect selection before repeating the entry. Do not assume the dialog retained an earlier group.
- Archive changed too: you selected too many sheets. Restore its original label/rate from the checkpoint and recheck all affected addresses, or restart the disposable exercise.
- A different field was overwritten: matching cell addresses are required. Similar-looking sheets with shifted rows are unsafe for grouped entry.
- Amounts are identical unexpectedly: verify the unit counts stayed 8 and 5 and that you did not paste a whole block over both sheets.
- Want only formatting copied: this exercise changes contents. Use a separately checked formatting workflow rather than assuming all grouped operations behave identically.
Finish with one sheet selected, save the working ODS, close and reopen it. Inspect all three sheets and repeat the South-only rate change test. Save/reopen behavior remains to be verified natively. For ongoing workbook design, repeated grouped edits are often a sign that a single shared Inputs sheet would be clearer.
