Organize Calc Worksheets Without Losing Reference Checks
Rename, reorder, copy, hide and restore worksheets in LibreOffice Calc, then audit cross-sheet formulas and named ranges with a reversible change test.
Documentation-qualified worked recipe; new native workflow not executed ยท Editorial standards
Organizing sheet tabs is safest when you know which cells depend on the sheet being changed. Before renaming or copying a tab, record a small reference map and a known total. Afterward, check both the formula text and its response to an input change.
This recipe uses standard English menus from the Calc Guide 26.2, cross-checked with current Help labeled 26.8 on 19 October 2026. It describes expected checks, not a new native execution. Formula examples use Calc A1 syntax; inspect your formula syntax setting if the displayed notation differs.
1. Prepare three sheets and a dependency map
Start a disposable ODS workbook. Rename the first sheet Inputs by double-clicking its tab and entering the new name. Use the plus beside the sheet tabs to add two more sheets, then rename them Report and Notes. Ensure only one tab is selected before editing cells; grouped-sheet editing is not part of this exercise.
Enter these cells:
| Sheet | Cell | Entry |
|---|---|---|
| Inputs | A1 | Units |
| Inputs | B1 | Price |
| Inputs | A2 | 6 |
| Inputs | B2 | 17 |
| Inputs | A3 | 4 |
| Inputs | B3 | 9 |
| Report | A1 | Source total |
| Report | A2 | =Inputs.A2*Inputs.B2 |
| Report | A3 | =Inputs.A3*Inputs.B3 |
| Report | A4 | =SUM(A2:A3) |
| Notes | A1 | Practice workbook; keep Inputs and Report together |
Report A2, A3 and A4 should be 102, 36 and 138. The mapping matters: Report A2 uses Inputs row 2, and Report A3 uses Inputs row 3. Record it before moving anything.
On Inputs select A2:A3, choose Sheet โ Named Ranges and Expressions โ Define, and define the document-wide name OrderUnits for $Inputs.$A$2:$A$3. Put =SUM(OrderUnits) in Report A6; expect 10. Inspect the name through Sheet โ Named Ranges and Expressions โ Manage. The named-values help describes the name tools. Save as sheet-layout-check.ods.
2. Rename the source and verify dependency identity
Double-click the Inputs tab and rename it Inputs Nov. Do not retype all formulas preemptively. Select Report A2 and A3 and inspect the formula bar. In Calc A1 notation a reference to a name containing a space requires quoting; the reference should still identify the renamed source and the same cells. Inspect OrderUnits in Manage and confirm its scope and target are still the intended A2:A3 on Inputs Nov.
The required control results remain 102, 36, 138 and 10. Now change Inputs Nov A2 from 6 to 7. Expected Report A2 is 119, A4 is 155, and A6 is 11. A3 remains 36. Restore 6 and require 138 and 10 again. If a reference did not update as expected in your build, use Undo and inspect the original mapping before repairing the practice copy.
This test establishes more than an unchanged display: it checks that the formulas still respond to the source you intended. Text containing a sheet name, such as a note or a reference constructed inside a string, needs separate review; do not assume every occurrence is a live reference.
3. Put the report first without copying it
Select only the Report tab and choose Sheet โ Move or Copy Sheet. In the 26.2 guide’s dialog choose Move, select the current workbook under To document, and choose Inputs Nov under Insert before. Confirm the move. If your build presents a Copy checkbox instead of separate Move/Copy choices, leave Copy unchecked for this operation.
The desired tab order is Report, Inputs Nov, Notes. Verify that there is still exactly one Report sheet and that its four control values have not changed. The Move or Copy a Sheet help documents the destination and placement fields. Dialog wording varies between builds; the operation’s identity matters more than matching a screenshot from another version.
4. Copy a report and audit what the copy still depends on
With Report active, reopen Move or Copy Sheet. Choose Copy (or enable its checkbox), retain the current workbook as To document, and choose the end position in Insert before. Name the copied sheet Report Review using New name if available; otherwise rename the new tab afterward.
Expect four sheets, with both Report and Report Review present. Inspect A2:A4 and A6 in the copy. The intended source is still Inputs Nov; the copy is not an independent snapshot. Verify that its A4 totals its own A2:A3, and that OrderUnits still resolves to the intended source cells.
Repeat the 6โ7โ6 input change. Both reports should show A4 138โ155โ138, and A6 10โ11โ10. If you want an independent frozen report instead, copy only the required results to a deliberate values-only destination; merely copying a sheet does not express that requirement.
For a more advanced portability check, keep cross-workbook copying separate from this same-workbook exercise. The Calc guide warns that references can conflict when a sheet moves into another document. Before accepting such a copy, inspect every dependency and name, close the source file, reopen the destination, and check for external links and recalculation. This article does not claim that copying automatically relinks dependencies into the new workbook.
5. Hide, show and distinguish deletion
Select Notes, right-click its tab and choose Hide Sheet. The tab should disappear, but the sheet has not been deleted. Right-click a visible sheet tab, choose Show Sheet, select Notes in the list and confirm. Check Notes A1. Hidden sheets are not secure storage, and Calc does not allow hiding the final visible sheet.
To see why deleting a sheet is a different operation, do not experiment on Inputs Nov. In this disposable workbook, select only Report Review and choose Sheet โ Delete Sheet. Read the confirmation, verify that the named target is the disposable copy, and confirm only if that is the intended test. Check the original Report and its 138/10 controls. Immediately undo if the wrong tab disappeared; if unsure, close without saving and reopen the checkpoint. In a real workbook, preserve a backup and review dependents before any deletion.
Save/reopen acceptance and common failures
Save the intended three-sheet state, close and reopen it. Require Report first, Inputs Nov second and Notes third, with no Report Review remaining. Check Report A2=102, A3=36, A4=138, A6=10; inspect the named range and repeat the source-change test if the file will be handed to someone else.
- A report still shows the old total: inspect the exact formula target and whether it is a formula at all. A cached result is not proof of a valid link.
- Moving a sheet is unavailable: check whether Record Changes is active; current Help identifies that as a restriction. Do not turn off a tracked-review workflow without understanding its purpose.
- Several sheets changed together: check for multiple selected tabs and restore the checkpoint.
- A name resolves differently: inspect its scope and range, not just its label. Do not redefine a document-wide name casually to repair one sheet.
- A missing tab is assumed deleted: check Show Sheet first; hiding and deletion have different recovery paths.
Calc Guide 26.2, Introduction documents sheet organization. Arithmetic here was independently checked; native rename/reference adjustment, copying, undo and save/reopen behavior for this new fixture remain unexecuted.
