Create and Reuse a Workbook Template in LibreOffice Calc

Save a clean Calc workbook as an OTS template, create independent monthly reports, update the master safely, and reverse an optional default-template change.

Documentation checked 2026-10-19; native workflow not run · Editorial standards

A Calc template is a starting document containing the structure you want to reuse. Create reports from the template rather than repeatedly clearing last month’s workbook; that reduces the chance of carrying old entries, comments or totals into a new period.

Build a small reusable report

Use desktop Calc and the standard menu bar. This procedure is based on first-party template Help labeled 26.8, checked October 19, 2026 and the Calc 25.2 guide. Native creation, prompts and save/reopen have not been executed for this exercise.

Create a workbook with a sheet named Expenses. Enter the following cells:

Cell or range Entry
A1 Monthly expenses
A2 Period
B2 Leave genuinely empty
A4:C4 Item, Quantity, Unit cost
D4 Line total
A5:C7 Leave empty for entries
D5 =B5*C5
D6 =B6*C6
D7 =B7*C7
C9 Total
D9 =SUM(D5:D7)
A11 Template revision 1

Format C5:D9 with two decimal places where numeric values occur, make the header bold, and give B2 and A5:C7 a restrained input fill. Do not place example purchases in the saved master. The empty report calculates zero in its line totals and grand total; that is intentional.

Create a second sheet named Instructions with three short entries: fill in Period; enter purchases only in A5:C7; save each report under a new filename. For stronger accidental-edit protection, follow protect formulas while leaving inputs editable after testing the formulas. Protection is not confidentiality or encryption.

1. Check and register the clean master

Inspect every sheet, including hidden ones if working from an existing file. Remove old transactions, private comments, unused external links and personal examples. Check that formulas point within this workbook. An old report can contain information that is invisible on the printed page.

Choose File → Templates → Save as Template. Name it Monthly Expenses Practice, select My Templates, and leave Set as default template off. Save it. The Save as Template documentation confirms that this route registers the template in Template Manager.

Calc’s native template extension is .ots; the resulting reports should normally be .ods. Saving a file with an OTS extension does not itself demonstrate that it is visible in your selected manager category. This is why the registered-template route is useful. The Template Manager file guide explains extensions, names and categories.

2. Create two reports and prove their independence

Open File → New → Templates, filter for spreadsheets and open Monthly Expenses Practice. This should create a new document based on the template. Save it as expenses-january.ods before entering real work.

In B2 enter January 2027. Enter these records in A5:C7:

Item Quantity Unit cost Expected line total
Paper 2 4.5 9.00
Labels 3 2 6.00
Folders 1 8 8.00

D9 should be 23.00. Save January, then create another new document from the same template. Its period and input cells should still be empty, its total zero and A11 still revision 1. Save it as expenses-february.ods. Enter only February 2027 in B2 and Labels, 4, 2 in A5:C5. Its total is 8.00; January must remain 23.00.

Close and reopen both reports. Compare filenames, period cells and totals. If February starts with January’s purchases, you reopened the report instead of creating from the clean template, or the master already contains those purchases. Stop and inspect the master before producing more reports.

3. Update the template without rewriting old reports

Choose File → Templates → Manage Templates. Right-click Monthly Expenses Practice and choose Edit, rather than opening it to create another report. Verify you are editing the template before saving changes.

Change A11 to Template revision 2 and add Keep receipts with the monthly report to Instructions. Save and close the template. The custom-template procedure distinguishes editing the master from creating a new document.

Create a third report from the manager and save expenses-march.ods. It should have revision 2, the added instruction and empty transaction inputs. January and February should retain their original transaction data and revision-1 cell text: changing the master is not a bulk replacement of existing report contents.

Styles need separate care. A report associated with a changed template can offer to update styles when reopened. The Calc template guide documents that prompt. Choose deliberately; for this comparison retain the report’s old styles if prompted. The guide warns that Keep Old Styles disconnects the report from future template-style updates; it is not merely postponing the question. Do not promise that an old report will never display any update prompt, or that updating styles imports the master’s new instruction text.

Optional: make it the default, then undo that choice

Only do this if you want ordinary new Calc documents to start from this design. Record the existing spreadsheet default first. In Template Manager, right-click the practice template and choose Set as Default. Create an ordinary new spreadsheet and check whether the expense structure appears.

Restore the previously selected default when finished. If the original was the built-in spreadsheet default, use the Template Manager’s Manage → Reset Default Spreadsheet command (wording can vary by version). Verify with another new document. This affects future documents, not a conversion of existing workbooks.

Diagnose template problems

  • The template is missing: check the spreadsheet filter and category. Use the manager’s import function for an existing OTS rather than placing it in an arbitrary folder and assuming discovery.
  • Two similarly named entries are confusing: use clear version names and inspect the master before editing. Do not delete a whole category to remove one practice template.
  • New reports include old purchases: clean the master inputs, preserve D5:D7 and D9, then create a fresh test instance.
  • A copied report has broken references: inspect formula text and external references. A template should be independently usable unless its external dependencies are intentional and documented.

Keep the tested OTS and the completed ODS reports as different artifacts. A CSV export contains cell data only and cannot replace the reusable multi-sheet template.
