Add and maintain slicers for formatted tables and pivots in ONLYOFFICE

Add and maintain slicers for formatted tables and pivots.

Documentation reviewed; native checks remain manual · Editorial standards

Quick answer

Select a cell in an existing formatted table or pivot table and choose Insert > Slicer. Pick the fields, then use the slicer’s buttons to filter them. Clear each slicer’s filter to restore its field; clearing one field does not necessarily remove filters on other fields.

Prepare the source and expected subsets

This walkthrough follows the English ONLYOFFICE Desktop Editors 10.0.0 interface. Use Insert > Slicer rather than older instructions pointing to a Table settings sidebar. The desktop table controls moved to Table Design in 9.1, while the Insert route remains documented.

Start with a formatted table containing these three records, with headers Region, Status and Amount:

Region Status Amount
East Open 10
East Closed 20
West Open 30

If needed, enter the block in A1:C4, select it, and use Insert > Table, checking that the header row is recognized. This lesson starts from a real formatted table, not just a range with colored cells. The full amounts sum to 60. The East subset sums to 30 and the East/Open intersection contains one record worth 10.

Add and test two slicers

  1. Click inside the table and choose Insert > Slicer.
  2. In Insert Slicers, select Region and Status and confirm with OK. One slicer is created for each chosen field.
  3. Move the slicers apart if they initially overlap. Keep both near the table without covering the records or headers.
  4. Click East in the Region slicer. Verify that the visible records are East/Open/10 and East/Closed/20.
  5. Click Open in the Status slicer. Only East/Open/10 should remain visible.
  6. Use Clear Filter in the Status slicer. Both East records should return, but West remains filtered out by Region.
  7. Clear the Region slicer too. All three records should return.

The subset sums above are independent checks of the visible records. An ordinary SUM over the original cells is not automatically a visible-record total merely because a slicer hides rows. Inspect record identities as well as any summary formula in your own workbook.

Multi-select and no-data items

Use the Multi-Select icon in a slicer to choose more than one button; the documented keyboard alternative is Alt+S. Clear Filter also has Alt+C. With Region unfiltered, selecting both Open and Closed should include every status in this fixture.

Now select West. There is no West/Closed record. Depending on the slicer settings, Closed can be shown with lighter formatting or hidden. Select the slicer and inspect Hide items with no data, Visually indicate items with no data, and Show items with no data last on its settings panel. A missing or pale button can describe the current filter intersection rather than a deleted source record.

Apply the same idea to an existing pivot

For this optional check, use a pivot based on A1:C4 with Region and Status as row fields and Amount summarized by sum; the linked basics guide below covers pivot creation. Click a cell in that pivot, use Insert > Slicer and choose both Region and Status. Clear both pivot slicers, then select West and Open; the displayed Sum of Amount should be 30. Clear both again to restore the total of 60. Keep source refresh separate from filtering: a slicer narrows the records the pivot knows about; it is not a substitute for refreshing changed source data. See pivot-table basics for that workflow.

Do not assume one slicer automatically controls arbitrary other pivots. Verify the specific table or pivot you selected when inserting it. Also, slicers are ordinary workbook filters, not security boundaries or personal collaboration views.

Save and reopen the XLSX, then inspect the selected buttons and visible rows before presenting the report. If a record seems missing, clear every relevant slicer and inspect other filters before altering source data. For multi-user isolation, see personal sheet views.

Sources and verification

Official documentation snapshots retrieved on 20 October 2026 support the procedures above. The worked checks are independently reasoned expectations, not a report of native application testing. Save/reopen, rendering and platform behavior remain checks for the stated installation.
