Make a workbook easier to navigate with accessibility and view settings in ONLYOFFICE

Make a workbook easier to navigate with accessibility and view settings.

Quick answer

Keep row and column headings visible, choose a comfortable zoom and interface theme, and test the actual navigation tasks you need. Enable screen-reader support in Advanced Settings when appropriate, but validate it with your own operating system and assistive technology before depending on it.

Prepare a usable test workbook

These view controls follow the English interface documented for ONLYOFFICE Desktop Editors 10.0.0. The official general screen-reader overview is explicitly about Online Editor features; it is not proof that every desktop operating-system and screen-reader combination behaves identically. A setting being available is not a claim of accessibility compliance.

Prepare two sheets named Summary and Details. Put Month and Amount in Summary!A1:B1, followed by January/100 and February/150. Enter Total in A4 and =B2+B3 in B4. The expected total is 250. On Details, place a short explanation of the two inputs in A1. Meaningful sheet names and explicit headers make this fixture easier to follow than unexplained tabs and numbers.

Set the visual workspace

  1. Open View and check that Headings is enabled. Column letters and row numbers help you confirm which cell you are editing.
  2. Keep Formula Bar visible when auditing values or formulas. A displayed total of 250 does not reveal whether the cell contains a formula or a typed number; the formula bar does.
  3. Compare Zoom at 100% and 150%. Pick the scale that makes values and controls comfortable without hiding too much context. The documented View zoom range is 50% to 500%.
  4. Choose an Interface Theme from View, or use File > Advanced Settings > Appearance. Compare a light option with Contrast Dark if that is useful for you. Apply changes in Advanced Settings with Apply.
  5. Restore any panels you need through View, such as the left panel for search and the right panel for object settings. A cleaner screen is useful only if required controls remain reachable.

An interface theme changes the editor’s color scheme. Do not treat it as a transformation of your workbook’s authored colors or promise that a printed copy will inherit your preferred theme. Inspect the actual document and output independently.

Test keyboard and assistive navigation

Starting on Summary, use Ctrl+Home to reach A1 in the Windows/Linux shortcut scheme. Move through A1:B4 with the arrow keys and identify the header, data and total cells. Switch to Details using the sheet controls, then return. Check that you can tell which sheet and cell is active before editing.

For screen-reader support, open File > Advanced Settings > Workspace, enable Turn on screen reader support, and apply the change. With your normal assistive technology running, repeat those same tasks: identify A1’s heading, read B2’s value, move to B4, and distinguish the formula from its result where your setup supports that information.

Record what your actual combination announces and what it does not. The online overview documents navigation and selection announcements, but does not establish complete desktop interoperability. If essential information is unavailable, keep another usable access method and consult the relevant vendor guidance rather than assuming the toggle solved the problem.

Check that presentation changes did not change data

Change B3 from 150 to 175. The expected total is now 275. At both zoom levels, verify the same numbers and formula. Restore B3=150 when finished. A hidden heading, cramped view or unreadable contrast is a presentation problem; changing the numeric value is not an appropriate workaround.

Save and reopen the workbook and inspect the settings you rely on instead of assuming every view preference travels with the file. If another person will use it, ask them to try the same small navigation checklist on their own setup. For precise selection boundaries in larger sheets, see keyboard and mouse navigation.

Sources and verification

Official documentation snapshots retrieved on 20 October 2026 support the procedures above. The worked checks are independently reasoned expectations, not a report of native application testing. Save/reopen, rendering and platform behavior remain checks for the stated installation.
