Use Separate Page Styles for Report Sheets in OpenOffice Calc

Give an OpenOffice Calc summary and detail sheet different print layouts, avoid shared page-style changes and verify an exported report.

Documentation-qualified exercise; native application verification pending · Editorial standards

Create two named page styles, then assign one to each report sheet. Editing a page style is not a one-sheet override when other sheets use that same style. Cell styles and page styles solve different problems: a cell style controls the cells’ appearance; a page style controls their printed layout.

Scope and a two-sheet check fixture

This exercise follows the Apache OpenOffice 4.1 Calc Guide, English desktop menus. No native application build, operating system, preview, export or save/reopen was tested for this example. The arithmetic below is independently checked; layout and persistence remain checks to perform in your installation. Do not substitute LibreOffice’s differently named commands.

Create sheets named Detail and Summary. In Detail enter this A1:H3 table:

Item Units Unit price Cost Owner Room Status Note
Markers 3 4 =B2*C2 Ari North Ready Keep sets together
Folders 5 6 =B3*C3 Bo South Ready Label before delivery

In Summary put Report in A1, Practice supplies in B1, Total cost in A2 and =SUM(Detail.D2:D3) in B2. Use A3 Items and B3 2. The two line costs are 12 and 30; the total is 42. These are fictional unitless amounts, not an accounting template. Format the costs as ordinary numbers and widen the columns until complete labels are visible.

Save an ODS baseline as page-styles-before.ods, then save a separate working copy as page-styles-practice.ods. Keep the baseline unchanged. This is a print-layout exercise, not a reason to overwrite an existing report.

Create and apply two page styles

  1. Open Format → Styles and Formatting and select the Page Styles category, not Cell Styles.
  2. Right-click in the style list and choose New. On Organizer, name the style SummaryPortrait. On Page, choose the intended paper size and Portrait. Record the displayed left margin. Confirm the dialog.
  3. Create another page style named DetailLandscape, choose the same paper size and Landscape, and confirm. These are two distinct styles, not two names for a cell format.
  4. Click the Summary sheet tab. Double-click SummaryPortrait in the Page Styles list. Check the page-style name in the status bar.
  5. Click Detail, apply DetailLandscape, and check its status-bar name. Return to Summary and confirm its assigned style remains SummaryPortrait.

A new style in the list is not automatically proof that the intended sheet uses it. Verify both assignments explicitly. Normal editing view is not a reliable demonstration of the paper orientation; use page preview later.

Understand the shared-style trap

The official guide explains that Format → Page changes the current page style. If several sheets use that style, do not treat this command as an isolated adjustment to just the visible sheet.

For a controlled check, right-click DetailLandscape in Styles and Formatting and choose Modify. On Page, change the left margin to a different value that leaves ample printable space; record the original value first. Confirm, then inspect SummaryPortrait with Modify. Its left margin should still be the value you recorded when creating it. Cancel that inspection without changing the summary style. Restore the original margin in DetailLandscape.

If the summary changed too, inspect the two assigned names before making more adjustments. Apply the intended separate style to the affected sheet, then verify its settings. Do not keep editing Default and expect Calc to infer which sheets should be exceptions. This diagnostic test concerns two different style definitions; it does not certify a complicated workbook’s complete formatting.

Define the report areas and inspect output

On Detail select A1:H3 and choose Format → Print Ranges → Define. On Summary define A1:B3. For larger reports, use the separate print ranges and repeated headings guide rather than manually copying heading rows into the data.

Choose File → Page Preview. Check each report sheet’s orientation, paper size and readable content. Widening the data table, changing margins or selecting a different scale can alter pagination. No fixed page count is promised. If text is very small, inspect the Sheet tab’s scaling options instead of assuming a landscape page must fit every column automatically.

Use File → Export as PDF, inspect its range options, and export to a new filename. Open the actual PDF separately. Check that it includes the summary total 42 and both detail lines, that Summary is portrait and Detail landscape, and that headings and notes are not clipped. A successful export command alone is not validation. Physical printing is a separate check.

Verify data and persistence separately

Before closing, change Detail.B2 from 3 to 4. Its cost should become 16, and Summary.B2 should become 46. Restore 3 and confirm the original 12, 30 and 42. A style change should not change these formulas or source values.

Save the working ODS, close it, reopen it and inspect both assigned page-style names and their orientations. Check the total again. If the assignments are wrong, reapply the correct style to each sheet and repeat preview/export checks. If an accidental edit damaged the practice data, return to the preserved baseline and create a new working copy; do not rely on Undo after reopening. CSV cannot preserve the two sheets, formulas and page-style configuration.

For reusable masters, see workbook templates. For fonts, wrapping and direct-format overrides within cells, use cell styles and readable tables.
