Use a Registered Base Data Source in OpenOffice Calc

Register a local spreadsheet through Base, select its records in Calc, and check an eight-row sales report without assuming automatic refresh.

Editorial standards

A registered data source gives OpenOffice a named route to an existing source. This exercise uses Base to register a local spreadsheet, then brings selected records into Calc with Data to Text. It is not the named-range external link described in linked sheets and external tables.

Scope and three separate files

The instructions follow the Apache OpenOffice 4.1 Calc Guide and the Getting Started with OpenOffice 4 Base chapter, with English desktop menus and Windows/Linux options paths. Full documentation was checked on 23 October 2026. This registration/import exercise has not been executed in a native OpenOffice build. It does not certify refresh timing, saved connection behavior or another spreadsheet application’s equivalent controls.

Keep these roles separate in a disposable local folder:

  • sales-source.ods: the original records you edit in Calc.
  • SalesPractice.odb: the Base document describing the spreadsheet connection.
  • sales-report.ods: the destination report containing the inserted records and checks.

Use only this synthetic source, with no passwords, accounts or network database. Base must already be available. If the wizard or spreadsheet connection is unavailable, stop this exercise rather than installing software or substituting an unrelated driver.

Prepare and check the source

Open the existing eight-row sales CSV, using UTF-8 and comma as the separator. The first row contains headings. Keep Region and Channel as text and Amount numeric. Its complete content is:

Region Channel Amount
North Online 120
North Retail 80
South Online 90
South Retail 140
North Online 60
South Online 30
North Retail 40
South Retail 20

The occupied range is A1:C9. Rename the source sheet Sales, using the sheet tab’s Rename Sheet command. Save as sales-source.ods in OpenDocument Spreadsheet format; do not leave the source as the downloaded CSV. Keep the source table rectangular, without a total row or extra calculation columns. Independently checked benchmarks are eight records and Amount total 580. Close the source before connecting it.

The CSV is an existing synthetic data-only download, reused unchanged. It contains no Base connection, formulas or native template. Earlier evidence for the separate sales pivot example is not evidence that this Base connection has been tested.

Register the spreadsheet through Base

  1. Choose File โ†’ New โ†’ Database.
  2. Choose Connect to an existing database, select Spreadsheet as the database type, and continue with Next.
  3. Browse to sales-source.ods. This practice file is not password protected; do not enable a password requirement. Continue.
  4. Choose Yes, register the database for me. Clear Open the database for editing because this exercise needs registration rather than Base table editing. Finish the wizard and save its Base document as SalesPractice.odb.
  5. Inspect Tools โ†’ Options โ†’ OpenOffice Base โ†’ Databases. Record the actual registered name and verify that its file location points to SalesPractice.odb, not directly to the CSV or ODS. Use that name in the next section; do not assume a filename always proves the registration name.

If the ODB already exists but is not registered, the documented alternative is New on that Databases options page, then browse to the ODB and supply an unused registered name such as SalesPractice. Both location and registered name are required. Do not create a duplicate registration merely because the display name differs from your expectation.

The Base spreadsheet connection instructions describe read-only access to the source spreadsheet through Base. Change its records in the original ODS, not in the database browser.

Select the table and insert records into Calc

Create a new Calc document and save it as sales-report.ods. Leave A1:C20 empty and select A1 as the top-left destination, including headings.

  1. Choose View โ†’ Data Sources. F4 is an alternative when that key reaches the application.
  2. In the left Data Explorer, expand your verified registered name, then Tables. Select Sales and inspect the displayed records on the right. Seeing the built-in Bibliography source is not evidence that your practice source was registered.
  3. Confirm the three field names and all eight records. Use the row-selection box at the upper-left of the records grid to select all records, not a field heading. For a deliberate subset, the guide documents Ctrl-clicking separate row selectors; this exercise needs every row.
  4. Click Data to Text on the data-source toolbar. The documented result is cell data with column headings. Inspect A1:C9 in the worksheet below.
  5. Close the data-source pane if needed. In E1 enter Numeric amounts; in F1 enter =COUNT(C2:C9). In E2 enter Amount total; in F2 enter =SUM(C2:C9). Expect 8 and 580.

Do not drag a column heading onto the sheet as a substitute. The guide describes that route as creating form controls, not this rectangular cell report. If you see controls rather than cell values, undo in the current session or restart in a new empty report.

Prove what the report contains

Compare the records, not just the grand total. North has four records totaling 300; South has four totaling 280. Online totals 300 and Retail 280. A count of eight is important because SUM alone can conceal amounts imported as text.

Save, close and reopen the report, then check A1:C9 and F1:F2 again. This is a validation step to carry out in your installation, not a claimed native result. Keep the source ODS and connection ODB available: the ODB is not a replacement backup of the original spreadsheet.

Changed source: verify each stage, not an assumed refresh

Treat the inserted cells as an extraction to verify, not proof of automatic synchronization. Registration, a data-source browser view and an existing worksheet report are distinct stages.

For a controlled change check, preserve the initial report, open the original source ODS, change the first North/Online amount from 120 to 125, save and close it. Access the Sales table again and inspect that exact record. The Base guide says saved source changes become visible in the database, but it does not establish an automatic refresh interval for this report.

Only after the browser visibly shows 125 should you repeat the documented selection and Data to Text procedure into a new empty report. Expected checks are eight numeric amounts, total 585, North 305, South 280, Online 305, and Retail 280. Do not overwrite the earlier report to make a stale result appear current. If the browser still shows 120, stop and investigate the source path and connection state; this guide does not prescribe an unverified reload sequence.

A pivot built directly from a registered source is another workflow: the registered pivot source documentation distinguishes it from worksheet source data. That statement does not turn a Data to Text extraction into a live pivot connection. Direct database-pivot creation and refresh are outside this exercise.

Troubleshooting and limits

  • No registration: confirm the ODB was saved and appears in the Databases options list. Do not browse unrelated personal sources.
  • Wrong or absent table: check the selected registration, its source file and the Sales sheet name. Stop if the expected three fields are not present.
  • Fewer rows: inspect the selected record set and any active source-browser filter before importing again into a clear area.
  • COUNT below eight: compare every Amount against the fixture and correct the original source’s numeric typing before recreating the extraction.
  • Source is read-only in the browser: that is the documented spreadsheet-connection behavior, not a reason to weaken permissions.
  • Source moved or missing: do not infer connectivity from old values still visible in the report. Preserve all files and repair the intended source location deliberately.

No new native ODS/ODB download, screenshot, connection refresh result or save/reopen evidence is supplied. Source registration and portability to another profile remain installation-specific checks.
