Copy Only Visible Filtered Records in WPS Spreadsheet

A filtered view is not itself a separate extract. Build an independent destination, compare its record IDs and totals, and only then treat it as a usable subset. This exercise also separates filter-hidden rows from manually hidden rows, which may behave differently during copying.

Quick answer

Apply the filter, copy the visible result into an empty unfiltered sheet, then reconcile every ID and the total. Do not assume manually hidden rows behave like filter-hidden rows.

A filtered view is not itself a separate extract. Build an independent destination, compare its record IDs and totals, and only then treat it as a usable subset. This exercise also separates filter-hidden rows from manually hidden rows, which may behave differently during copying.

Before you begin

Use a new local .xlsx practice workbook in the English Windows desktop application. Record your installed WPS build, region and free or paid edition before comparing commands. The cited WPS instructions support the workflow, but do not identify a tested build for this example. This guide has not been executed in native WPS; its small fixtures provide expected results to check, not a claim that a desktop test passed. macOS, Linux, mobile, web and WPS 365 interfaces are outside this guide.

Work in an unmerged practice range with only one worksheet selected. If a required command is absent or requests membership, stop that branch; a freely accessible lesson does not prove installed-edition entitlement.

Create the full source and an empty output

Save Visible Extract.xlsx, rename its active sheet Orders, and paste this block at A1:

ID	Region	Status	Amount
X01	East	Ready	10
X02	West	Ready	20
X03	East	Hold	30
X04	East	Ready	40
X05	West	Hold	50
X06	East	Ready	60

Add a blank sheet named Extract. On Orders, enter Full total in F1 and =SUM(D2:D7) in F2; expect 210. This formula deliberately totals all six records, including those later hidden by a filter. The requested business subset is East plus Ready: IDs X01, X04, X06, with total 110.

Apply the two criteria

  1. Activate Visible Extract.xlsx > Orders. Select A1:D7 and enable Data > Filter (called AutoFilter in some WPS Academy instructions).
  2. In the Region header drop-down, leave only East selected. In Status, leave only Ready selected.
  3. Confirm the visible record IDs are exactly X01, X04, X06; row numbers should skip the excluded records. F2 must still be 210. A total over the original range is not the extract total.
  4. Ensure there are no manually hidden rows or columns in this first exercise. Do not use an existing workbook where you cannot explain why a row is hidden.

Copy and reconcile a clean extract

The Windows Filter FAQ instructs you to copy the visible data and check that hidden records were excluded. It does not specify a universal visible-cell shortcut. The Academy article is weaker corroboration, not evidence for every hidden-row combination. Treat the following reconciliation as a required acceptance gate, not a guarantee that any rectangular selection copies only visible cells.

  1. On Orders, select the bounded filtered source A1:D7, including the header; copy with Ctrl+C.
  2. Activate the unfiltered Extract sheet and select A1. Paste with Ctrl+V into its empty area. The destination must not contain a filter, hidden rows or merged cells.
  3. Check Extract!A1:D4 against the exact expected output:
ID	Region	Status	Amount
X01	East	Ready	10
X04	East	Ready	40
X06	East	Ready	60
  1. Inspect row 5 and below: there must be no extra copied records. In F1 type Extract total, and in F2 enter =SUM(D2:D4); expect 110. In F3 enter =COUNTA(A2:A4); expect 3.
  2. Check the ID list as well as the total. A wrong selection can coincidentally produce the same sum. This fixture contains constants, so the output is an independent snapshot; there is no refresh relationship back to Orders.

If the paste includes X02, X03 or X05, undo it immediately. Do not delete arbitrary output rows to disguise the failed selection. Mark the build as unverified for this copy workflow. For this tiny fixture, a safe manual fallback is to copy each reviewed full row separately to successive blank destination rows, including the header once. Label that as a manually constructed extract, not proof that filtered-range copying worked. For a large dataset, stop and establish a reliable supported selection method first.

Preserve the source and save the main result

Return to Orders, clear both filter criteria and confirm all six records remain in their original order with full total 210. Do not delete the source or filtered-out records. Leave Extract unchanged with the three records and total 110. Save, close and reopen Visible Extract.xlsx; confirm both source and output, including that Extract contains no excluded IDs. The final main workbook retains a complete source and an audited snapshot.

Test manual hiding in a separate copy

Only after the completed main file is saved and reopened, create Visible Extract - hidden-row test.xlsx using Save As. In this separate file, activate Orders, reapply East and Ready, then manually hide row 5, which contains X04. The visible-only target is now X01,X06, total 70, while the business filter still matches three records.

Add HiddenTest, then repeat the bounded copy to its blank A1. If the result includes X04, normal filtered copying did not honor the manual hide. Do not call it a visible-only result. If your build offers an explicitly documented visible-cell selection control, test it here and record its exact name and result; this guide does not assume Excel’s Go To Special dialog or shortcuts exist in your WPS build. A command named Paste Values to Visible Cells concerns destination placement and must not be assumed to exclude hidden source records.

Accept the mixed-hide variant only when HiddenTest has two IDs, amounts 10,60, no extra rows and total 70. Otherwise leave that variant unverified. Native confirmation of exact visible-cell behavior remains required before recommending mixed hidden/filtered selection on a particular build; the documentary walkthrough is not a claim that this hold has been resolved.

Troubleshoot extraction failures

A blank extract can mean the combined criteria match no records; review both drop-downs. Extra records can indicate a lost filter or a manually hidden row copied with the block. Missing columns can indicate hidden source columns, so keep all four visible. Never paste into a filtered destination to create a compact extract: visible-target paste and visible-source selection are different problems. Before sharing a real extract, inspect for extra worksheets, formulas and hidden content; hiding data is not redaction.
