Find and Replace the Right Cells in WPS Spreadsheet
Find before replacing: a short code can occur as a complete cell, inside a longer label, or inside a formula. This exercise changes exactly two stored labels, leaves similar labels alone, and checks a dependent formula separately.
Quick answer
Use Find All on an explicit range before Replace. Enable whole-cell and case-sensitive matching, inspect the returned addresses, and replace only the two approved constants.
Find before replacing: a short code can occur as a complete cell, inside a longer label, or inside a formula. This exercise changes exactly two stored labels, leaves similar labels alone, and checks a dependent formula separately.
Before you begin
Use a new local .xlsx practice workbook in the English Windows desktop application. Record your installed WPS build, region and free or paid edition before comparing commands. The cited WPS instructions support the workflow, but do not identify a tested build for this example. This guide has not been executed in native WPS; its small fixtures provide expected results to check, not a claim that a desktop test passed. macOS, Linux, mobile, web and WPS 365 interfaces are outside this guide.
Work in an unmerged practice range with only one worksheet selected. If a required command is absent or requests membership, stop that branch; a freely accessible lesson does not prove installed-edition entitlement.
Prepare an auditable search range
Save a new workbook as Label Cleanup.xlsx, rename its active sheet Labels, and paste this block at A1:
ID Status Note
T01 Hold Review
T02 Holdover Keep this word
T03 Hold Review
T04 Ready Hold shipment
T05 hold Lowercase stays
Set E1 to Formula check and E2 to =B2. It displays Hold, but stores a reference rather than that literal word. Add another worksheet named Archive and enter Hold in A1. Return to Labels. Save this starting file before changing anything.
Preview partial and exact matches
- In
Labels, select exactlyB2:B6. Open Home > Find or Ctrl+F. EnterHold. - Expand Options, clear any old format condition, enable case-sensitive matching, and choose the current sheet rather than the workbook. With whole-cell matching off, Find All should identify
B2,B3andB4within the selected block. - Enable whole-cell matching and run Find All again. The intended exact matches are only
B2andB4.Holdoveris a partial match; lowercaseholdis a case mismatch. - Inspect the returned addresses. If results include
C5,E2orArchive!A1, the selection or search scope was not retained. Cancel and reselect the block. Do not use Replace All until the result list contains exactly the two intended cells.
The Docs Center page sits under Collaboration Mode, but its introduction explicitly covers regular local worksheets as well as collaborative ones. Its Windows controls support scope, case, whole-cell matching and format search; that explicit scope, not the website hostname, supports this local exercise. It does not establish every possible formula/value search selector for every build. If your dialog exposes a Look in choice, record it and compare the formula bar against the results; do not assume that searching displayed values also replaces formula results.
Replace only the reviewed labels
Keep B2:B6 selected. Open Replace with Ctrl+H, enter Hold as the search text and Review as its replacement. Recheck case and whole-cell options, since dialogs can retain earlier settings. Use Replace one match at a time, confirming the address before each action. Replace B2, then B4; stop after those two replacements. If your build supports a verified two-cell result list, Replace All is an alternative, and its replacement count must be two.
Expected final B2:B6:
Review
Holdover
Review
Ready
hold
C5 must still read Hold shipment, and Archive!A1 must remain Hold. Labels!E2 now displays Review because its precedent changed. Its formula bar must still show =B2; no formula was replaced.
Navigate to check the calculation
With Labels active, use Home > Find > Go To or Ctrl+G. Enter E2 in the destination/reference control and confirm. Check that the active cell is E2, then inspect its formula. Go To changes selection, not contents. If your version opens a content-type selector first, use its reference entry rather than selecting every formula in the sheet. Navigate to B4 and verify the second literal replacement as well.
Save and reopen the finished result
Save Label Cleanup.xlsx, close and reopen it, then check the five statuses, the untouched note, the Archive sentinel and E2’s formula. This final file should contain two changed constants and one recalculated result. Do not count the dependent display as a third replacement.
Recovery and difficult searches
Only after the completed file has been saved and reopened, create Label Cleanup - recovery.xlsx. In this independent copy, disable whole-cell matching and try replacing Hold with Review in B2:B6. The erroneous change is Holdover to Reviewover. Undo immediately and verify Holdover is restored. Leave the main file untouched.
If nothing matches, check leading/trailing spaces, case settings, hidden format criteria and the actual formula bar. Do not broaden to the whole workbook to solve a scope problem. For a formula that displays a match, change its input only when that is the intended correction; replacing formula text can break references or quoted strings. Filters and hidden rows are not a reliable boundary for replacement: use an explicit range and audit addresses. If the build cannot keep the selection scope, edit the two reviewed cells individually rather than risking a broad replacement.
