Include newly added rows in a WPS Spreadsheet PivotTable
Create and check a pivot summary, then distinguish refreshing changed cells from expanding the source to include appended records.
Official-documentation reviewed; sample data independently checked; not tested in WPS Spreadsheet · Editorial standards
Quick answer: Check the pivot’s source range before refreshing. Refresh can reread cells already inside that range; it cannot make an excluded row part of a fixed source reference. Expand the source to include the new records, then verify the totals.
Build the original eight-row summary
Download the original feature-practice sales CSV. It contains Region, Channel and Amount, with eight data rows. Import it into A1:C9 and save a workbook copy; CSV cannot save a pivot table.
- Select A1:C9, including the headings.
- Choose Insert → PivotTable and choose a new worksheet for the result.
- In the Field List, place Region in the Row Area, Channel in the Column Area, and Amount in the Data Area.
- Check that Amount is summarized by Sum, not Count. Compare the resulting matrix below.
The WPS PivotTable creation guide documents the creation command and these field areas. Exact labels can differ in another build.
| Region | Online | Retail | Total |
|---|---|---|---|
| North | 180 | 120 | 300 |
| South | 120 | 160 | 280 |
| Grand total | 300 | 280 | 580 |
These totals were calculated independently from the sample records. The source’s =SUM(C2:C9) should also equal 580; see SUM. A matching grand total alone is insufficient: verify the four Region/Channel intersections too.
Experiment 1: edit a value inside the range
On the source sheet, change C2 from 120 to 150. Return to the pivot, click inside it and use the documented Option → Refresh control. Expect North/Online 210, North total 330, Online total 330, and grand total 610. South remains 280.
Restore C2 to 120 and refresh again. Confirm that the original 580 total is back before continuing. This isolates source-range behavior from a previous edit.
Experiment 2: append a record outside the range
- Enter
North,Online,25into A10:C10 on the source sheet. There are now nine data rows, but the original pivot reference was A1:C9. - Refresh the pivot. If its fixed source is still A1:C9, the expected total remains 580, despite the source sheet now totaling 605 across C2:C10. This is a range-boundary problem, not evidence that the new amount should be changed.
- Click inside the pivot and choose Change Data Source from its pivot tools. Reselect A1:C10 on the source sheet, including the headings and appended row, then confirm. WPS’s documented command updates the pivot from the expanded range. Refresh once more if needed in your interface.
- Verify North/Online 205, North/Retail 120, North total 325, South total 280, Online total 325, Retail total 280, and grand total 605.
The WPS refresh and source-change lesson explicitly distinguishes an in-range value edit from adding a row beyond the source. It describes Refresh under Option and the Change Data Source command. This guide does not assume Excel table auto-expansion or dynamic-source behavior in WPS.
For comparison, the appended dataset contains the original eight rows plus the new North/Online 25 record. Use it to inspect the expected source, not as a replacement for performing the append experiment.
Troubleshooting and safe recovery
- Still 580 after source change: reopen the source selector and verify the sheet and last row, then inspect pivot filters. Make sure you changed the intended pivot, not a second copy.
- A count instead of a total: check aggregation and confirm that Amount contains numbers rather than imported text. Do not repair this by typing over the displayed pivot results.
- Two versions of North: inspect source labels for trailing spaces or inconsistent spelling before refreshing.
- Wrong total such as 635: you may have left C2 at 150 while adding 25. Reset the first experiment before comparing with 605.
- Blank headings or a total row inside the source: use one header row and only detail records. Including a source subtotal can double-count values.
Refresh-on-open, where available, is a refresh trigger; it is not proof that a fixed source range has expanded. For each new batch, check the last included row and compare the pivot grand total with an independent source total.
