Print all WPS Spreadsheet columns on one page and repeat headers

Set a print area, fit columns to one page wide and repeat header rows without shrinking a long report onto one sheet.

Official-documentation reviewed; sample data independently checked; not tested in WPS Spreadsheet · Editorial standards

Quick answer: Use width-only scaling, then configure repeating print titles. A long report can be one page wide and several pages tall. Preview every page before printing or creating a PDF.

Prepare a reproducible report

Download the 60-row print practice CSV. Import its six comma-separated columns into A1:F61: Date, Customer, Item, Quantity, Unit Price, Total. All names are synthetic. Each record has quantity 2, unit price 12.5 and total 25. The 60 totals sum to 1500; =SUM(F2:F61) provides a cross-check if the numbers imported numerically. See SUM.

Save a workbook copy before page setup. CSV cannot retain the print area or repeating rows. Make the Customer and Item columns wide enough to read their contents, and use a readable font. Choose the intended paper size and printer before judging pagination.

Set width, area and repeating headings

  1. Select A1:F61. In Page Layout → Print Area, choose Set Print Area.
  2. Open Page Layout → Print Preview. Choose Landscape if the report is too wide.
  3. In the documented preview’s Page Zoom menu choose Fit All Columns on One Page. Check that Date through Total appear together, rather than Total being stranded on a separate horizontal page.
  4. Return to Page Layout → Print Titles. In Rows to repeat at top, select row 1; its row reference should represent the whole first row, commonly $1:$1. Confirm.
  5. Return to preview and inspect the first, second and last pages. If the fixture fits on a single page, increase the data-row height for this practice so that it spans multiple vertical pages; then check repetition again.

WPS documents these controls in Page setup and print-out for spreadsheets and How to set header line repetition. These sources support the workflow, not a fixed page count for this fixture.

What a passing preview looks like

  • Every printed page that contains data has all six columns in the intended width.
  • Later pages show the six column names at the top.
  • The final data record, Customer 060, is included once.
  • All 60 records are present, without blank overflow pages.
  • Text is legible at the intended physical size.

Record the preview page count for your paper, font, margins, row heights and printer. There is no universal expected total: those settings change pagination. The invariant is one page across, with as many vertical pages as needed. Do not choose whole-sheet one-page scaling merely to force a smaller count.

PDF and print preflight

Use the print or PDF output route available in your installed edition and operating system. This guide does not assume a particular PDF export entitlement. Open the resulting PDF separately and compare its page count, repeated headings, rightmost column and last record with preview. Confirm the correct sheet or selection before sending anything to a physical printer.

Gridlines, charts, objects and comments can affect output. Include only what the report needs; inspect the final result rather than relying on the editing view. If you need cell boundaries, WPS’s page-setup lesson describes Print Gridlines.

Fix common failures

Headers disappear after page 1: freezing the top row affects scrolling, not printed repetition. Check Print Titles separately and confirm the reference is row 1, not an ordinary header/footer text field.

Tiny text: shorten overly wide descriptions, remove unnecessary columns from the report copy, or use more suitable paper. Fitting columns is not permission to sacrifice readability.

Blank pages or missing bottom rows: reselect the exact print area and review it after appending data. Old print boundaries do not prove that new rows are included.

Only one page to inspect: that is not evidence that repeated headings work. Increase row height in the practice copy until a second page exists, and inspect its first line.
