COUNTIFS Function in Zoho Sheet: Examples and Syntax

Mathematical Beginner Zoho Sheet

COUNTIFS in Zoho Sheet: count active sales above a target using practical sample data, clear expected results, pitfalls and the official function documentation.

Quick answer: Count active sales above a target. A cloud-based sales sheet mixes account statuses and deal amounts. Count only Active deals above 500, excluding the larger but inactive records.

This page covers the Zoho Sheet implementation specifically. Its example values and expected results are original educational data, not screenshots or claims of a live application test.

Syntax and argument order

=COUNTIFS(test_range; condition; [test_range1]; [condition1]; ...)

The argument order above follows the official Zoho Sheet documentation. Use the function name shown here, and replace placeholder arguments with ranges, cell references or criteria from your workbook.

Worked example with sample data

Row A: Status B: Value
2 Active 700
3 Paused 900
4 Active 300
5 Active 850
6 Closed 1200

Enter this formula in a free result cell (outside the input range):

=COUNTIFS(A2:A6;"Active";B2:B6;">500")

Expected result: 2.

Why this result is correct: Active rows 2 and 5 are above 500. The Paused and Closed transactions do not contribute even though they have higher amounts.

A second example or variation

=COUNTIFS(A2:A6;"Active";B2:B6;">800")

Expected result: 1.

Only the Active deal worth 850 passes the new threshold.

Common mistakes and troubleshooting

Zoho says criteria ranges must be the same size. A range mismatch or a numeric amount stored as text can distort the outcome.

Also check that the version of Zoho Sheet you use supports this function. A formula pasted from another application can fail because of different syntax, date interpretation, array behavior or regional separators. If the result differs, first compare the small dataset above with the expected answer before substituting your real data.

Where this function helps

A cloud-based sales sheet mixes account statuses and deal amounts. Count only Active deals above 500, excluding the larger but inactive records. Replacing the sample cells with your own ranges lets you reuse the same reasoning. On important spreadsheets, test with a few known rows, verify the final cell formatting and keep a separate copy of the source data.

Practical checks before reusing this formula

Every criteria range must cover corresponding rows. Test one short sample first when the sheet includes imported or filtered records.

If a criterion is stored in a cell, verify the required comparison operator is combined with that cell value rather than typed as an unquoted expression.
